Has significantly improved document-driven workflows and reduced processing time across finance and HR functions
Automation Anywhere has evolved significantly and upgraded itself to provide agentic AI and AI-based automation solutions for document automation. The product has matured considerably over time. We can create workflows that can call an API. We can include prompts in particular workflows for ChatGPT-related functions, connecting to an LLM and RAG to perform tasks. For document automation, modern features are available to train documents, ensuring high accuracy and repeatability over time. The system is very easy to use. I recently completed a course in document automation, typically designed for people involved in coding and technical aspects. Though I understand coding comprehensively, I don't do actual coding. The course was very accessible. Currently, extensive coding isn't necessary due to the hybrid model incorporating GenAI aspects, low-code, no-code capabilities, APIs, and numerous pre-built objects in Automation Anywhere. The features include GenAI-driven prompting methods and workflow creation capabilities. In these workflows, we can create decision boxes and call APIs without coding. We simply pull objects, drop them, connect them, and add minimal coding when needed. The most crucial aspect isn't coding but rather sizing the automation and fleshing out the details. Automation Co-pilot takes notes and performs automated analysis. It can extract details from videos, summarize conversations, and provide detailed information. During calls, it identifies instructions and performs tasks such as preparing reports and reconciliation. Automation Anywhere can also connect with Microsoft Co-pilot. Through Co-pilot, real-time operations can be executed, allowing direct interaction between vendors and automation through this component.

Effective document automation with strong integration capabilities and very good support
Our primary use case for Nintex RPA involves getting documents from emails, reading those documents, and transferring them from the IRD to finance. We are also exploring the LP and Intech features for more advanced use cases Nintex RPA helps our government and public sector customers with…

Citizen developers have automated finance processes and created reusable modules across entities
There are some weaknesses, though nothing on the top of my mind at the moment. From a process and OCR point of view, for example, we are currently doing a use case about e-invoicing. We feel the accuracy that the OCR provides from UiPath Studio was not as high as we had initially anticipated. We had to not go with that module that UiPath Studio offers. UiPath Studio has an a la carte mode where you can buy specific functionalities without having to buy the whole package. We decided to test out a few other tools in the market and bought a customized tool specifically for OCR purposes because UiPath Studio's accuracy was not as great. It comes more on a use case-to-use case basis. Certain use cases that we try show that certain functionalities could be improved, and there is definitely a scope for improvement. That being said, the functionalities that we bought UiPath Studio initially for work pretty well. We wanted a centralized automation hub, an Orchestrator, and maximum license utilization for the bots we were purchasing. They are basic, but at the same time, they are easy to use. The ease of use is one of the main reasons why we still favor UiPath Studio. The AI and OCR parts are something we are looking to explore more in the coming year, and that will probably give us more insights into the functionalities and their value. At the moment, we use Oracle as our ERP. We have not had much success integrating with Oracle so far. UiPath Studio offers a lot of customized integrations for SAP, but not much for Oracle Cloud. We had to leverage our internal ERP in-house team to build integrations. We used Oracle Cloud integrations rather than UiPath Studio integrations with respect to ERP. Every conference or event that UiPath Studio organizes, when we have a chance to speak with someone from UiPath Studio, we bring up Oracle Cloud integrations. I believe that in Europe and the US, Oracle Cloud is growing in usage, so we would appreciate more effort focused there. However, with Salesforce, we used a couple of cases with customer service in our company, and we integrated with it very smoothly without any blockers. At the moment, we have not explored AI and ML capabilities of UiPath Studio as much as we should have. We conducted a series of process discovery workshops in our company, and the use cases we received did not require AI or ML functionalities because they were core finance operations, and we did well with just the regular functionalities of UiPath Studio. We are still looking forward to finding a case where we could leverage AI and ML capabilities. We do not want to use AI functionalities just because we want to use them. It is more of a situation where we ask if it is needed, and we are still looking forward to finding a case that demands the need for AI functionalities or a nice-to-have feature. At the moment, we still have not used or explored those things of UiPath Studio.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"It is highly accurate and gets up and running in a very short period of time."
"Since our implementation, I can vouch for the fact that it is very easy to use. You do not need to know a lot of coding, even the business users, who have virtually no idea of coding, can easily operate it. They can run their bots and have the analysis ready for higher management. This is something which provides a great ease of use, and also in part why it is scalable."
"The graphical user interface (GUI) is very useful, since I don't know any coding languages."
"There are ready plugins and connectors to integrate with APIs for common systems like Oracle or Microsoft."
"OCR, Image Recognition, Object Cloning, and PDF integration help us a lot."
"This solution is easy to use and understand, even for a non-technical person."
"Through the software, we have been able to reduce the time that we spend on manual, repetitive tasks so that we can focus on activities that add value to the business or to our partners and customers."
"We simply train the Bot by uploading sample files, and it then begins classifying, processing, and extracting the data within a short span of time."
"The recording capability is valuable because of the amount of data it captures automatically. It's quite good. It means less development, and fewer configuration settings to fill in after you're done."
"Operational efficiency has increased more than 50 to 60 percent."
"When the users utilize the Kryon solution, it cuts off more than 50 percent of the processing time as the logic has been pre-built."
"The bot is typically about twice as fast as a person and more accurate, as long as the data going in is good. That is the biggest advantage."
"All our users have no technical background. But Kryon is really simple and intuitive. Our business adapted very quickly and easily. This is the main thing and it's why we love the system so much. It's why we are always trying to put more processes into the system and make more use cases: because of the simplicity and the intuitive nature of the system."
"It's very seamless to interact with Excel files and web app pages."
"[One of the valuable features] is the triggers. It's relatively simple to activate it. You can activate it via Control-M or via email. It has a lot of built-in triggers which enable us to easily activate the jobs."
"What I like most about Kryon RPA is the user experience, and I also find the layout and design of the solution better for programming compared to other RPA solutions."
"The fact that with UiPath Studio we can build reusable modules that we can use across automations has been specifically very useful to us as a company and team driving this project."
"Right now we have it deployed, and it is dealing with about 50% of our document volume."
"Compared to other tools, UiPath Studio licensing cost is low."
"There are a lot of great things in UiPath Studio; whatever is required for the development is there, and I do not think I face any difficulty during the development of any use case from UiPath Studio's side."
"UiPath Studio is good for automating business processes and repetitive tasks within my company."

Cons

"This solution saves us time but there are some things that make it clumsy for the end-users."
"We would like to see more options for merging and un-merging PDFs. More flexibility there would be good. We've figured out ways around this and, using their software, we've been able to do everything we wanted to do. It just took a bit more time to do it. We were on version 10.5 and in their Bot Store they actually had a bot that did exactly what we wanted to do, but it was for Version 11.0."
"The initial implementation of Automation Anywhere regarding the elastic search and database set connection can be a little difficult."
"The product needs to catch up to the promise of known technology and apply more intelligent behaviors concerning AI or unstructured learning."
"We face some issues, but we can’t prove them again. They occurred sometimes, but don’t occur again. For example, I record a video when a bot is running, and it is working fine. Another time it is not working. We face issues with Excel file creation. I’m trying to create a file in Excel .xls. It is getting corrupted."
"Automation Anywhere has newly integrated the Generative AI feature. It should be more customizable. Currently, we can change certain parameters, but we would like to have the ability to do modifications within the LLM for better outputs."
"For improvement, I would like to see Automation Anywhere integrating with multiple other technologies. As of now, it is integrating with .NET. When it come to future technologies, I want Automation Anywhere to integrate with Python scripts, and make the execution easier. That will be very helpful, having our cognitive technologies interacting with Automation Anywhere."
"IQ Bot is bad and needs a lot of tweaking."
"Further simplifying the low-code development process can attract a broader user base by making automation accessible to those with minimal technical skills."
"The fact is that we found this bug something like six months ago and it's still not in the new version."
"When a project is very big, a lot of memory is taken up."
"Kryon could be easier to use, especially in comparison to UiPath."
"It could be more reliable in spying HTML."
"I’m not sure yet what I think about the stability of Kryon because we haven't been able to get things constantly running and working."
"The only unstable part is Studio where you build this stuff. In our version, the 5.25. It has a memory leak. If you leave it open for too long, eventually it just freezes. Saving your work, closing, and opening it just once a day is all it takes. However, this is a bug that I have noticed about the stability of the actual tool."
"I have seen some very minor occurrences where Kryon's interactions with Microsoft Office might cause the robot to hang. However, it is about one to two percent of the time where we are seeing this happen. It is such a small percentage that it's not even something that we are overly worried about. This would be where they might have some stability issues, but it could be the Microsoft Office API or how they are interacting together."
"On the improving side, concerning costing, I am not sure because the cost of the new product is very high."
"Some of the recent upgraded versions, the package sometimes create problems, so that has to be tested first and then it should be available in UiPath Studio, because everybody wants to use the latest package, but sometimes when we are using the latest package, it creates problems."
"We feel the accuracy that the OCR provides from UiPath Studio was not as high as we had initially anticipated."
"We are not seeing improved ROI because the bigger chunks of use cases we have already addressed. When we take it down to the medium size, the cost of development and deployment is something which is prohibitive and it doesn't make a good financial business case."

Pricing and Cost Advice

"UiPath is exceptionally more expensive than Automation Anywhere. UiPath is far ahead of its competition, but in terms of finances, Automation Anywhere offers better value and is more effective for organizations seeking cost-effective solutions."
"The starting price, which is a one-off fee is a bit high and this may deter mid and small-sized companies from acquiring and decide to shun the platform."
"AA comes at a more affordable price than the other tools."
"More than 40 to 50 percent of the IT budget will be for the cost of automation projects in the coming years since these projects enhance operations add value."
"I am not sure about the costs, but two Bot Runners and four Bot Creators may cost approximately 1CR."
"There is an annual license to use the solution."
"This solution costs approximately $3,500 USD per license."
"Automation Anywhere falls within a mid-range price point when compared to other RPA tools on the market."
"They license per robot and we have 25 robots. You get so many robot licenses and can allocate those licenses to either attended, unintended, or Process Discovery bots. If you have 25 licenses, for example, you could have 20 automation bots and five process discovery. This allocation is flexible. There are also maintenance costs."
"The price is affordable."
"It is very cheap. I would rate the pricing a three out of ten, with ten being expensive."
"Can't beat the price... There are different pricing levels for every bot or unattended bot. You can buy however many you want. You'll need an additional virtual machine for it to work on."
"In addition to the standard licensing costs, there are manpower costs."
"We have a yearly license. It's about $5,000 per year."
"We are probably saving $6000 to $8000 a month in labor costs. It's not a ton, but we're right around $60,000 to $80,000 a year with our current deployment."
"For an unattended robot it's $6000 a month."
