Quotes From Members
We asked business professionals to review the solutions they use.
Here are some excerpts of what they said:
Pros
"The most valuable feature is the flexibility of the searching elements of the metadata.""I like the ease of use, sections, and calendar.""Document repository.""The product allows engineering teams and developers to introduce new things in a seamless and easy way."

More Alfresco Pros →

"It saves our customers time by 30 to 40 percent by eliminating the time to process paper.""Instead storing our documents offsite, we are storing all of our documents electronically.""The natural interpolatability with IBM Datacap, that is a key component of our solution, as well as with BPM, and WebSphere Portal. That's why we prefer FileNet instead of some other, less world-class solution.""The standout feature for us is undoubtedly the Google-like search functionality, which allows us to search for documents within the system effortlessly. Instead of just querying the document database, this feature retrieves all relevant documents, akin to searching on the internet. It is very easy to use.""The product is very stable.""The usability is really good. Our business users are pleased with it. They seem to get what they are looking for, and it's very efficient.""The most valuable features of FileNet are its comprehensive ability to store content, to get insights from the content, and to use that content for making decisions routed through workflow.""The most valuable features of IBM File Manager are workflow, content, and process capabilities."

More IBM FileNet Pros →

"The initial setup is easy.""It has made us faster and more efficient.""Information is now available instantly to managers on all devices.""I do like the collaboration around documents. The versioning history has proven useful in some instances as well.""OneDrive and SharePoint provide a secure, fully auditable way of storing information.""It offers ease of use, which is crucial.""Removed the need of paper storage and people flow into the office.""For any organization with more than one person in it, if they are trying to organize things to let people in the company know what others are doing, then this solution is good for them."

More SharePoint Pros →

Cons
"Metadata, auto class, disposition log, and legal hold.""I would like them to consider document capture functionality.""I think the presentation layer could be improved - currently, it's too complex, and there are too many features cluttered all over the screen.""Alfresco has a very steep learning curve, and unfortunately, during the learning process, it's very easy to make errors, which often are unforgiving."

More Alfresco Cons →

"Our client feels FileNet does not provide them with content searchability. They feel it's cumbersome. They're only using Metadata. If the Metadata is not well-populated, it becomes a problem to retrieve a document.""I would say the installation process can be very complicated, and you need to to have an experience resource.""The installation and configuration to start up needs expert level knowledge.""I would like to have an offline DR deployment. If that is doable, then it would be a big win.""For end-users there is a lack of administrative features. The interface of basic FileNet is not very good.""The application's processing engineer needs to be more advanced.""It would be nice if they could make it like containers are working in Kubernetes to auto-scale based on demand.""It may be a little complex to implement and take some effort."

More IBM FileNet Cons →

"Improve the user-friendliness.""It should have more user-friendly customization, as it still requires developers to get engaged and build sites.""The initial setup is complex and has room for improvement.""We would like more security features, like automating.""One issue is that when users mistakenly hide files or set permissions incorrectly, it can lead to files becoming inaccessible, requiring intervention from Microsoft support to resolve.""SharePoint sometimes cannot handle the amount of co-editing that we do.""The company also needs to make sure that their policies are dictating how information is stored and used, instead of letting SharePoint take control.""It should have a Google-caliber search ability and a model-based GUI."

Pricing and Cost Advice
  • "It is cheaper compared to head-to-head competitors."
  • "There are costs for any upgrade or additional functions."
  • "If you buy Alfresco through a partner, there is usually a OEM licensing option."
  • "The license for Alfresco is expensive - not the maximum, but close. There are also extra costs once you start building integrations, as implementation seems to be very costly."
  • More Alfresco Pricing and Cost Advice →

  • "The biggest issue is the cost of the FileNet, because the license cost is very high. If a customer doesn't have good technical guides that are aware of the license calculation, they will pay too much. FileNet's license calculation depends on the processor and number of users. So my advice to a new customer is to be very careful with your calculations before purchasing FileNet."
  • "It is still a leading ECM solution provider, however the cost to implement and maintain are higher than other solutions."
  • "FileNet is not cheap, but you absolutely get what you pay for. "
  • "For small scale industries, they allow different options. They can do open source. It is the complexity of the data security that they should think about before they choose."
  • "For the medium scale or large scale, I would recommend FileNet. FileNet is free of licensing expenses, thus good for the money. It is not expensive, but worth for the money, especially for medium scale and large scale industries."
  • "There are lots of components to the product. Make sure before you invest that you know which components you need."
  • "1. It will be more expensive than estimated to setup. 2. You will need to double the staff while you are running the old system and installing the new system. 3. Depending on the number of documents to be migrated, make sure you understand the potentially massive amount of time and effort required to migrate the existing content to the new platform."
  • "The physical space that we have gained back pays for the service. Therefore, it has reduced our operating costs overall. We have definitely seen ROI. I would estimate $30,000 a year."
  • More IBM FileNet Pricing and Cost Advice →

  • "As usual, Microsoft’s licensing structures don’t really seem to fit the needs of their products. This leads to always paying for a project you will never use fully or always be adding to."
  • "Licensing can be by server or by seat."
  • "It is very expensive."
  • "The data classification and search elements are cheap."
  • "The replacement costs for it are cheaper if you use only SharePoint."
  • "We have purchased add-ons to handle multiple site collections, form creation, and design."
  • "The cost is expensive, but worthwhile."
  • "The pricing works for us."

    Comparison Review

At Mediacurrent we often get requests to compare Drupal to other platforms used for intranet sites and social business platforms (like https://dev.twitter.com/ for example). This is often referred to as “Social Business Software”, which has grown in popularity in recent years. I decided to do a round-up of a couple of the more well known platforms and compare their products to Drupal. In this roundup we will be comparing Jive, Sharepoint and Drupal Commons. Drupal Commons is a popular distribution created by Acquia to compete with some of these other proprietary platforms. There are many other options out there, commercial and otherwise, to compare with Drupal but I want to focus on Jive and Sharepoint for a couple of reasons. I chose Jive because it is one of the leading competitors in this space in respect to market share. Next, I chose Sharepoint because I have some history with Sharepoint. This experience dates back to when I built www.adhe.edu with Sharepoint 2007 a few years ago. I subsequently wrote this blog entry about my experience shortly after joining Mediacurrent. This roundup will also act as a refresher for those who read my original “Drupal vs. Sharepoint” blog. Yammer, which was recently bought by Microsoft and is the tool we currently use for office communication will also get some mentions throughout this article. As I went through and tested each of these tools I used three main criteria in my evaluation Cost Ability to Customize Overall features… Read more →
