Streamlined document workflows have improved collaboration and supported compliant record management
Alfresco delivers an open, scalable, cloud-native content, process, and governance management suite. When it comes to document management, it is one of the best and top-notch solutions available. Alfresco helps us to quickly find and access information from anywhere on any device using web-based viewing tools. It is a very intelligent tool because it provides intelligent process management where integrated process and content service capabilities streamline content-centric processes and enable faster and more informed decision-making. I love the basic workflows that are easy enough for casual users to set up and utilize. Cloud synchronization capability provides a great way to share documents with third parties and to use as a backup system for critical documents. The best features Alfresco offers include the Alfresco mobile app, folder rules that are easy to set up, and the ability to make metadata assessment easier to automate. Easy customization and support from Alfresco are great advantages. We have been able to automate most of the repetitive tasks using folder rules and metadata automation, saving a lot of time and cost. Through the Alfresco mobile app, it makes it easy for those on the road to access, approve, and share documents, promoting collaboration. Deal flow processes run much more efficiently. Compliance needs are easily met in a cost-effective manner.

Powerful data model building enables comprehensive document management for government sectors
The learning curve in Nuxeo is not easy, and it requires additional time. It's challenging to onboard new users or new developers. The resources on Hyland are good but lack exercises and use cases to apply by oneself during learning. There is not much practice to apply that knowledge directly on Nuxeo and get further details into the platform.

Centralized document governance has boosted collaboration and made knowledge sharing structured
SharePoint is a powerful platform, but there are a few areas where I think it could be improved, such as user experience. For new users, the interface and navigation can feel quite complex, specifically when working with multiple sites and document libraries. Another improvement would be search functionalities. While it is good sometimes, it does not always return the most relevant result unless a document is very well-structured and tagged. Also, initial setup and customizations can be time-consuming and may require technical expertise, specifically when configuring workflows or permissions. From a modern development perspective, tighter and more seamless integrations with tools including Power Automate and better support for custom backend integrations through APIs could make it more efficient. Overall, simplifying usability and enhancing search and integration capability would make SharePoint even stronger. One additional area I would appreciate improvement would be performance and responsiveness, especially when dealing with a large document library. Sometimes loading or navigating through large datasets can feel quite slow. Another aspect is permissions management. While it is very powerful, it can become complex to manage at scale, specifically when there are multiple levels of access across teams and projects. Improving developer experience would also be beneficial. Making customization, API integrations, and extensions more straightforward would help teams, especially backend developers, leverage SharePoint more efficiently.

Quotes from Members

"The initial setup was straightforward, because Alfresco also provides a stack installer that includes the required supporting software."
"If you are looking for a product which has all the common functionalities such as document and media management, record management, workflows, document indexing and searching, then in that case, Alfresco is the platform that you need."
"The most valuable feature is the flexibility of the searching elements of the metadata."
"You can meet your users' expected features without having Alfresco's involvement."
"Alfresco has positively impacted my organization by allowing us to save money by only needing to use one platform to serve our customers, which is Alfresco."
"Alfresco is the only enterprise CMS that has features like contribution, sharing, workflows, automation and robust content and record management, that are also Open Source."
"Nuxeo is very powerful in terms of building up the data model and the context model."
"Nuxeo content management engine is powerful and can be adjusted to any need (user interface, document types, automations, workflows)."
"It is a good tool that makes managing projects and teams much easier, with all documents and calendars in one central location."
"Office 365 integration is most valuable thing in SharePoint."
"I think this represents the collective knowledge, which is highly valuable."
"It's providing a social collaboration experience to a culture of heavy email users."
"For SharePoint, I believe the most valuable feature is the customization and allowing you to share and edit files and documents. Being able to share externally and the precise administration of the files in terms of giving permissions and controlling who has access to what is a very good feature."
"For any organization with more than one person in it, if they are trying to organize things to let people in the company know what others are doing, then this solution is good for them."
"Using this product, one can benefit from OOB features in regards to content and document management, and it provides a single platform where multiple applications can be integrated under one roof."
"Using the workflow as an example, it has helped to transform the conventional paperwork processes into digitized and faster processes."

Cons

"Currently, documents in Alfresco are stored on a file server, which, while good for performance, is a security risk."
"We did encounter some stability issues when there were many simultaneous requests on the server."
"If you don't have proper governance, things can go wrong. You have to make rules, such as one folder should not have more than 5,000 subfolders or children."
"Technical Support: Average, this might be because I am quite experienced and the questions I have might be difficult to find an answer to quickly as I have probably already exhausted most solution possibilities before I contact support."
"I think the presentation layer could be improved - currently, it's too complex, and there are too many features cluttered all over the screen."
"One of the main areas that should be improved is when users are members of 1,000 sites or more, certain features such as site dashlets do not work properly."
"The setup process for Alfresco was complex."
"I feel the documentation needs a lot of improvement, especially for Activiti microservice adoption, which is sometimes frustrating or slows me down."
"The learning curve in Nuxeo is not easy, and it requires additional time. It's challenging to onboard new users or new developers."
"Pricing is too high. Nuxeo Studio has a fixed price, no matter the number of active users is."
"As usual, Microsoft’s licensing structures don’t really seem to fit the needs of their products."
"It should have more user-friendly customization, as it still requires developers to get engaged and build sites."
"We do sell Hyland OnBase, which is probably a competitor to SharePoint and does a lot more. In our own organization, we haven't had a need for it, but certainly, for our customers, we are finding that to be a better fit. In terms of the technical reasons for that, I'm not involved much on that side, so I can't give specifics, but there is certainly room for them to improve or add on certain features that clearly are not available in SharePoint, but they are available in Hyland OnBase."
"This solution would benefit from the implementation of enhanced online forms and template development capabilities."
"I would like it to be more compliant with global regulations. There are certain features which could be included that currently are not there, such as compliance and record management capabilities."
"More hints and make it more user-customizable."
"The initial setup process is not intuitive."
"Workflow is something that can become more intelligent."

Pricing and Cost Advice

"If you buy Alfresco through a partner, there is usually a OEM licensing option."
"The license for Alfresco is expensive - not the maximum, but close. There are also extra costs once you start building integrations, as implementation seems to be very costly."
"It is cheaper compared to head-to-head competitors."
"There are costs for any upgrade or additional functions."
Information not available
"As usual, Microsoft’s licensing structures don’t really seem to fit the needs of their products. This leads to always paying for a project you will never use fully or always be adding to."
"It comes bundled with the Microsoft 365 pricing plans."
"Any extended support from Microsoft is expensive."
"We have purchased add-ons to handle multiple site collections, form creation, and design."
"For this type of solution, it is not wise to buy it without Software Assurance."
"Licensing can be by server or by seat."
"They are about an eight in comparison to other similar products."
"The replacement costs for it are cheaper if you use only SharePoint."
