What is our primary use case?
My main use case for Camunda is for BPMN diagrams, just the designs for various projects.
The project I'm currently working on involves developing the workflows for the National Aids Council in Zimbabwe, where we are looking at, for example, a sister-to-sister program that includes registration, session attendance, and cohort creation, which I design using BPMN. They have a lot of models or programs that they're working with, about 10 or so, so I have a flow for each model.
We are not using orchestration in our organization.
We are not running processes, so I have no comment on my ability to observe and control processes at runtime, including visibility, intervention, and cost or performance monitoring.
We do not have experience with long-running processes that run for days, weeks, or months while keeping full state and visibility.
How has it helped my organization?
When I started off in this organization, there were no workflow designs, but now that we are using Camunda for BPMN designs, it helps the developers understand better what needs to be developed, how the process goes, and also through the comments, I am able to put the data fields that are required for each task, making it easier for the developers to understand everything.
Since using Camunda, it has been timely and with the use of AI, we are able to develop the workflows faster. The communication flow is much easier because of collaboration, though it is unfortunate that for the unpaid version, you are limited in terms of users, but with the paid version, it was quite acceptable with a lot of users collaborating. Additionally, efficiency increases because we do not have to go back and forth pasting designs for the developers, as they just have access there, which is seen through the outputs of the systems we are developing. Even though we are not doing orchestration or converting to source code, the efficiency is still quite high.
What is most valuable?
The best features Camunda offers include the ability to design, adding color, adding comments, and the AI tool that supports asking questions when you are stuck, as well as the ability to search for different elements of BPMN.
I use the change color feature the most because I design as-is processes and to-be processes, where as-is processes are flat and have no color, while the to-be processes have color to distinguish the two. Additionally, for standardization, we want our workflows to look the same, so my teams already know how to color their designs based on the standard that we have developed.
In terms of searching for BPMN elements, I find that BPMN is quite broad and sometimes you just do not know everything, so it helps in identifying what element to use at which point. Furthermore, because Camunda supports identifying issues, it reflects where your workflow has gone wrong and how you can fix it, which helps in learning BPMN more and designing proper workflows.
I have used the AI function quite a bit and received really accurate and reliable outputs. However, I sometimes expect too much from the AI tool, wanting an actual design from my request, which I did not get; I am not sure if that has been incorporated in the new changes, but sometimes I just want to give a sequence and receive the BPMN diagram output.
I think it is beneficial that business and technical teams can design and run processes from a single shared model, as it increases efficiency rather than having back and forth copying and pasting. This collaboration also increases accuracy by allowing us all to see the same thing, which helps in easily picking out and fixing mistakes, ultimately making it faster to share work and maintain proper workflows for our projects.
The blend of deterministic, rule-based steps with dynamic AI-driven decisions is valuable to our organization, particularly because we run projects with strict timelines; it increases efficiency and time efficiency. The ability to do my work independently of AI allows for customization, where I can design what I want on my own, and then blend with AI when I need assistance.
The importance of Camunda being built on open standards such as BPMN and connecting openly to different models, agents, and frameworks is standardization; we can give someone who is in Norway our BPMN diagram and they should be able to understand it, as it is a global standard. This creates a common understanding for our work, making it a global good.
What needs improvement?
Camunda is working quite well for me, and I like the changes happening in terms of design and setup. However, I would recommend having a sort function because, right now, my workflows have been reorganized and are no longer in the original order I had put them in; I would want to reorganize things on my own, so a sort button would allow me to place my workflows in my desired order.
I think there should be a sort of independent version of Camunda that just allows designing only, so even if I do not want to do orchestration or accept some comments, I can still have my workflow working without any issues reflected, allowing it to flow properly.
I gave Camunda a nine because I am still trying to navigate through the changes; maybe before the changes, I would have rated it ten, but I am still trying to understand the new interface and believe there is a need for a bit more support during the transition from the previous version we were used to.
For how long have I used the solution?
I have been using Camunda for two years now.
What do I think about the stability of the solution?
Camunda has been quite stable; when it was down, it was communicated in advance that there would be maintenance or issues, so overall, it has proven to be pretty stable.
How are customer service and support?
Customer support is quite great, and while nothing can be one hundred percent perfect, we have had constant communication. I can ask questions when I face challenges, such as when I could not find an invoice and reached out for assistance. I also had difficulties navigating through the ongoing user interface changes, but I received support and managed to navigate through it.
I would rate customer support a nine.
Which solution did I use previously and why did I switch?
I used to use Visio a while back, but it did not support collaboration as much as Camunda does. I also tried using Lucidchart but faced complications due to location limitations; however, since Camunda is universal and global, we have not encountered challenges using it, leading to our switch.
What was our ROI?
I have seen a return on investment because fewer employees are needed; for a good part of the project, I have been working alone as the only business analyst and designer using Camunda. It also saves time because all developers access everything from Camunda. While money saving is not as noticeable, it indirectly translates to savings when having fewer employees and spending less time implementing projects, such as an integration project I worked on for the Ministry of Health, where I completed all my workflow diagrams in a week instead of the expected month.
What's my experience with pricing, setup cost, and licensing?
At one point, we were subscribing to a monthly subscription, which I found quite pricey, especially since we were not fully utilizing Camunda. It became overwhelming, which is why we stopped, but I believe the pricing aspect is acceptable when fully utilizing the package.
Which other solutions did I evaluate?
Before choosing Camunda, we tried using draw.io, but its limitation was also on collaboration, and I think I was using the desktop version that did not support nice visuals, including coloring and beautifying workflows.
What other advice do I have?
I am not sure about Camunda's governance and security, as I have not looked much into it, but in terms of security, I believe that with user authentication, our data is likely very safe.
I am not very certain about which cloud provider we use for our hybrid deployment.
I plan to expand our use of Camunda by bringing more AI agents into critical processes, as this is very important for us due to strict timelines and deadlines. For orchestrating more of our business end to end, it is something we still need to discuss as an organization, and while it is not a current priority due to the development teams not being quite familiar with Camunda, it is primarily the business side that uses Camunda for workflow designing.
I would advise teams to use Camunda and utilize it to the fullest because it offers a whole package that is highly beneficial to organizations, increasing efficiency. I also suggest opting for the paid version if collaborating with large teams, as the unpaid version may not provide value since some team members may not have access.
