Family sharing and personal backups have improved how I manage and access my files anywhere
I am not fond of their syncing. Their file syncing is very clunky, so I am not a real fan of the file syncing. I think Box does a much better job of the syncing of data onto desktops and laptops. When you try to sync the files in Dropbox, it actually puts a copy of the file on your laptop, so it sucks up all of your memory. Whereas with Box, I can sync files into my file explorer and it is still cloud-based. They have not saved the file physically onto my laptop. They save it in the cloud and it just does a temporary download and then it uploads again, but that file is not saved on my laptop. Whereas with Dropbox, anytime you want to sync on your laptop, it actually does save it. There is a way to set it up, but it takes a lot more work and effort and I have never been able to get it to work the way I want it to work. So I just do not sync my files with Dropbox on my laptop. That limits my ability to use Dropbox from my work laptop because my work laptop just does not have any memory at all on it. They give the bare minimum of memory and say that it should all be in the cloud anyway, so you do not need to have that much storage space. So I cannot even access Dropbox from my work laptop and have to use the browser version of Dropbox if I need to access my Dropbox from my work laptop. Within the company, it is a personal choice. Our company has not dictated what cloud service to use. As long as it has all the security measures that meet the standards of our IT department, anyone can use whatever cloud service they want. For example, our company is not allowed to use Google because Google is not a secure cloud service in the estimation of our IT department. So there are cloud services that we are not allowed to use, but from the five to seven different services that they give us to choose from, we all can find what meets our needs.

We have Google Workspace, and we use it primarily for Drive to collect items. We categorize folders with topics and material either for students or for research. We use Google Doc to share documents, especially when we assign homework to be corrected for peer correction or classroom correction. With Teams and Microsoft, we use it for collective calls and exam supervision because we use video surveillance through camera with Teams. We use Teams for meetings and to share material with students. The ability to share documents with students and assign them things and correct them in real time has been beneficial. You can verify what they write, and they can contribute and cooperate to create a collective document, which is something that our society nowadays requires. The ability to cooperate, especially those who work with languages and those who work with writing, need to learn how to cooperate. There is co-editing and co-writing, all these sorts of things. I love the fact that I can easily have access to folders that I can categorize and where I can upload research material and teaching material.

SharePoint is a powerful platform, but there are a few areas where I think it could be improved, such as user experience. For new users, the interface and navigation can feel quite complex, specifically when working with multiple sites and document libraries. Another improvement would be search functionalities. While it is good sometimes, it does not always return the most relevant result unless a document is very well-structured and tagged. Also, initial setup and customizations can be time-consuming and may require technical expertise, specifically when configuring workflows or permissions. From a modern development perspective, tighter and more seamless integrations with tools including Power Automate and better support for custom backend integrations through APIs could make it more efficient. Overall, simplifying usability and enhancing search and integration capability would make SharePoint even stronger. One additional area I would appreciate improvement would be performance and responsiveness, especially when dealing with a large document library. Sometimes loading or navigating through large datasets can feel quite slow. Another aspect is permissions management. While it is very powerful, it can become complex to manage at scale, specifically when there are multiple levels of access across teams and projects. Improving developer experience would also be beneficial. Making customization, API integrations, and extensions more straightforward would help teams, especially backend developers, leverage SharePoint more efficiently.
