Secure file governance has improved collaboration and automation for client document workflows
The best features are around security, being able to set up different groups, and the governance features are really great. The new AI functionality that they released has been pretty handy. For governance and security, the audit trail capability is excellent. We are able to see when people interact or change files or if something was deleted, and we can go through and review that audit trail. The AI has been great for creating different workflows that we are able to execute. When a form gets submitted into Box - Intelligent Content Management or a file is uploaded, there are certain automations that we can put in place to where it can essentially generate tickets in our system for new users or other tasks.

Has transformed how I manage documents through metadata and automation while enabling structured collaboration
Microsoft should restore some functionalities from older versions of Microsoft Office SharePoint Server 2003 and 2010. Specifically, bringing back something similar to SharePoint Designer would be beneficial. SharePoint Designer was both advantageous and challenging - developers found it limiting and preferred Visual Studio, while non-developers struggled to use it effectively. A new tool for configuring webpage design and development for content pages would be valuable. The current system is too basic. While integration of filtered lists and libraries is possible, it requires knowledge of Python or jQuery. A WYSIWYG editor would be preferable to requiring programming knowledge or Visual Studio.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The ease of using Box on multi-platforms, including my phone and tablet, along with the collaboration features means I've been able to use it with my family (including my non-tech-savvy parents) for simple sharing, as well as with colleagues for team collaboration."
"You can upload your bin, upload your files quickly, and download your files quickly. It provides a lot of other alternatives."
"File/Folder collaboration has allowed our users to work together, eliminate silos and reduce unnecessary email."
"Box is very realistic when it comes to sharing capabilities."
"The most valuable feature of Box is security."
"The beauty of Box is that you don't need to download the document on your computer to edit it and then upload it again, because you can edit the content while the document is in the cloud."
"Sharing and collaborating across files and folders has been a massive game changer."
"The ability to collaborate around data anywhere, anytime is the most powerful features of Box."
"The features for low-code and no-code capabilities in Microsoft Office SharePoint Server are among the best, which are very user-friendly and not seen in any other cloud services, such as S3 from AWS and blob storage from Azure."
"Microsoft Office SharePoint Server is a scalable solution because our applications are not staying in one place, year on year we are increasing users, so definitely it can scale with what we need."
"The ability to create simple web pages with diagrams and links is valuable, particularly for intranet work and creating wiki pages for a team to show how we do certain things."
"The online version doesn't have any bugs or glitches, doesn't crash or fail, doesn't need any infrastructure or virtual machine as it's completely online, and the cloud keeps it very stable."
"This product is useful because when I go to the client place I can use my credentials, I can log in and I can share whatever I want to share from SharePoint Server."
"The ability to work through a web browser without requiring installation on devices is particularly beneficial."
"Essentially, it is the full suite of Office 365 with the advantage of using the SharePoint database as your list."
"The solution is scalable, and you can do both horizontal and vertical scaling."

Cons

"If you want to delete something in Box, you have to do it manually, one by one."
"The biggest friction point I have encountered with Box is mainly the pricing part; I think five dollars for this platform is not necessarily justified."
"Box Sync is still a bit buggy and it is difficult to get used to not being able to organize your view of folders as it is determined by the owner of the folder."
"I don't like the low level of role-based security it provides – it's very cumbersome, and the support is ordinary at times."
"The waterfall methodology for folders does not allow for privatization of folders at the root level, which sometimes may be necessary."
"The upload speed needs improvement."
"With OneDrive, you can continuously save your files over a Box folder. That is something I wish we could have."
"I would like to see features for online collaboration between team members in the future, to open and see who is accessing the document now and see my movements across the document or the file we are sharing together."
"Probably because I may not have extensively used the advanced search, the search option can sometimes get a little difficult to find out what exactly you're looking for."
"Microsoft's technical support could potentially improve as they are not easily accessible."
"The solution needs to be more collaborative. I believe they are just coming up with the themes for this right now."
"The solution could probably be improved by incorporating some of the power apps for workflow and easy setup."
"It is a bit restrictive to develop in the cloud version."
"I would like to see the integration with Teams reinforced."
"The solution requires a lot of hardware capacity for high availability and performance."
"The solution is like a CRM, so the initial setup is complex. It takes a few days to deploy the solution and the length of time depends on how large the company's topology is and what the client's demands are."

Pricing and Cost Advice

"A business account has a minimum of three users. If you are more than three people in-house, go for the Enterprise version. All the external users are free of charge."
"I have to pay for Box. It could be a little cheaper. On a scale from one to ten, I would give the pricing a five."
"Box needs to improve with their pricing in terms of licensing costs."
"They are very price competitive when pushed. Initially, they come out with a standard list price, but they are willing to be very competitive. The Box price was pretty much equal to or lower than the Citrix price, and Box has more features."
"We are using the free version of the solution. There is a free version and monthly and yearly subscriptions available."
"Better sign a full year's contract to get a discount."
"I'm in Higher Ed, so we purchase through Internet2-Net+. I absolutely recommend going that route for Higher Ed customers."
"I believe Box is cheaper than SharePoint."
"Pricing plans may be flexible depending on volume usage and your corporate relationship with Microsoft."
"One of the reasons why we don't recommend the cloud version of SharePoint is the cost. With the on premise version, you pay for the license once. For the cloud version, there is a recurring fee. It is very expensive. They expect everyone to pay $20 or $30 per user per month."
"There are some aggressive discounts offered by Microsoft for organizations that are not for profit, which we are, and it makes it quite attractive to consider."
"It can be expensive for on-premises deployments, especially when you have to support SQL Server as your backend database. That's where the cost comes into play. SQL Server has its own licensing, which Microsoft keeps on changing. Therefore, it can become costly. In the earlier versions of SharePoint, version 2007 or 2010, they had an express version where the SQL Server licensing was free. It wasn't like a full-blown SharePoint. It was only a slimmed-down version. It used to be whatever your hardware costs. You would install the free software and work with it, but you were very limited in what you could do in SharePoint. If you wanted the SharePoint Enterprise Server with all the bells and whistles, then you had to pay more to get the SQL Server license based on the number of users or servers. The subscription model is different for cloud deployments. Licensing is per user and per month. The cost also depends on the storage required. If you have a lot of sites or documents, then you need to expand it based on your needs."
