Automation has replaced nightly monitoring and delivers reliable, unified job scheduling
We have really enjoyed working with JAMS in terms of notifications, alerts, and streamlining. There used to be a process with Automate, which is another product from Fortra, but even before that, the other division of the company that we were merging with had a tool that was built in-house called a file handler or file distributor. It was an in-house developed tool, but it was not as streamlined or as efficient as JAMS is. We literally had to have a dedicated nighttime person monitoring. Although we are 24/7, the divisions of the company that we were using JAMS for have been small scale. While we have automated it, we have streamlined it in such a way that notifications go out and alerts go out, but if there is anything, then we get paged and alerted, and if anything needs to happen at midnight, we can wake up. On the other hand, with the tool I mentioned, the file handler and distributor, we used to have a dedicated nighttime person that had to be sitting and monitoring it to see when a file arrived, whether it met the conditions, and then execute the next particular job. By using JAMS, we have gained a lot more efficiencies in terms of all of those to streamline it, and there is no necessary need for having an overnight engineer just keeping an eye on all of this.

Have experienced challenges integrating with other systems but have benefited from improved process automation
There are multiple areas that need improvement. Nintex Process Platform needs integration with other platforms such as Salesforce and other CRM platforms. There should be actions available so we can directly integrate with these systems. Additionally, there is a gap in mathematical actions and logical actions. We need to parse data, and if we receive data in JSON, there is no action available in Nintex Process Platform to parse the data and extract data from that JSON string. Such actions and logical actions must be available in Nintex Process Platform to increase its capability. For us, Nintex Process Platform is configurable with SQL Server, but there is no configuration option available with Oracle. We also use Oracle in multiple processes, but we have found no way to directly configure Nintex Process Platform with Oracle. We have to use SQL Server in between. We have to create a link server within SQL Server as a bypass to retrieve or post data into Oracle. There were multiple improvement points available.

Have streamlined multi-cloud provisioning and reduced virtual machine delivery time from days to hours
In terms of Orchestrator as a tool there is a lot of room for improvement, specifically in being more developer-friendly though it has come a long way. From that perspective, certain modern features are missing, especially when compared to developer tools such as Visual Studio Code or other code editors. That's essential, considering it's the primary development tool for VMware. In terms of Automation, there should be more features that align with what public cloud interfaces can provide. Not everyone is a developer; therefore, if they can offer out-of-the-box features for the most common scenarios that customers need, it would be highly beneficial for end users.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"JAMS has been a beneficial monitoring tool for our project in terms of being able to deliver data that is essential for users."
"Because we have gone from a lot of manual processes to automated processes with JAMS, we have been able to free up IT staff time, and for just the Technical Operations Center team that I manage, it has saved about 20 hours a week."
"In summary, this product is top class."
"The interface is good, and it's very easy to define and create jobs. If a job is not running or there is an error, the solution will send an email. That's all very good and very useful."
"The fact that we no longer need to use Excel spreadsheets is huge. Before JAMS, every group was keeping track of their own batch jobs. Nobody really knew what the other jobs were. So, if jobs failed, other groups wouldn't necessarily know. With JAMS, everything is done through a single scheduler. You can choose who to notify."
"Being able to create a series of chained jobs, which are basically linked jobs is valuable."
"JAMS has positively impacted our organization by saving us time, reducing errors, and improving workflows."
"Our company is based on data. Everything we do is data-driven, so it has been very valuable having one place where we can process all of the data and do batch schedules with chunks of data."
"It saves time as tasks are automated."
"NWC forms could be better. Also, the ability to build workflows that are not dependent on SharePoint is very desirable. The forms feature just isn’t as functional as the forms for SharePoint."
"This tool set makes it easy to integrate current processes and increase adoption rates and usage for the tool, as well as the process changes to update it on the fly."
"The customer service and support team are good, the premium support is good, and their response is fast."
"The solution helped us automate several processes we used to do manually."
"I really like the visual representation. It actually looks like a flow chart, which is nicer than a SharePoint Designer workflow, which doesn't have that ability."
"From what was a 20 to 30-day approval cycle, it has now come down to between two and three days for approving loans and claims."
"I think that it adds value to any organization, mainly in terms of business applications where you need workflows."
"Primarily, customers are looking for workflows and day-to-day actions, as well as advanced templates."
"The best features of VMware Aria Automation Orchestrator include peace of mind and lesser complexity; simplicity is crucial, and there is no complexity in the system."
"With automation, I can provision a virtual machine in just one to two hours; this is a drastic improvement."

Cons

"The search capability needs to be improved because when we try to search for a job, it's hard to do."
"I'm not sure if they have fixed it in a newer version, but there is no global search in the version I have. If I have multiple sub-folders that are named for business units, like HR or IT, and I have to search for a job, I cannot search from the top. I have to go to the HR folder to search for a particular job, or to the IT folder."
"There could be a better simulation for banning the termination. You have to simulate every one of the processes in order to have an idea for better planning. This kind of simulation is broken and needs improvement."
"If around 5,000 or more jobs run at a time, JAMS slows down, and we have to wait around five to 10 minutes or restart JAMS scheduler services."
"JAMS notifications for hung jobs could be improved."
"It is important to receive notifications if a charged job fails and SQL is halted. JAMS does not provide halted notifications by default, which is a critical feature that needs to be added."
"I would enhance the compatibility feature of JAMS because sometimes when the server is under high load, it does not inform us and we cannot get answers."
"Right now there's not much of an Azure integration with JAMS at the moment directly because we run separate pipelines."
"Currently, a notable challenge lies in the alignment of user experiences across the eight or nine applications within the suite. Transitioning between applications can be somewhat cumbersome due to varying user interfaces. However, the provider is actively addressing this concern by consistently rolling out updates every four to five months, aimed at harmonizing and streamlining the interfaces. This ongoing effort is expected to enhance the user experience over time. In terms of functionality and features, the platform stands out, offering flexibility with the option for both on-premises and cloud deployment. This flexibility extends to the RPA tool, providing clients with choices tailored to their preferences. An advantage lies in the shared security and data infrastructure across the toolset, facilitating smooth data transfer between applications. This contrasts with experiences with Oracle, where data transfer may involve complexities such as the need for intermediary file formats like TXL or SCZ."
"K2 is a workflow solution, and there is no RPA solution with K2. This is where K2 lacks a little bit. It is just a heavy workflow solution. It doesn't have a supplemental product like RPA. If you want to use RPA, you have to use Blue Prism, UIPath, or something else. If you use Nintex, it has an RPA solution. It is a form-based application, and they are doing everything electronically. The initial investment in K2 is heavy because it is a BPM software. It does not have a low cost because they charge you the same for one workflow or 100 workflows."
"It's very tedious to manage."
"We'd like to have integration with SharePoint."
"Nintex seems to be very server intensive. It is one of the reasons that we are moving to a different product on the SharePoint 2016 platform."
"We had issues with long-running workflows for approval processes."
"Performance. Some customers ask why K2 is slow?"
"Bring all features available from the on-premise product into the cloud version and the workflow error reporting."
"There are areas of VMware Aria Automation Orchestrator that have room for improvement, specifically in being more developer-friendly."
"Some students, especially beginners, may find the learning curve to be steep due to a lack of requisite knowledge in backend languages like YAML, Python, or JavaScript."
"VMware Aria Automation Orchestrator is a very solid and acceptable product, but after the transition to Broadcom, prices are very high."
"I would like to see improvements related to AI integration, which could make understanding from a language perspective easier."

Pricing and Cost Advice

"JAMS is priced competitively compared to similar solutions and offers flexible licensing options to cater to user needs."
"All licensing models are a little overpriced, but JAMS offers a good value, especially given their support response times and ability to handle unforeseen issues like the SFTP transfers. I hope to find more use cases to get a better bang for our buck."
"Definitely check how many single processes you want to run and count them as jobs. That is how you would work out your pricing on JAMS. For example, if you're running a number of commands and you can put them all into one script and run that script, you can count that as one job."
"In the end, you'll find that it's really worth the price. There is some sticker shock, but it's worth every dime."
"I haven't been involved in the financial side for several years, but we buy one host and unlimited agents, and we get a reasonable price for that. We're happy with the amount we pay and the scalability it provides."
"It was $10,000 for the first year. Then, there is a maintenance cost for licensing every year that we get billed $5,000 for every year."
"There are no additional costs other than the license for Fortra's JAMS which is affordable."
"Fortra's JAMS pricing structure has deteriorated significantly since its acquisition by Fortra."
"Prices for licenses of K2 are high."
"The enterprise version has some additional features that I would like to use, but the price is not fair."
"Certainly. Notably, in terms of cost, this solution presents a substantial advantage, being approximately forty percent more economical compared to Oracle. It offers flexibility with two deployment options, catering to both cloud and on-premises preferences. Moreover, within each deployment option, there are two variations available. For organizations with limited IT resources and relying on citizen developers—individuals from the business side comfortable with technology—the platform allows for a more hands-on approach. These users can independently implement solutions without extensive coding or custom development. In contrast, the KQ solution at Symantec is adept at addressing the needs of sectors like banking, where extensive custom development is required for seamless integration with existing applications, websites, and ensuring robust security measures."
"It's more suited for enterprise level, not for small or medium-sized businesses (SMBs)."
"Nintex is around INR 200 per license in India, which is much cheaper. Smaller organizations are always looking for cost-effective solutions, and Nintex provides local solutions with very low pricing."
"Our maintenance costs are reduced."
"We pay on a yearly basis. It's my understanding that we pay approximately $11,000/year."
"There is an initial fee when purchasing and a fee for maintenance afterward."
