Has significantly improved document-driven workflows and reduced processing time across finance and HR functions
Automation Anywhere has evolved significantly and upgraded itself to provide agentic AI and AI-based automation solutions for document automation. The product has matured considerably over time. We can create workflows that can call an API. We can include prompts in particular workflows for ChatGPT-related functions, connecting to an LLM and RAG to perform tasks. For document automation, modern features are available to train documents, ensuring high accuracy and repeatability over time. The system is very easy to use. I recently completed a course in document automation, typically designed for people involved in coding and technical aspects. Though I understand coding comprehensively, I don't do actual coding. The course was very accessible. Currently, extensive coding isn't necessary due to the hybrid model incorporating GenAI aspects, low-code, no-code capabilities, APIs, and numerous pre-built objects in Automation Anywhere. The features include GenAI-driven prompting methods and workflow creation capabilities. In these workflows, we can create decision boxes and call APIs without coding. We simply pull objects, drop them, connect them, and add minimal coding when needed. The most crucial aspect isn't coding but rather sizing the automation and fleshing out the details. Automation Co-pilot takes notes and performs automated analysis. It can extract details from videos, summarize conversations, and provide detailed information. During calls, it identifies instructions and performs tasks such as preparing reports and reconciliation. Automation Anywhere can also connect with Microsoft Co-pilot. Through Co-pilot, real-time operations can be executed, allowing direct interaction between vendors and automation through this component.

Automation has transformed complex contract lifecycles and now supports high-volume workflows
The only drawback of Conga Contract Lifecycle Management (CLM) is that it does not work for small-scale business areas because I have implemented it for one customer with four or five pages of templates and three to four record types. For that small business, Conga Contract Lifecycle Management (CLM) does not work well because it is a bit complicated. Sometimes all customers need is a click of a button to go in and do things, and Conga Contract Lifecycle Management (CLM) is a bit complicated for such kinds of businesses. There are definitely areas where Conga Contract Lifecycle Management (CLM) could be easier to use for smaller businesses, particularly making processes more streamlined and user-friendly.

Doesn't require a background in analytics to run reports
SMART has been helpful for sourcing and public bids. For regulatory purposes, our university posts bids, depending on the scope of the bid. We get a lot of value out of SMART's ability to post to a public site and have suppliers see that information, register in the tool, and participate. SMART features for collecting information and its timeline capabilities are highly useful. Then on the contract side, the reporting capabilities are the most valuable. Our use case focuses primarily on post-execution and lifecycle management, so it's essential to be able to report accurately especially compliance-related reports. SMART is easy to use, especially when reporting. It isn't designed for a hardcore analyst. You don't need to have a background in analytics to run reports, which is huge. I realized I hadn't touched too much on the spending side, but we use SMART for all spending analytics, and any commodity manager procurement professional can go in and run a spending report. That was a business decision to restrict who can run reports since that data can be exported and used. But the reporting capabilities are incredibly easy to use.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"From the customer's perspective, the biggest benefits are automation of the security and monitoring systems."
"Business analytics provides real-time data that's something other competing companies lack. It uses statistics and graphs to show the performance of the bots which processes are lagging behind and if you need to give priority to certain tasks."
"The Control Room is the most important feature, where we can manage the bots and publish to various bot runners in the environment."
"Using the Automation Anywhere University, you can go and train yourself to be an expert in the tool."
"The simplicity and ease of use is the most valuable part of Automation Anywhere."
"Training videos are very good and include detailed examples, which is really helpful for beginners."
"I find the terminal emulator feature very valuable, particularly in how it interacts with IBM mainframe automation."
"It gives us the capability of leveraging our investments in different applications. I can use Automation Anywhere to tie a number of applications or processes together, without having to do in-depth coding to automate something."
"In my experience, the best features of Conga Contract Lifecycle Management (CLM) include the way they handle dynamically changing agreements and manage the approvals within the system, which is great."
"Conga Contract Lifecycle Management (CLM) has positively impacted my organization by reducing team time and enhancing the quality of documents I share with customers, allowing me to make changes in quotes and orders with just one click."
"The best feature of Conga Contract Lifecycle Management (CLM) is the versioning capability because you can see the updates and everybody can see the changes."
"Since we have pre-approved templates and standard clauses in Conga Contract Lifecycle Management (CLM), we can use them wherever we want, and it provides very faster contract creation with reduced legal risk."
"Conga Contract Lifecycle Management (CLM) had a positive impact by streamlining the contract management process and reducing manual effort."
"Conga Contract Lifecycle Management (CLM) has delivered measurable improvements in both time and cost savings for our organization, significantly reducing manual processing time, shortening contract turnaround times from days to hours, minimizing compliance risk, and improving overall operational efficiency and resource utilization."
"Globally, the overall time to contract is now seven to ten days, and this has been greatly appreciated by our Legal Ops head."
"The main benefits I have seen from using Conga Contract Lifecycle Management (CLM) are that we use it as a discount platform in a huge project for different customers or accounts across the world."
"The one we use the most is the sourcing module... It's really easy to use. You don't have to train vendors. You can add a new vendor at any time, and that vendor will get an email saying, "You've been selected to participate in our RFP, and you do X to get your ID set up." That works really well."
"There are additional time savings in managing communications. If you have an open RFP and there are questions, you can manage all of the questions and answers in the thread inside that RFP. All the suppliers will get any notifications that you want them to get, and everything is within the body of the RFP so you don't have to worry about things in email, outside of the system."
"It's a huge efficiency tool and it has really accelerated our ability to drive the procurement business case in terms of cost savings."
"The sourcing module is a place we can always go to find all the information we submitted to a vendor and what they submitted back to us, and it is really meaningful and effective in getting that information out to the vendors."
"In summary, using this solution benefits our organization through cost savings, better efficiency, improved transparency, and having information archived."
"The most valuable features are the sourcing and tendering processes."
"The spend module is really amazing and lightning-fast. It can give even the most novice of analysts access to the information needed and the ability to tweak it the way they want to see it. It has a lot of flexibility."
"From a contract perspective, in my opinion, SMART has improved things a hundred-fold."

Cons

"It is not able to use OCR effectively and has limited usability."
"Going on-cloud comes with security hiccups and concerns."
"One aspect I don't appreciate about Automation Anywhere is the way variables are handled. Many things seem to become a string, which makes it hard to code and keep track of items when everything's a string."
"In Automation Anywhere, the logging process is manual."
"They continue to release new features, but end users struggle to adapt to them."
"IQ Bot requires a significant improvement for its data detection and data retention, mainly from the previously trained documents: regarding the document's format, layout, data contained within the document, the type of data that needs to be extracted."
"Automation Anywhere has some limitations."
"One of the challenges that I face every now and then while working with A2019, is around the bot agent updates. Every week/alternate weeK, I receive an error while running my bots, that asks me to update the bot agent."
"The first is ease of configuration. Some advanced workflows and business rules can be complex to set up and maintain, especially for organizations with unique contract processes."
"Conga Contract Lifecycle Management (CLM) could be improved as sometimes when we click on the document, it indicates success without generating a document, requiring us to check the logs."
"Conga Contract Lifecycle Management (CLM) can be improved because, as it is a managed package, it has certain restrictions."
"For improvements in Conga Contract Lifecycle Management (CLM), I think that for sending contract approvals, the customer signing process needs to be implemented after verifying the necessary details, which I expect to see in the future."
"The only drawback of Conga Contract Lifecycle Management (CLM) is that it does not work for small-scale business areas because I have implemented it for one customer with four or five pages of templates and three to four record types."
"Conga Contract Lifecycle Management (CLM) is a powerful platform, but there are a few areas where improvements could enhance the user experience."
"Template management could be more user-friendly."
"I have not seen a return on investment from Conga Contract Lifecycle Management (CLM), as it was a waste of time; I spent a long time trying to get it to work, and it was not adopted by the users, ultimately failing to live up to what I had promised to the business."
"GEP's goal, at least during our integration, is to get through it, not necessarily get it right."
"Tech support could use a little bit more work."
"We had 50,000-plus contracts in Ntracts that had to be migrated to SMART. It was a big ask and it went horribly wrong, and we ended up having to do a second migration."
"While it captures all the fields and requirements, when any supplier updates or new supplier registration happens, then the supplier needs to update their bank details. Our IT team has made it so every half an hour the GEP SMART system will push the supplier to the Oracle Database. So, we have faced some problems, like bank details, etc. We addressed this issue with GEP. They are working on it to make bank details a mandatory field for any supplier and match our requirements. Their engineering team has taken up creating a customized process for us."
"Very recently, they implemented a customer success team to manage our expectations and communicate them to their technical team. That function is relatively new and some work needs to be done to build that connection so that it's a little more seamless."
"The loading of the contracts could be a little bit easier."
"If our organization could use it as a full-fledged solution, then it would be valuable and give a return on investment. However, since we are not currently using it as a full-fledged solution, even facing some bugs and problems with the synchronization with some of the internal software, we are not able to use it in a full-fledged manner."
"I want to see continued investment in analytics and reporting."

Pricing and Cost Advice

"On average, a bot runner in Automation Anywhere can cost $5,000, while in Microsoft Power Automate, you can get most of the same functionality for $100."
"Despite being less expensive than UiPath, Automation Anywhere remains cost-prohibitive for many small and medium-sized businesses."
"The cost is at the highest end of the spectrum."
"One of the things that will be good for the community will be to get the free version to download, which came out just a month ago called Community Edition. So, you can actually download it and try it for yourself."
"My only suggestion in terms of pricing is very generic and that is to consider that as much as RPA saves cost and does automation, please get a realistic estimation done on whether you are really achieving any ROI over your investment with RPA."
"Automation Anywhere is expensive."
"Cost is the biggest area in need of improvement for Automation Anywhere. Annually it's $250,000. That's what deterred us right away."
"The pricing is a bit higher."

"If our organization could use it as a full-fledged solution, then it would be valuable and give a return on investment. However, since we are not currently using it as a full-fledged solution, even facing some bugs and problems with the synchronization with some of the internal software, we are not able to use it in a full-fledged manner."
"My advice is to think wisely when it comes to estimating the number of licenses that you will require. If you settle on a number too early and you need additional ones, then the extra licenses might be quite expensive."
