Has significantly improved document-driven workflows and reduced processing time across finance and HR functions
Automation Anywhere has evolved significantly and upgraded itself to provide agentic AI and AI-based automation solutions for document automation. The product has matured considerably over time. We can create workflows that can call an API. We can include prompts in particular workflows for ChatGPT-related functions, connecting to an LLM and RAG to perform tasks. For document automation, modern features are available to train documents, ensuring high accuracy and repeatability over time. The system is very easy to use. I recently completed a course in document automation, typically designed for people involved in coding and technical aspects. Though I understand coding comprehensively, I don't do actual coding. The course was very accessible. Currently, extensive coding isn't necessary due to the hybrid model incorporating GenAI aspects, low-code, no-code capabilities, APIs, and numerous pre-built objects in Automation Anywhere. The features include GenAI-driven prompting methods and workflow creation capabilities. In these workflows, we can create decision boxes and call APIs without coding. We simply pull objects, drop them, connect them, and add minimal coding when needed. The most crucial aspect isn't coding but rather sizing the automation and fleshing out the details. Automation Co-pilot takes notes and performs automated analysis. It can extract details from videos, summarize conversations, and provide detailed information. During calls, it identifies instructions and performs tasks such as preparing reports and reconciliation. Automation Anywhere can also connect with Microsoft Co-pilot. Through Co-pilot, real-time operations can be executed, allowing direct interaction between vendors and automation through this component.

Automation has transformed complex contract lifecycles and now supports high-volume workflows
The only drawback of Conga Contract Lifecycle Management (CLM) is that it does not work for small-scale business areas because I have implemented it for one customer with four or five pages of templates and three to four record types. For that small business, Conga Contract Lifecycle Management (CLM) does not work well because it is a bit complicated. Sometimes all customers need is a click of a button to go in and do things, and Conga Contract Lifecycle Management (CLM) is a bit complicated for such kinds of businesses. There are definitely areas where Conga Contract Lifecycle Management (CLM) could be easier to use for smaller businesses, particularly making processes more streamlined and user-friendly.

Doesn't require a background in analytics to run reports
SMART has been helpful for sourcing and public bids. For regulatory purposes, our university posts bids, depending on the scope of the bid. We get a lot of value out of SMART's ability to post to a public site and have suppliers see that information, register in the tool, and participate. SMART features for collecting information and its timeline capabilities are highly useful. Then on the contract side, the reporting capabilities are the most valuable. Our use case focuses primarily on post-execution and lifecycle management, so it's essential to be able to report accurately especially compliance-related reports. SMART is easy to use, especially when reporting. It isn't designed for a hardcore analyst. You don't need to have a background in analytics to run reports, which is huge. I realized I hadn't touched too much on the spending side, but we use SMART for all spending analytics, and any commodity manager procurement professional can go in and run a spending report. That was a business decision to restrict who can run reports since that data can be exported and used. But the reporting capabilities are incredibly easy to use.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"I have been using this solution for a while now, and I think that it is a very good platform."
"The platform itself is intuitive and easy to use. I have even mentioned to people who aren't developers or very computer savvy that they could pick up Automation Anywhere and just get started."
"On a scale of one to ten, I would rate Automation Anywhere a nine."
"AARI allows business users to trigger the bot, so I do not have to schedule everything. This convenience allows users to utilize it as they need. I can set it up to provide users with a form to fill in all required information, and then the bot operates based on those specifications. AARI is very convenient, and that is their biggest selling point."
"Automation Anywhere's document automation, powered by IQ Bots and now enhanced with AI, stands out as a particularly valuable feature."
"We mostly used the Database commands in order to make the process faster and more secure, rather than using Excel or a CSV for reading the input files."
"AA has improved our digital strategy extensively and provided the required leverage to place ourselves above other peers in the O&G Industry. We were able to develop quick digital solutions by demonstrating the ROI and gain momentum by aligning the desired resources & budget from leadership."
"Unattended use is its most valuable feature."
"The best feature Conga Contract Lifecycle Management (CLM) offers is its reliability, which is more dependable compared to Conga Composer, and this main feature allows us to arrange things with more conditions."
"Conga Contract Lifecycle Management (CLM) has positively impacted my organization, and I have noticed improvements in productivity, accuracy, and turnaround times."
"Conga Contract Lifecycle Management (CLM) has positively impacted my organization because I can store the terms and conditions between the two parties in the template, and I can share product-related data with the two parties to store prices and other relevant information."
"Conga Contract Lifecycle Management (CLM) has positively impacted my organization by making the contract lifecycle easier for customers when quotes get created."
"The clarity and smooth process provided by Conga Contract Lifecycle Management (CLM) have greatly impacted my team and business."
"Conga Contract Lifecycle Management (CLM) has positively impacted my organization by reducing errors that we encountered when we were using a third-party tool for document generation."
"Globally, the overall time to contract is now seven to ten days, and this has been greatly appreciated by our Legal Ops head."
"Conga Contract Lifecycle Management (CLM) has delivered measurable improvements in both time and cost savings for our organization, significantly reducing manual processing time, shortening contract turnaround times from days to hours, minimizing compliance risk, and improving overall operational efficiency and resource utilization."
"We have absolutely seen ROI; we track all of our savings, but it allows us to do a lot more."
"The most valuable features are the sourcing and tendering processes."
"Their tool has become a much better tool over the years."
"The biggest selling point for us was having the contracts repository centralized for both systems. People are able to search for a contract. Typically, before they go out to bid or engage with a supplier, procurement folks come into GEP SMART and they search for a contract and check to see if there is an existing contract in place."
"I have seen that the sourcing process in GEP SMART is easier than in Oracle, SAP, etc."
"The source-to-pay functionality has contributed to the digital transformation of our company."
"The fact that GEP is a single, unified software platform for our whole organization certainly unifies the information in one place."
"Through using GEP, we've been able to gain respect; the other departments in our company have come to rely upon us even more, and we have become a more trusted department within the company, among our peers, because we can speak to their spend at greater depth."

Cons

"Their technical support is good, but it could be better."
"As a developer, the biggest con is the lag; it's pretty inconvenient to face that delay in things happening."
"Currently, while working on the SAP part, I encounter some challenges, particularly not being able to extract the tree structure."
"20 percent of the bots need to supervised because sometimes errors occur during the run. Most of the errors that I have encountered have been because the object cloning did not capture the buttons properly."
"Accuracy to process handwritten documents should be improved and more analytics and intelligence-related capabilities should be added."
"More interactions with PDFs would be great for Automation Anywhere. The ability to use more legacy technology for object cloning, flash plugins, etc. A lot of their Excel commands could use some improvement."
"We don't have an ROI in any of our processes. We are just trying it out now to see if it works. We haven't had any savings yet. We have been putting more time in than saving time at this point."
"I would like more integration into the entire Microsoft Suite of products, not just Excel."
"One challenge is the initial setup and configuration, especially for complex workflows and approval hierarchies."
"Conga Contract Lifecycle Management (CLM) can be improved because, as it is a managed package, it has certain restrictions."
"The improvement I would consider is that the UI should be improved, including the colors."
"I rate Conga Contract Lifecycle Management (CLM) a seven due to issues I experience during document generation, specifically when newly generated quotes do not download correctly, causing replication of previous quotes, which can be frustrating and problematic in client interactions."
"The only issue was in X-Author 2.0 where there was a bug; whenever the agreement document was opened and we were already logged in to X-Author 2.0, it was automatically checking out that particular agreement document."
"I chose a rating of seven out of ten because there are many areas for improvement for Conga; it is not a complete solution yet."
"I see one blind spot for Conga Contract Lifecycle Management (CLM) in that additional logic features depending upon user types and customer types would be helpful."
"They are somewhat reliable, but they are not completely reliable."
"For sourcing, we do see bugs from time to time."
"We had a lot of challenges and disagreements with SMART. It's been a long road, for sure, on the contract side. There is a little bit of pushback on their part when we need stuff done. Things aren't done very efficiently. I'm still waiting on some changes that were requested well over a year-and-a-half ago."
"The loading of the contracts could be a little bit easier. I'd like to see a little bit more of AI brought in, to the point that it's actually reading the contract and automating some things, like expiration dates and renewal terms. That is an area for improvement."
"The loading of the contracts could be a little bit easier."
"I'd like to see drag-and-drop reporting. They have the old model for reports where you have to click the "run" button. The thing runs and then you have to export it to PowerPoint."
"We had a lot of challenges and disagreements with SMART. It's been a long road, for sure, on the contract side."
"There are certain things within the contracts module — how to upload the line items, for example — that could be done to make that utility a little more user-friendly, a little more like the sourcing module."
"The manuals, especially the ones for the suppliers, are currently available only in English. If these can also be translated into different languages, that would be excellent."

Pricing and Cost Advice

"The pricing is fair. My company is part of a big organization, so the pricing is very advantageous."
"The licensing needs to be made simpler or shortened."
"My understanding is that the license cost of Automation Anywhere is more reasonable than UiPath and Blue Prism."
"I am not sure about the costs, but two Bot Runners and four Bot Creators may cost approximately 1CR."
"AA comes at a more affordable price than the other tools."
"Cost is the biggest area in need of improvement for Automation Anywhere. Annually it's $250,000. That's what deterred us right away."
"Cost-wise, it is fine. A lot of medium businesses prefer Automation Anywhere. The development cost is also lower."
"The Community Edition is a good offering from the company."
Information not available
"If our organization could use it as a full-fledged solution, then it would be valuable and give a return on investment. However, since we are not currently using it as a full-fledged solution, even facing some bugs and problems with the synchronization with some of the internal software, we are not able to use it in a full-fledged manner."
"My advice is to think wisely when it comes to estimating the number of licenses that you will require. If you settle on a number too early and you need additional ones, then the extra licenses might be quite expensive."
