Improving data accessibility and security through enhanced interface design

SharePoint is a powerful platform, but there are a few areas where I think it could be improved, such as user experience. For new users, the interface and navigation can feel quite complex, specifically when working with multiple sites and document libraries. Another improvement would be search functionalities. While it is good sometimes, it does not always return the most relevant result unless a document is very well-structured and tagged. Also, initial setup and customizations can be time-consuming and may require technical expertise, specifically when configuring workflows or permissions. From a modern development perspective, tighter and more seamless integrations with tools including Power Automate and better support for custom backend integrations through APIs could make it more efficient. Overall, simplifying usability and enhancing search and integration capability would make SharePoint even stronger. One additional area I would appreciate improvement would be performance and responsiveness, especially when dealing with a large document library. Sometimes loading or navigating through large datasets can feel quite slow. Another aspect is permissions management. While it is very powerful, it can become complex to manage at scale, specifically when there are multiple levels of access across teams and projects. Improving developer experience would also be beneficial. Making customization, API integrations, and extensions more straightforward would help teams, especially backend developers, leverage SharePoint more efficiently.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"Archiving is the most valuable feature of this solution."
"Mobius excels in ensuring data security for captured content, which is crucial."
"The Mobius Content Management Services platform has greatly improved our productivity, taking our time from creation to access from, at times, minutes to expose, to milliseconds to expose, with reports immediately accessible at generation."
"It provides a single pane of glass for delivering content from multiple repositories. It is also highly recommended because of the ease of use when it comes to searching and retrieving from multiple repositories simultaneously."
"This solution has improved our organization by providing a central repository for business data with control over sensitive data."
"The ability to have version control and co-editing is vital to our workflows."
"Ability to store files of any type."
"From my perspective, since I am a data professional and we have to keep a record of all the data as per our client's demand, SharePoint provides us a repository where we can keep all our data intact and updated."
"Using the workflow as an example, it has helped to transform the conventional paperwork processes into digitized and faster processes."
"Valuable features in this product are: Easy customization with MS .NET and related tools, stability, performance in a medium size environment (100-200 users), and full support by MS."
"It has transformed the way we do our daily tasks and the way the departments collaborate over projects, opportunities, and other operational activities."
"This has allowed our organization to start moving away from manual and non-standard practices, to more repeatable procedures."
"SharePoint is a big product with many features including customization flexibilities."

Cons

"The primary area for improvement is the platform's accessibility."
"When the new version is available, the vendor should make it easier for upgrading this product."
"The setup and the support could be improved when it comes to populating the reports from a mainframe environment."
"Sales and service need to be more consistent."
"If it were up to me, I wouldn't use Mobius due to its lack of accessibility and outdated interface."
"Office 365 SharePoint is a powerful and great tool, as long as your libraries’ content is limited in terms of the number of files. For huge data uploads, limitation problems will start popping up."
"Technical support is poor. Microsoft makes it tough to get quality support."
"The interface is not all that great, but other than that, there's not much to say because it's a pretty simple tool and I don't have high expectations for it to improve."
"We did have stability issues in the old versions and there were too many hotfixes, in the 2013 version."
"Primarily, the mobile experience is wanting in SharePoint 2010."
"I understand that some functions are lost when you store the information in a file system, so maybe that's a way SharePoint can improve."
"The product must provide more automation."
"For the most part, the tool is useable, but there are many end users who still find it difficult overall."

Pricing and Cost Advice

"The pricing and licensing are commensurate with other solutions in the market that handle a distributed system environment."
"SharePoint is included with our Microsoft license."
"The pricing is competitive."
"As usual, Microsoft’s licensing structures don’t really seem to fit the needs of their products. This leads to always paying for a project you will never use fully or always be adding to."
"For this type of solution, it is not wise to buy it without Software Assurance."
"Licensing can be by server or by seat."
"We have purchased add-ons to handle multiple site collections, form creation, and design."
"The solution's pricing is relatively expensive because it's bundled with other products."
"The pricing works for us."
