Centralized document control has improved audits and daily workflows with accurate versions
I consider the best features that Alfresco offers to be its handling of document versioning, legal retention, traceability, and granular permissions, which helps considerably for audits. Traceability and granular permissions have greatly impacted my daily management. These aspects have improved efficiency and security in my organization. Security has been improved since with granular permissions we can give the proper access to collaborators. Those who need to read a document only have that permission, and we can also see who has permission to view a document and control who can edit and who can upload a document. Alfresco has positively impacted my organization since everything is centralized, so you do not have to waste time wondering whether the information you need is on this server or that server. Everything is in one place and everyone has their own access. I have noticed a change in team efficiency, response times, and error reduction thanks to the centralization of information. Time has improved, meaning time is not lost searching for documents. In addition, errors have been reduced, as you always have the correct version of the file. There is not one version here and another over there. You always have the updated version.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The ROI from Alfresco is highly profitable for the company, helping us accelerate operational excellence and decrease compliance risk while increasing compliance mitigation, saving at least seventy to eighty percent in time and forty to forty-five percent in manual labor, cutting processing time by ninety percent, reducing physical storage costs by eighty percent, and protecting us from massive financial penalties associated with compliance failures totaling approximately two million dollars."
"We are happy with Alfresco, believing it to be a very good and competitive solution in price as a great content management solution."
"Alfresco is a very good product that has very good inbuilt features, and at the same time, it is customizable and we can customize this product the way we want."
"Alfresco positively impacted my organization by enabling the ability to store hundreds of thousands of documents, helping my team save time and reduce errors, enabling users to find exactly what documents they were looking for in a timely fashion, as well as to export to patients and healthcare members what they needed to do for Medicaid, Medicare, or any other secondary insurance, including the documents they needed to fill out as well as prescriptions."
"I have seen a return on investment with Alfresco because errors due to outdated documents have been reduced, processes have been improved, and process flow has also been improved."
"Alfresco allows broad searches with many index fields that you can search on, although the created fields and their values may not be intuitive."
"If you are looking for a product which has all the common functionalities such as document and media management, record management, workflows, document indexing and searching, then in that case, Alfresco is the platform that you need."
"Alfresco has impacted my organization and my customers' organizations positively by enabling them to have a very flexible solution that could meet their requirements."
"The document management system (DMS) has a fast retrieval time regardless of the stored volume."
"The tool's security has improved our management process. Its integration is good. It offers ready APIs that you can customize without developing the code. You don't have to go to the code level to implement the integration parameter."
"Our accounts department's invoicing process has been optimized and this has helped us in saving a lot of time."

Cons

"Alfresco has a very steep learning curve, and unfortunately, during the learning process, it's very easy to make errors, which often are unforgiving."
"The configuration of Alfresco is a big challenge."
"I would like them to consider document capture functionality. Currently, for document capture functionality (ocr, read document metadata automatically, automatic document classification), Alfresco needs to be integrated with document capture such as: Kofax, Ephesoft, etc., while other Alfresco competitors already make document capture functionality as their default functionality."
"I have not seen a return on investment, as at the time it was not saving them money at Evernorth and Cigna, which is why they moved out of it."
"The setup process for Alfresco was complex."
"We did encounter some stability issues when there were many simultaneous requests on the server."
"Alfresco could be improved in terms of maintenance and could have a simpler architecture regarding search functionality."
"Alfresco is not a plug-and-play platform. It has a considerable implementation curve and demanding technical administration."
"Newgen could open up more to the education segment by making resources easily available to customers, similar to IBM and SAP certifications."
"We need to work on establishing a stable licensing model. When licensing terms change frequently, customers find it difficult to budget effectively."
"The Arabic language text search ability needs to be improved."

Pricing and Cost Advice

"There are costs for any upgrade or additional functions."
"If you buy Alfresco through a partner, there is usually a OEM licensing option."
"It is cheaper compared to head-to-head competitors."
"The license for Alfresco is expensive - not the maximum, but close. There are also extra costs once you start building integrations, as implementation seems to be very costly."
"I rate the tool's pricing a seven out of ten."
