What is our primary use case?

The primary use is to back up our Office 365. It also comes with email security and the Message Archiver. Our Office 365 backup is probably the most important piece and the Message Archiver is the second most important piece. It archives every email that comes in, it's not a backup type of an archive. You can use it for a backup, but it doesn't put it in folders, it's not for restoring someone's mailbox. It's just for searching for emails in case there's some type of litigation that requires us to retrieve someone's email messages.

How has it helped my organization?

We now have a secondary backup of Office 365 that's much easier to retrieve compared to Microsoft. If someone deletes something in Office 365, we can get it back within Office 365, but it's difficult. Barracuda is much easier. There is a lot less management needed using Barracuda. The management becomes much easier for Office 365 and it's no longer on-prem, so there are fewer hours managing on-prem devices, servers, and things of that nature. We don't have network appliances anymore for the backup of our information.

What is most valuable?

The Archiver has been the most useful for me. And that's mostly because I'm the one that's involved in retrieving messages when they're looking into something suspicious. It has been very useful. I have restored backups of Office 365, where people have deleted things from their accounts, so that's been very useful too. And it's a cloud-to-cloud backup from our Office 365 cloud to Barracuda's cloud.

What needs improvement?

Sometimes it is somewhat laggy, especially on the Archiver side. It should have improved performance on their Message Archiver.

For how long have I used the solution?

We've been using Barracuda Essentials for four years. 

What do I think about the stability of the solution?

We've been running Barracuda Essentials for about four years now, and we've never had an issue with them up until just a few weeks ago. We had a problem with the Archiver. They had some technical issue, and we weren't able to get into our Message Archiver and it wasn't journaling the email. We were getting alerts from Office 365. That only lasted for part of a day. That was the only time that we ever saw any downtime. I'm not saying that there's never been any downtime for us, but not anything that was impeding us from getting to our data except for that time. I would rate them as excellent because, over the four years that we've been with them, that's the only time that we had an issue.

What do I think about the scalability of the solution?

Being that it's in the cloud, it's very scalable. With Office 365, my understanding is that our amount of backup is unlimited. On the Message Archiver, we have four terabytes and if we want it to scale up, it's just a matter of asking them for more space. Obviously, we'd have to pay for it, but at least the scalability is just a matter of purchasing more space. It's very scalable. There are five users. One of my coworkers deals with restoring backups. If someone has accidentally lost some documentation or some type of files in their Office 365, he will restore it for them. A couple of us have done that from time to time. There are a couple of us that deal with retrieving messages from the Message Archiver emails, either for some type of litigation that might be going on, or if someone has deleted an email, we can have it re-sent to them. Some of us deal with restoring backups and others of us deal with providing emails for litigation or restoring emails. The backups and Message Archiver are ongoing every day. I would say we utilize it probably once or twice a week and I doubt that would change in the future. So as far as us accessing the information, like restoring a backup or looking up emails, it only happens about once or twice a week at the most.

How are customer service and support?

We haven't had to contact them often. I would give them an eight out of ten. They have good support. I do remember calling them in the past more when we had their appliance, but we have contacted them a couple of times and they seemed to have good support.

Which solution did I use previously and why did I switch?

We used Unitrends for on-prem backup. We had a lot of hard drive failures with that unit. And so we switched to Barracuda Backup. From the Barracuda Backup, we switched to Barracuda Essentials. The reason we switched from Unitrends is there were just too many hard drive failures.

How was the initial setup?

The initial setup was somewhat complex, especially on the Office 365 cloud to cloud backup. But they did have extremely good instruction, so even though it was somewhat complex, it was well-documented. So in the end there were several steps, but it was easy to navigate through those steps because of the documentation that Barracuda provided. The deployment was done over days because we had on the email security side, there was documentation for that, and then documentation on the Office 365 backup. It took approximately five days for us to implement it. We probably could have implemented it a little bit quicker if our time was spent solely on Barracuda, but we have other things that we deal with too. I know we finished it in about a week's time. I would say that it took five business days to complete.We didn't have a meeting about it and decide how to go about implementing it. We just began it and finished it within a week's time. We really didn't have a strategy on how to implement it. We implemented it in-house without involving a third party or involving Barracuda. They probably have their support for implementing things. Normally companies have a division that you pay for the support outside of your typical support for implementation but we didn't do that.

What's my experience with pricing, setup cost, and licensing?

When we started with it, I think they were eager to get people in, but we only had $20,000 in our budget for backup, so that's all we had to work with and I told the sales rep that. They kept it in line. They came in, I think just pennies under $20,000, which was pretty good. It was pretty good because other solutions were much higher and that included two terabytes of space for message archiving. And if I remember correctly Office 365 Cloud Backup was unlimited. It seemed to be a package deal. It was a package deal because we had a price that we needed to stay under and they worked on getting to that price.  We pay annually. They never charged us for anything else. And they were quite a bit under that $20,000 mark. It was $19,074. And they've been pretty good about not skyrocketing the price or anything like that. It has gone up. It's gone up to $24,000 in 2020.

Which other solutions did I evaluate?

We looked at Veeam at the time. And we stayed away from Veeam because at the time they just did virtual servers. They were starting to do physical servers, but without paid support, you had to email people at the time. It was free support, but it was through email or something like that. So we stayed away from them until they fully supported physical machines. We use Veeam also for our on-prem VMs. So we no longer use Barracuda for virtual machines. We use Veeam for virtual machines. Our virtual environment and our Office 365 environment are two very different products. And we like what Veeam provides us for the virtual environment, so I don't see us moving away from Veeam. We like Barracuda Essentials for Office 365, but we like Veeam for the virtual environment. So I think we'll end up having two solutions for that.

What other advice do I have?

My advice would be to follow closely with Barracuda's implementation documentation. It's very thorough. They don't need to utilize a third party for implementation because it is straightforward using their documentation. We were only backing up data prior to Barracuda Essentials for a month and a user lost their data but didn't realize it until after a month had passed. So the lesson that I learned is that it's better to keep backups for at least a year, just to make sure that we're able to retrieve things when people are not aware that they even lost their data. I would rate them a nine out of ten because their product is a set-it-and-forget-it type of product. We really don't have to spend time managing the product or calling for support.

Effective spam blocking, useful central management console, and exceptional support

What is our primary use case?

Barracuda Essentials is used for anyone that wants to protect their email. It helps with protecting against spam, malware, and encrypting your email messages. This is an option with all the email messages. They have other add-ons which use artificial intelligence to protect you against fishing attempts. 

They have employee training against email phishing attempts. There are nice packages of other options that can be added to Barracuda Essentials.

The most valuable features of Barracuda Essentials are it's a trusted name and is rated very high on review sites. It blocks high percentages of spam and junk email and it's in the cloud. They have hardware appliances, but this is in the cloud. The solution is very effective at blocking malware and blocking spam and this is what we are looking for. There's not a whole lot of complexity, you want a solution that is very good at blocking out all of the unwanted emails. 

Barracuda Essentials is doing a good job at adding more features. They have a solution that will, through artificial intelligence, track email messages, and determine who's trying to spoof your emails. This is provided by the Advanced package of the solution.

You want the ability to manage your own inbox and be able to whitelist and blacklist various email messages, they have a good user management interface for doing that. The people that are managing this can see harmful messages from a central console. 

What needs improvement?

Barracuda Essentials can improve by continually adding more features.

For how long have I used the solution?

I have been using Barracuda Essentials for approximately three years.

What do I think about the scalability of the solution?

Barracuda Essentials is highly scalable, we can scale it up into the thousands.

Barracuda Essentials does a very good job for both mid-market and enterprise clients. We've been deploying it across small, mid-size, and a number of enterprise clients.

How are customer service and support?

The technical support is fabulous we work with them a lot. I have found the support exceptional.

How was the initial setup?

The initial setup is simple, it can be done within 15 to 30 minutes.

What about the implementation team?

We will deploy the Barracuda Essentials, and then based on what the client's staffing size is in their IT department, they will either manage it or ask us to manage it. It all depends upon the level of staffing that they have.

Which other solutions did I evaluate?

Barracuda Essentials is ranked on all of the various surveys, very high against Microsoft, Mimecast, Proofpoint, and Barracuda's right at the top of the list. Traditionally, when they do these surveys, Barracuda's very high.

What other advice do I have?

My advice to others is, if they look at the entire package that Barracuda has, which includes Essentials, it includes a product called Sentinel, and PhishLine. If you take those three things, they are now renamed and called Premium. I don't see any other email security solution that stacks up against them.

I rate Barracuda Essentials a nine out of ten.
