Has significantly improved document-driven workflows and reduced processing time across finance and HR functions
Automation Anywhere has evolved significantly and upgraded itself to provide agentic AI and AI-based automation solutions for document automation. The product has matured considerably over time. We can create workflows that can call an API. We can include prompts in particular workflows for ChatGPT-related functions, connecting to an LLM and RAG to perform tasks. For document automation, modern features are available to train documents, ensuring high accuracy and repeatability over time. The system is very easy to use. I recently completed a course in document automation, typically designed for people involved in coding and technical aspects. Though I understand coding comprehensively, I don't do actual coding. The course was very accessible. Currently, extensive coding isn't necessary due to the hybrid model incorporating GenAI aspects, low-code, no-code capabilities, APIs, and numerous pre-built objects in Automation Anywhere. The features include GenAI-driven prompting methods and workflow creation capabilities. In these workflows, we can create decision boxes and call APIs without coding. We simply pull objects, drop them, connect them, and add minimal coding when needed. The most crucial aspect isn't coding but rather sizing the automation and fleshing out the details. Automation Co-pilot takes notes and performs automated analysis. It can extract details from videos, summarize conversations, and provide detailed information. During calls, it identifies instructions and performs tasks such as preparing reports and reconciliation. Automation Anywhere can also connect with Microsoft Co-pilot. Through Co-pilot, real-time operations can be executed, allowing direct interaction between vendors and automation through this component.

Robust document capture boosts efficiency and integration options
The best features include multiple channel capabilities such as fax, different file transfers, and paper scans. It can be integrated with multiple channels and can capture images, even from mobile devices integrating into OpenText Capture. Currently, it has introduced AI for data extraction and document processing. OpenText Capture's impact on automating document-intensive tasks such as accounts payables or loan processing is significant. It has the capability to capture table structures or multiple line items from images, including line items and final amounts for invoice processing. The main benefits of OpenText Capture are particularly valuable when capturing content and extracting structured or unstructured data. This product can be integrated into any point-of-sale system, Salesforce, SAP, or other environments, reducing manual data entry and related tasks. This feature has helped organizations handle large volumes of data with precision, especially regarding resource consumption. The automation reduces human effort that would otherwise be required for classification and extraction tasks.

Has faced challenges adapting to evolving capture methods and competitive integrations
It's difficult to say what I'd improve in Tungsten TotalAgility because we haven't been actively marketing that particular product in the last probably six to nine months. The speed of product development means that my experience with it is likely out of date in terms of the product suite capabilities. The difficulty with customers nowadays is that they are subject to the winds of change in terms of the adoption of cloud technologies and the offerings those cloud technologies bring. Microsoft, for instance, is rapidly filling in the spaces between various product areas that other vendors typically owned. That makes it difficult for customers to settle on their functional requirements because the offers are competing in the same space. I look for more integration with mainstream subscription based platforms, more security integration, and possibly some more lifecycle management features. However, the difficulty with that is the competition with existing options that people have in their subscription library.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"During the digital transformation of a company, the number of internal portals and applications increases leading to an increased number of data silos."
"Features like reusing each and every piece of code for things such as login scripts and data extraction scripts helped us to speed up the implementation of PoC for the client."
"The time savings are valuable."
"Automation Anywhere is the best."
"From my perspective, the most valuable features in Automation Anywhere are the ability to connect to different systems of records."
"The features I most appreciate are the built-in version control system, historical log, audit trail features, and the breadth of RPA action commands included out of the box."
"The overall UI of the tool is so user-friendly that even a beginner can use it easily."
"Scalability is one of the best things about most of the RPA bots. Once you create one, scalability is just about multiplying them."
"The enterprise and capturing feature of OpenText is its valuable feature. As we have integrated CRM with OpenText."
"OpenText Intelligent Capture is pretty good."
"It is a mature product and a leader in the industry."
"The solution is very powerful because it allows for custom scripting."
"Being able to have accurate extraction is most valuable. It has machine learning and other tools to make the extraction more accurate."
"It allows you to image capture, scan documents and use machine learning to automatically index and tie them."
"The main benefits of OpenText Capture are particularly valuable when capturing content and extracting structured or unstructured data, and this feature has helped organizations handle large volumes of data with precision, especially regarding resource consumption."
"The automated version of the vendor invoice management is great, and it is helpful because it has reduced the human interaction in invoice processing."
"Being able to extract data from documents is great, and the capability of this tool is great as it can replace legacy applications and make everything very easy."
"Kofax TotalAgility is a great design tool for reading handwritten invoices."
"Some of our clients previously spent about ten dollars per invoice for processing, but after using the Kofax Total Agility, I believe they are spending only about one to four dollars."
"I think Kofax is a good product, and I would definitely recommend it to anyone looking for document extraction or classification, or data extraction from structured and unstructured documents."
"The tool is low code which saves you from a developer."
"Data extraction and auto-classification are great features."
"Most customers benefit from multichannel capture, business processes, along with image processing capabilities, and centralized administration and reporting."
"Kofax TotalAgility helped us greatly in reducing manual work because comparing document content was done manually in the past, and now the comparison is completely done by the solution, and it's been a great help to our organization."

Cons

"Automation Anywhere has a lot of room for improvement. It is not customer-friendly."
"We would like to see the scalability improve from a local perspective."
"As a developer, I would like to have copy commands available from one bot to another."
"There are many bots available on the Bot Store. However, my developer told me that he was unhappy with the quality of the bots available."
"Triggers work in the attended mode on Automation Anywhere. I would love it if we could use triggers in the unattended mode too. This way we can use the feature more in our IT sector. E.g., when any service or folder is accessed by unauthorized person, we want to be able to get an immediate trigger, even on "out of office", this would be helpful for my organization."
"I would like to be able to look at the steps that are completed as a process is running."
"Though the courses in the certification's learning hub are great and awesome, there is some more space for adding more explained contents."
"Anything that can be done to increase the stability from a system standpoint in regards to large-scale systems, which are being used by a number of applications, e.g., Salesforce or Workday."
"I would say what most of the document management solutions are lacking is smartness to detect the duplicate storage of the documents."
"The area for improvement primarily centers around licensing concerns rather than technical issues. Captiva, intended for larger clients, poses challenges for medium and small businesses due to licensing costs. The current licensing model is based on volume, such as purchasing a volume for one million dollars per year for scanning. This pricing structure may be prohibitive for companies with constrained budgets. Another aspect requiring attention is the mobile capture feature, which, although experiencing recent enhancements in intelligent document processing through AI, could benefit from further improvements. Specifically, there is room for enhancement in enabling users to efficiently capture documents using their smartphones."
"If something is handwritten and attached to an email, it doesn't capture the information correctly."
"Its functionality is good, but it has to be made more accurate. If it is not customized and handheld properly, the recognition and captures won't be accurate."
"The setup is medium complexity."
"Knowledge of .NET is required to effectively use the solution or it can be complicated."
"We are using it to improve the image and the documentation for the cases. And sometimes, some cases have more than fifteen different types. We use some tools as fixed standard analysis and provide information to support the different types to take some decisions and help in an automated process. We choose the case type and subtype DNS scanning documents from the data entry up."
"It can be more user-friendly, and it should also have more reporting capabilities. There are also a few other things that need improvement."
"I'd like to have better inbuilt features so that we could see some added value."
"The tool is not up to the mark at all for what we needed it for."
"The pricing for Kofax TotalAgility could be more attractive, particularly the cloud version of the solution which was offered to my company. This is its area for improvement."
"User interface."
"They provide sufficient but not excellent technical support. Perhaps there is a point where they could use some improvement."
"Customer service was very poor."
"Lacks sufficient inbuilt features."
"The Transformation Designer of KTA can be made better."

Pricing and Cost Advice

"One of the key features that we chose, the bot as a service or the BotFarm, when they launched version 11.3, they decided not to have the BotFarm anymore. This put us in a situation because we expected to have bots on demand, just like our cloud software. This would have been cost efficient for us to use. We hope to see this again being realized with A2019. I hope the scalability from an on demand basis improves."
"We have seen ROI on one of the process, but not on the other processes yet."
"I am not responsible for the pricing part, but I know the pricing is competitive compared to other tools."
"We have a three-year contract with Automation Anywhere."
"The pricing is fair. My company is part of a big organization, so the pricing is very advantageous."
"It's the best RPA tool, but the pricing could be improved."
"We have saved a lot of money on taxes based on the stuff that we run."
"Automation Anywhere is competitive... Pega is somewhat comparable, but Pega also requires a lot more infrastructure and a lot more experience to get up and running."
"OpenText is an expensive solution."
"Some customers say the solution can get costly because it requires licenses or enterprise packages."
"Kofax TotalAgility is very expensive."
"It has a perpetual license. You pay once in a lifetime for the volume of scans you will do and the number of users you will have. You can have participants or regular users, and you can have developers and administrators. So, once you purchase it, it is for a lifetime, and then every year, you have to pay for the maintenance. There is an annual maintenance cost, which is about 18% of the licensing cost."
"The licensing cost for Kofax TotalAgility is very expensive, though I'm unable to give you the range, the sales representatives of my company say that the product is quite expensive."
"It is slightly more expensive than other tools."
"The price of this solution is less than some of the competition."
