Lack of enhancements and of attention to our needs hamper our use, but crowdsourcing and collaboration features work well
Spigit helps you to prioritize and select the best ideas, although that is dependent on the organization's criteria for what the best idea is. Spigit could possibly improve the idea review process or the administrative panel for reviewing ideas. It's not strong. Most of it is done manually by pulling down and reviewing reports. Other platforms are doing it through pipelines and funnels that are all automated. But it does help us get to the best idea within an initiative or a challenge. If we set criteria by saying, for example, "We're looking for the one that has the most votes and comments," we're doing things to motivate employees to get socialized and to get buy-in on their ideas. Prioritizing ideas works on the front end but not as much on the back end.

Centralized document governance has boosted collaboration and made knowledge sharing structured
SharePoint is a powerful platform, but there are a few areas where I think it could be improved, such as user experience. For new users, the interface and navigation can feel quite complex, specifically when working with multiple sites and document libraries. Another improvement would be search functionalities. While it is good sometimes, it does not always return the most relevant result unless a document is very well-structured and tagged. Also, initial setup and customizations can be time-consuming and may require technical expertise, specifically when configuring workflows or permissions. From a modern development perspective, tighter and more seamless integrations with tools including Power Automate and better support for custom backend integrations through APIs could make it more efficient. Overall, simplifying usability and enhancing search and integration capability would make SharePoint even stronger. One additional area I would appreciate improvement would be performance and responsiveness, especially when dealing with a large document library. Sometimes loading or navigating through large datasets can feel quite slow. Another aspect is permissions management. While it is very powerful, it can become complex to manage at scale, specifically when there are multiple levels of access across teams and projects. Improving developer experience would also be beneficial. Making customization, API integrations, and extensions more straightforward would help teams, especially backend developers, leverage SharePoint more efficiently.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The biggest impact of using Planview would be that we were able to bridge the silos which existed between a lot of different departments or even locations."
"The voting ability is its most valuable feature. Teammates can vote an idea up or down. They can also offer feedback, and that feedback is instantaneous. It is a tool which allows us to gauge the temperature of certain product enhancements. Our system enhancements are potential areas of gaps that we have in our business."
"From that standpoint of participation, Spigit has proven its value."
"The crowdsourcing feature and having an open, transparent platform where people can submit ideas are among the most important capabilities of Spigit. Collaboration begins immediately upon submission."
"The biggest impact of using Planview would be that we were able to bridge the silos which existed between a lot of different departments or even locations. We have a very large team member base of about 75,000 employees across various different parts of the country. Being able to bridge that gap and have a way for everybody to communicate together to collaborate together, that was a first for our organization. That's been one of the most valuable things that we've seen. We also see those results in our organizational health survey as well. Our team members truly feel like this is a very inclusive, innovative company. That's been beneficial."
"It has an "Apple" approach where, when you open it, you understand how most of the functionality and features work. With just a little bit of guidance or training, and the videos that we watched, we were up and running really quickly."
"The most valuable feature of Spigit is the fact that we can reach so many people with crowdsourcing. We can go across departments and branches, still being engaged and doing it so quickly."
"The ability to collect ideas for people to be able to comment and vote. We like the pairwise portion of it. It is just a simple way in which people can post ideas and review other ideas. We have used it out-of-the-box, without doing much customization."
"The initial setup of SharePoint is very straightforward."
"Otherwise, this is an amazing option."
"It has helped us with storing all the documents, which means that people are not going to intervene. There is a way of extracting knowledge within documentation and tracking it. There are knowledge assets for where documentation is stored, indexed and searchable through SharePoint."
"The product provides flexibility in collaboration."
"We have generated a true document ID card, and metadata is easy to index in the research engine."
"This has allowed our organization to start moving away from manual and non-standard practices, to more repeatable procedures."
"It has improved our organization by speeding up document sharing."
"SharePoint's collaborative features are valuable as they enable productivity by allowing multiple users to edit documents simultaneously."

Cons

"It does enable us to consolidate duplicate responses from employees, but it is difficult sometimes. We are running a challenge right now with two ideas that are pretty close and duplicate. Once they're out there and a significant amount of people have voted on them, it's hard to consolidate or merge them. The merge feature is not very clear, so it basically hides one of the ideas, removing and archiving it. I don't know if that's the best way to do it. I would want to make the secondary idea still visible, but put it under as a possible subidea to the parent idea."
"I would like more of an ability to create reporting."
"Spigit could possibly improve the idea review process or the administrative panel for reviewing ideas. It's not strong. Most of it is done manually by pulling down and reviewing reports. Other platforms are doing it through pipelines and funnels that are all automated."
"Setting up a challenge timeline is a bit tedious and could be improved."
"Our biggest issue would be whenever there is an update or upgrade version, there are some things that break in the links between some of the login things on the back-end. The Planview team has done a great job of trying to put together information ahead of time and having different sessions to inform us. However, there are some things that we always end up finding in the test sessions after the updates have been done. Once we get those things ironed out, it's perfectly fine until the next upgrade. We've gone through about three upgrades, and it's happened all three times. That's the biggest pain point that we've had."
"I would like more of an ability to create reporting. There are dashboards in there and they are awesome. Maybe there is probably a training class or something that they should do. I went to the Spigit training, but we didn't get into the reporting side, at least not when it came to being able to build your own reports. They showed us the reporting and where it was, but there were already dashboards built into the platform. I would like to be able to go in, create my own reporting, and take out the information and data that I feel is relevant."
"It does enable us to consolidate duplicate responses from employees, but it is difficult sometimes."
"The backend configuration could be a little bit easier to configure. It was a little bit cumbersome for a layman to understand how to design some of the functionality and programming on the backend. Although they do offer training courses to support building that skillset."
"I have been facing some challenges when using SharePoint, as the workflows freeze at times, so there is a maintenance activity which needs to be done periodically."
"Well, for SharePoint Online, the add-on features which are free tend to expire within a month or earlier."
"Technical support is poor. Microsoft makes it tough to get quality support."
"The initial setup was somewhat complex."
"For the functionality you get at this price point, it leaves a lot to be desired."
"The documentation can be improved, so it is easier to use for non-technical people."
"SharePoint Designer enables creating workflows easily. However, they produce errors at times."
"Processing data from multiple site collections is not easy as they reside in different databases."

Pricing and Cost Advice

"Because the platform is used in another department, we have one parent. We are able to break off and do platforms for other business units under that parent."
"The yearly licensing cost is $55,000."
"Planview could drop the price for Spigit. I've done two market assessments and I think that they're overpriced pretty considerably right now."
"We have a tiered annual licensing fee."
"The pricing works for us."
"The platform has medium pricing."
"The replacement costs for it are cheaper if you use only SharePoint."
"The product is reasonably priced."
"Licensing can be by server or by seat."
"The data classification and search elements are cheap."
"We have purchased add-ons to handle multiple site collections, form creation, and design."
"For this type of solution, it is not wise to buy it without Software Assurance."

Jive vs Sharepoint vs Drupal Commons
At Mediacurrent we often get requests to compare Drupal to other platforms used for intranet sites and social business platforms (like https://dev.twitter.com/ for example). This is often referred to as “Social Business Software”, which has grown in popularity in recent years. I decided to do a…
