What is our primary use case?
I was a project manager who used to handle large international projects. I have seen that Celoxis helps with its major features for consistency in project task management, resource management and allocation, and document storage system for projects where participants are physically not in one location and are scattered around in different locations or countries. Celoxis helped our company form a common setup for the whole project, a consistent workflow for assigning or managing different tasks, and a way to share created documentation with proper version control.
What is most valuable?
The most valuable feature of the solution is the functionality that it offers since the performance part is not so critical as you only use it to upload or download documents and create tasks. Celoxis is not used for very high transaction requirements. My company did not face any issues with Celoxis's performance. Celoxis was quite quick, and its functionality was rich, prompting my company to integrate it with many other project management features for which we previously used several other systems. Celoxis replaced and offered a product that was an integration of Excel and Microsoft Project into a single suite.
What needs improvement?
One feature in Celoxis that is quite hard to understand and set up is its access management part. Different user roles can be assigned to various systems with the solution's access management part. The solution's access management part has quite an interesting approach, and sometimes, it's not very easy to understand and carry out, especially on how to handle the settings the way a user wants.
For how long have I used the solution?
I have been using Celoxis for nine or ten years.
Currently, I don't use the tool. My company uses the Celoxis when we have a large international project in different countries, and currently, we don't have such a project, but there might be a need for the tool in one of our new projects, which starts in a couple of weeks. I used it for a project last year.
What do I think about the stability of the solution?
My company never faced any stability issues as the product is deployed on a cloud model. In general, my company never experienced any outages when using Celoxis.
What do I think about the scalability of the solution?
Celoxis is scalable in terms of the number of users or the number of projects that the product can handle. Even the storage that is available for a project is scalable in Celoxis.
There are around ten users of the product in my company.
Which solution did I use previously and why did I switch?
I have experience with Microsoft Project. Microsoft doesn't offer a document storage solution or task management capabilities. Microsoft is very strong in the core project management area. My company wanted a cloud-based solution, and at that point, I was not sure if Microsoft already had cloud-based project management support or project management solutions. My company was working on projects with participants from different countries. We definitely needed some sort of cloud-based solution.
How was the initial setup?
The solution is deployed in a cloud environment, even though my company knows that the product offers an on-premises deployment model for the product.
The solution's setup phase didn't take much time. With Celoxis, the setup of individual projects may come across as an issue as it takes some time due to the customizations in the product.
There is no requirement to have anyone look after the deployment or maintenance of the solution.
What about the implementation team?
My company didn't use the help of any third party for deployment, as Celoxis is deployed on the cloud. Celoxis provides a good description of the functions, features, and settings, and it was not very hard to understand and make the necessary settings.
What was our ROI?
From an ROI perspective, I can say that the product made my company's ability to deal with international projects easier.
What's my experience with pricing, setup cost, and licensing?
Though I am unsure, I guess that my company pays around 20 to 25 USD every month for every user.
What other advice do I have?
I recommend the solution to those who plan to use it.
My suggestions may not be related directly to the product but to how to use it. Before a person starts to use it, they should establish their internal project management procedures software to make the use of the system that the product offers consistent across the organization. Potential users of Celoxis look into factors like how to design a project or resources and what kind of reports are to be made while considering the categories for risk management. Those who plan to use Celoxis should look at business-related decisions and settings and not the technical way of how to use the software.
I rate the overall product a ten out of ten.
