Has significantly improved document-driven workflows and reduced processing time across finance and HR functions
Automation Anywhere has evolved significantly and upgraded itself to provide agentic AI and AI-based automation solutions for document automation. The product has matured considerably over time. We can create workflows that can call an API. We can include prompts in particular workflows for ChatGPT-related functions, connecting to an LLM and RAG to perform tasks. For document automation, modern features are available to train documents, ensuring high accuracy and repeatability over time. The system is very easy to use. I recently completed a course in document automation, typically designed for people involved in coding and technical aspects. Though I understand coding comprehensively, I don't do actual coding. The course was very accessible. Currently, extensive coding isn't necessary due to the hybrid model incorporating GenAI aspects, low-code, no-code capabilities, APIs, and numerous pre-built objects in Automation Anywhere. The features include GenAI-driven prompting methods and workflow creation capabilities. In these workflows, we can create decision boxes and call APIs without coding. We simply pull objects, drop them, connect them, and add minimal coding when needed. The most crucial aspect isn't coding but rather sizing the automation and fleshing out the details. Automation Co-pilot takes notes and performs automated analysis. It can extract details from videos, summarize conversations, and provide detailed information. During calls, it identifies instructions and performs tasks such as preparing reports and reconciliation. Automation Anywhere can also connect with Microsoft Co-pilot. Through Co-pilot, real-time operations can be executed, allowing direct interaction between vendors and automation through this component.

Significantly reduces manual effort and improves team workflows through automated ticketing
We've used Agent Builder, IXP, and Maestro for orchestration. We have created context-grounded searches or chatbots using context grounding, and we also use context grounding within an Agentic flow where a bot or agent reads ServiceNow tickets to determine whether it has been assigned to the right work group. If it has not been assigned correctly due to human error, it automatically reassigns it to the right group. I would assess Agentic AI's ability to extract data points as effective. We created an agent for the purpose of extracting data, though not in a document. We created what we call an email conversation agent that engages with a customer, vendor, or someone in an email conversation with a set goal of extracting specific data points for an action to be performed subsequently. The one automation we have deployed in production involves the agent interacting with team members to collect data points and create a ServiceNow ticket. We appreciate almost all features of UiPath Platform, with one of the most successful ones being the use of Coms Mining. Most of the new features related to AI have all been good, and we use Agentic. We have already created a few agents and have started to use Maestro for a few flows, though we are not yet there to orchestrate an end-to-end workflow. We have good ROI from the automations we have developed with UiPath Platform, which far exceeds the investment in the platform. It has saved us tens of thousands of hours in manual effort, making the team members happy to pursue other things of value.

Citizen developers have automated finance processes and created reusable modules across entities
There are some weaknesses, though nothing on the top of my mind at the moment. From a process and OCR point of view, for example, we are currently doing a use case about e-invoicing. We feel the accuracy that the OCR provides from UiPath Studio was not as high as we had initially anticipated. We had to not go with that module that UiPath Studio offers. UiPath Studio has an a la carte mode where you can buy specific functionalities without having to buy the whole package. We decided to test out a few other tools in the market and bought a customized tool specifically for OCR purposes because UiPath Studio's accuracy was not as great. It comes more on a use case-to-use case basis. Certain use cases that we try show that certain functionalities could be improved, and there is definitely a scope for improvement. That being said, the functionalities that we bought UiPath Studio initially for work pretty well. We wanted a centralized automation hub, an Orchestrator, and maximum license utilization for the bots we were purchasing. They are basic, but at the same time, they are easy to use. The ease of use is one of the main reasons why we still favor UiPath Studio. The AI and OCR parts are something we are looking to explore more in the coming year, and that will probably give us more insights into the functionalities and their value. At the moment, we use Oracle as our ERP. We have not had much success integrating with Oracle so far. UiPath Studio offers a lot of customized integrations for SAP, but not much for Oracle Cloud. We had to leverage our internal ERP in-house team to build integrations. We used Oracle Cloud integrations rather than UiPath Studio integrations with respect to ERP. Every conference or event that UiPath Studio organizes, when we have a chance to speak with someone from UiPath Studio, we bring up Oracle Cloud integrations. I believe that in Europe and the US, Oracle Cloud is growing in usage, so we would appreciate more effort focused there. However, with Salesforce, we used a couple of cases with customer service in our company, and we integrated with it very smoothly without any blockers. At the moment, we have not explored AI and ML capabilities of UiPath Studio as much as we should have. We conducted a series of process discovery workshops in our company, and the use cases we received did not require AI or ML functionalities because they were core finance operations, and we did well with just the regular functionalities of UiPath Studio. We are still looking forward to finding a case where we could leverage AI and ML capabilities. We do not want to use AI functionalities just because we want to use them. It is more of a situation where we ask if it is needed, and we are still looking forward to finding a case that demands the need for AI functionalities or a nice-to-have feature. At the moment, we still have not used or explored those things of UiPath Studio.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The Object Cloning command is the most useful feature. Through the use of this command, between 30% and 40% of the process automation is complete."
"Technical support for this solution is the quickest and the best."
"AA has improved our efficiency and saved on manual hours because no manual interaction is required."
"While our Automation Anywhere's implementation is in a premature stage, it has really decreased the workload on our service desk and we definitely see some ROI in the future from this product."
"For the tasks that I do repeatedly, I can record processes using Automation Anywhere. I record mouse and keyboard actions and create a workflow for those activities. This minimizes my workload. The recording option is very useful."
"The integration of RPA bots with other processes and documents is good. We don't have any issues there. We could have more connectors, but it's fine. I have used it for SAP and for direct API-to-API, and that went well."
"None of the commands are unique to Automation Anywhere, which allows beginners to leverage external knowledge."
"Automation Anywhere is unlike any other software; Automation Anywhere provides me with my bread and butter, and I just love the tool."
"With Document Understanding, people had to read through documents manually and do a control+F to search for certain keywords, which was very time-consuming. Now, with Document Understanding, a robot can read the document, extract the information automatically, and put it into designated fields."
"UiPath provides a great user interface so that a person with minimum technical knowledge can understand the flow."
"It made automation very easy with the help of experts from UiPath, and using this tool made a very easy way to automate the applications that our organization uses daily like time filling."
"I find the solution easier to use than other platforms and it's a user-friendly way to automate."
"The product helps us establish and maintain best practices while simplifying workflows."
"The Academy courses are good. That's usually what I start new developers with; to do those and then kind of have them go and try to do courses periodically to kind of stay up to date and especially when a new release is coming out. The hands-on training is the most valuable part of it."
"There are man-hour savings, some of that equals headcount reduction, but we've also been able to redeploy people to more value-add activities."
"The UiPath Orchestrator is one source to easily manage all bots."
"UiPath Studio is good for automating business processes and repetitive tasks within my company."
"The fact that with UiPath Studio we can build reusable modules that we can use across automations has been specifically very useful to us as a company and team driving this project."
"Compared to other tools, UiPath Studio licensing cost is low."
"There are a lot of great things in UiPath Studio; whatever is required for the development is there, and I do not think I face any difficulty during the development of any use case from UiPath Studio's side."
"Right now we have it deployed, and it is dealing with about 50% of our document volume."

Cons

"I have found that Automation Anywhere is prone to bugs in handling Excel. It breaks and gives vague error messages. I have had a lot of experience with that and learned that it is better to write a Python script instead of using Automation Anywhere's package when dealing with Excel because it is buggy and tends to break, unfortunately."
"In the learning track, I was looking at the latest feature which is coming in A2019, which is very nice, because it is a web-based. So, we can do our development while sitting from anywhere. We don't need any type of installation. It's a web-based. Nowadays, everyone has the Internet."
"The certification exam for AA is not as per the training videos, as the questions are more scenario-based, which makes it very hard for beginners to clear the exam after just tutorial knowledge."
"One key feature we are looking for from Automation Anywhere is the need for a fully evolved CI/CD pipeline approach within our IT organization, given that we manage multiple applications."
"I would like to see them continue building out documentation with more video-aides."
"It should have more commands, which should remove the dependency on MetaBots or other scripts so that everything is available in the tool itself."
"I would like to see a comment feature that allows you to embed comments/notes into an action sidebar, without having to actually take up a line of code in order to write such a statement."
"One of the things that we did was purchase the solution originally through IBM, as they had an value-added layer on top of it. Once we had another group come on, they purchased additional bots directly from Automation Anywhere, and they wouldn't integrate well. We had to uninstall the solution that we had purchased from IBM and reinstall those bots to move forward."
"There's a push for cloud-based operations, but I prefer to develop things on the desktop. I'd appreciate the ability to develop things on the desktop and roll them out concurrently on the cloud."
"I would like to see the setup improved. First we install it, then we log in with Orchestrator, and then we have to log in to the UiPath website. I would like all this to be merged into one setup."
"UiPath Studio could offer alternative coding methods. You could invoke the code with VB or C#, but I'm unfamiliar with either of those languages, and I don't have time to explore them."
"Our developers experienced some sluggishness while developing a very large automation."
"As the platform grows, it's becoming a one-stop solution, but it also becomes difficult to integrate with your pre-existing IT solutions."
"There is potential there for some workflow capability. I know this would be going beyond RPA at that point, but having one platform that does a lot of things would be nice. Because as it stands, when you need to do a workflow or approval process, you need to send this out somewhere else. There are things the bot can do, but I can see some of that functionality already showing up though with the tasks and apps. However, I would like to see more."
"It would help if UiPath fixed bugs in the software before they updated."
"The features I was looking for related to UiPath Platform were related to PII masking, however, they have already introduced it. It's related to guardrails, so it's beneficial."
"On the improving side, concerning costing, I am not sure because the cost of the new product is very high."
"We feel the accuracy that the OCR provides from UiPath Studio was not as high as we had initially anticipated."
"We are not seeing improved ROI because the bigger chunks of use cases we have already addressed. When we take it down to the medium size, the cost of development and deployment is something which is prohibitive and it doesn't make a good financial business case."
"Some of the recent upgraded versions, the package sometimes create problems, so that has to be tested first and then it should be available in UiPath Studio, because everybody wants to use the latest package, but sometimes when we are using the latest package, it creates problems."

Pricing and Cost Advice

"I find the license pricing to be competitive and reflective of the pricing models throughout the RPA space, and I believe there is a lot of value in continuing to maintain the free community edition platform."
"The licensing cost is approximately $4,000 USD, which is a seed license."
"We're paying a monthly subscription fee for the bot and for services. There are no additional costs beyond the standard licensing fee."
"The setup cost depends on multiple factors, so you need to get details before choosing."
"The pricing strategy for us is one license for development. It is more complicated than that depending on the options you choose."
"We have seen a return of investment because it takes less time to market in our current process. I would estimate a times savings between 20 to 30 percent."
"It's somewhat pricier than some of the other tools that we've used, and the breakout between the different applications is also somewhat costly. If they can make it a little more cost-effective or bundle packages a little bit more, that would be beneficial."
"It is not cheap, but we are able to get an ROI."
"I am using the free community version. The enterprise version is obviously a little expensive."
"It is not a cheap solution. There is an annual licensing cost for all the components."
"The price is reasonable, although Orchestrator is really costly. Not many organizations will be able to afford that, but without Orchestrator, you can't do bot management. It becomes pretty difficult. UiPath has to focus on orchestration pricing."
"Costing and licensing were generally in line with expectations of this type of software."
"The price of UiPath is too high."
"Do your research, the infrastructure piece is important to understand before purchasing."
"I'm not directly involved in the financing, but the IT team considers this product costly."
"I think the pricing is reasonable. I don't think it's too much of a stretch, and I think it's where it should be."
