Alfresco offers many features that I value highly. The first is the open architecture that provides extensive REST API and support of open standards such as CMIS, allowing our development team to easily extend their capabilities. The second valuable feature is the activity workflow engine, a powerful BPMN compliant workflow engine that automates complex and multi-step processes natively alongside the content. Another favorite feature is smart document processing. Due to its built-in AI capabilities, Alfresco can automatically classify documents based on our business requirements and tagging. This directly helps us find those documents by tagging them and locating them more easily. The smart document processing in Alfresco has helped us extract information via OCR and identify entities without requiring manual data entry, as it works on a metadata approach that is directly searched via OCR. The text is assigned as a token in the backend, and using the AI capabilities, Alfresco can automatically classify and read via OCR. Alfresco also provides automated lifecycle management that helps us enforce legal holds, retention schedules, and secure disposition of records, keeping the files secure and ensuring that our organization remains compliant with legal requirements.

OpenText Content Management has a feature that is unique in the market, which is the deep integration with leading applications, allowing reflection of the connections between different processes and objects in applications such as SAP, SuccessFactors, or Salesforce, visible inside the document management application. Without connecting to the leading application, for example SAP, you can navigate between all documentation, having a full 360-degree view of all information related to the process. This means that when you create some action regarding an object that has a connected document in the content management system, you can automatically see additional information connected, managed and controlled by the leading application, with automatic reflection in the document management system. This is a unique advantage that OpenText Content Management has, which is not found in the market. Another unique feature is the integration with Office 365, where you can work with different folders or binders in the document management system and connect to Teams in a simple way, making all this information available in the Teams you are working with. Digital Asset Management is a big part of the content management solution within OpenText Content Management, allowing full integration of all documentation, pictures, plans, and technical documentation if you have asset management inside SAP. It connects similarly to other modules of SAP but includes a special feature for asset management from a technical point of view and connects with the engineering department, providing the full life cycle from development through deployment to maintenance. This means you have the full life cycle from the beginning when you define the solution, construct it, and finally transfer it to maintenance to keep all information updated easily, avoiding risks and ensuring access to accurate information at the right moment.

SharePoint is a powerful platform, but there are a few areas where I think it could be improved, such as user experience. For new users, the interface and navigation can feel quite complex, specifically when working with multiple sites and document libraries. Another improvement would be search functionalities. While it is good sometimes, it does not always return the most relevant result unless a document is very well-structured and tagged. Also, initial setup and customizations can be time-consuming and may require technical expertise, specifically when configuring workflows or permissions. From a modern development perspective, tighter and more seamless integrations with tools including Power Automate and better support for custom backend integrations through APIs could make it more efficient. Overall, simplifying usability and enhancing search and integration capability would make SharePoint even stronger. One additional area I would appreciate improvement would be performance and responsiveness, especially when dealing with a large document library. Sometimes loading or navigating through large datasets can feel quite slow. Another aspect is permissions management. While it is very powerful, it can become complex to manage at scale, specifically when there are multiple levels of access across teams and projects. Improving developer experience would also be beneficial. Making customization, API integrations, and extensions more straightforward would help teams, especially backend developers, leverage SharePoint more efficiently.
