Responsable Technique IT at a tech services company with 11-50 employees
It's easy to customize security access for all resources or content.
Design which contents do you want integrate to your IBM portal. Evaluate constraints for each integration and solve them by technology choices included in this product. They are a lot of solution proposed by IBM portal products Choose if you want a premise solution or a cloud solution ( 2 solutions are advantages and disadvantages)

Centralized document governance has boosted collaboration and made knowledge sharing structured
SharePoint is a powerful platform, but there are a few areas where I think it could be improved, such as user experience. For new users, the interface and navigation can feel quite complex, specifically when working with multiple sites and document libraries. Another improvement would be search functionalities. While it is good sometimes, it does not always return the most relevant result unless a document is very well-structured and tagged. Also, initial setup and customizations can be time-consuming and may require technical expertise, specifically when configuring workflows or permissions. From a modern development perspective, tighter and more seamless integrations with tools including Power Automate and better support for custom backend integrations through APIs could make it more efficient. Overall, simplifying usability and enhancing search and integration capability would make SharePoint even stronger. One additional area I would appreciate improvement would be performance and responsiveness, especially when dealing with a large document library. Sometimes loading or navigating through large datasets can feel quite slow. Another aspect is permissions management. While it is very powerful, it can become complex to manage at scale, specifically when there are multiple levels of access across teams and projects. Improving developer experience would also be beneficial. Making customization, API integrations, and extensions more straightforward would help teams, especially backend developers, leverage SharePoint more efficiently.

Pros

"Workflow to manage page and content with validation step is great and it's easy to customize security access for all resources or content."
"Easy management of content and portal and the document repository features are a distinguishing point compared to a file server."
"I think this represents the collective knowledge, which is highly valuable."
"SharePoint's collaborative features are valuable as they enable productivity by allowing multiple users to edit documents simultaneously."
"Collaboration with other Microsoft products has made SharePoint a real tool for us."
"The workflow feature is valuable because it enables us to cascade responsibilities, cyclically keeps tabs on work and to what extent it has progressed, and shows where it is stuck, which is really very helpful."
"Document flows, storage, and numbering take off the actions for checking and assigning the numbering and running around with approvals and pre-approvals."
"We can now share to team members by MS Teams and assign planners to follow and update statuses in a single platform."
"When properly implemented and users are adequately trained, SharePoint can take the place of network file shares for most types of use cases."

Cons

"Customer service is medium for quality and answer, low for resolving problem."
"Administration is still very complex."
"It would be nice if the platform made it easier to implement a complete document management process (digitalization, OCR, protocols, etc.) without the need to integrate software from different vendors."
"No good process to import emails from several users into a single comprehensive SP repository."
"It tends to be unstable and slow when accessing different features."
"The workflow engine, MS Workflow Manager, is still in Version 1.0 and the future Microsoft strategy for this product is unclear."
"The introduction of AI and automation with Copilot could be a beneficial improvement."
"The editing tools are still not up to par with all the existing hi-tech and GUI editing tools."
"UX performance, especially in Office 365, is an issue when the sites are accessed from Asia and Australia, which is bad compared to accessing them from the USA."

Jive vs Sharepoint vs Drupal Commons
At Mediacurrent we often get requests to compare Drupal to other platforms used for intranet sites and social business platforms (like https://dev.twitter.com/ for example). This is often referred to as “Social Business Software”, which has grown in popularity in recent years. I decided to do a…
