Has significantly improved document-driven workflows and reduced processing time across finance and HR functions
Automation Anywhere has evolved significantly and upgraded itself to provide agentic AI and AI-based automation solutions for document automation. The product has matured considerably over time. We can create workflows that can call an API. We can include prompts in particular workflows for ChatGPT-related functions, connecting to an LLM and RAG to perform tasks. For document automation, modern features are available to train documents, ensuring high accuracy and repeatability over time. The system is very easy to use. I recently completed a course in document automation, typically designed for people involved in coding and technical aspects. Though I understand coding comprehensively, I don't do actual coding. The course was very accessible. Currently, extensive coding isn't necessary due to the hybrid model incorporating GenAI aspects, low-code, no-code capabilities, APIs, and numerous pre-built objects in Automation Anywhere. The features include GenAI-driven prompting methods and workflow creation capabilities. In these workflows, we can create decision boxes and call APIs without coding. We simply pull objects, drop them, connect them, and add minimal coding when needed. The most crucial aspect isn't coding but rather sizing the automation and fleshing out the details. Automation Co-pilot takes notes and performs automated analysis. It can extract details from videos, summarize conversations, and provide detailed information. During calls, it identifies instructions and performs tasks such as preparing reports and reconciliation. Automation Anywhere can also connect with Microsoft Co-pilot. Through Co-pilot, real-time operations can be executed, allowing direct interaction between vendors and automation through this component.

High-accuracy document processing with easy integration and good image enhancement
The OCR extractions are very good, almost 100% accurate now. The integration with other tools is very easy, with inbuilt actions to configure and directly export to multiple depositories. It is also good at image enhancement, including the removal of lines, which is helpful in processing and automation and ensures very little user intervention, thus saving time.

No-code workflows have streamlined daily operations and support seamless cross-application automation
Microsoft Power Automate's no-code workflows help my team in daily operations to a great extent. Automating a particular activity may not be so useful, but when you connect the whole workflow, then it starts helping a lot. I cannot say much about the best features in Microsoft Power Automate because I have not used it personally, but first of all, it is very easy, it is a low-code platform, and Microsoft has a lot of integration with Microsoft technologies, making it very easy to connect with MS Teams and different Microsoft products, including MS Azure. From that point of view, it provides a lot of connectivity options. From a cost point of view, Mendix is much more costly compared to Microsoft Power Platform, allowing us to develop applications very quickly.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"For the cash and bank reconciliation, we brought down amount of days it takes to do the reconciling and announcing the results; previously, it took 10 to 15 days, now it takes two days."
"Object cloning is one of the main features that are using. We are very happy with it. as It has enabled us to capture a lot of things on screen and use them."
"Having a cloud-based deployment provides more flexibility because we just need an internet connection for connecting the agent into the AA cloud."
"We found that Automation Anywhere was the easiest to use, and their offer was much more appealing compared to the other products, so that's why we ended up choosing them."
"The MetaBot is a very good feature that allows me to do things that were not available in earlier versions."
"Automation is going to become a new area we will certainly encourage a lot of people to pursue because of the lasting dividends it provides, including saving time and manpower."
"The feature I appreciate the most about Automation Anywhere is the interface."
"Automation Anywhere's document automation, powered by IQ Bots and now enhanced with AI, stands out as a particularly valuable feature."
"The most valuable feature is its ability to capture data, which changes all the time into different formats."
"The most valuable features of IBM Datacap is the capturing and recognizing of pages, documents as well as the scanner and barcodes."
"It reduces human error and saves time."
"It is highly scalable; we have customers who are pumping through thousands of documents a day, and if you're looking for enterprise, this is the solution because it is a platform."
"It is the best solution for scanning purposes."
"It helps companies figure out how to use advanced imaging techniques, processes, best practices, and other tools."
"It is highly extensible, which we found to be most valuable. It is a very extensible solution because it is based on configurable rule sets. We were able to amend and adjust the solution and very easily add custom code and custom components. It does require some programming experience, but we found that not to be an issue. We liked its extensibility."
"I like Datacap's integration with FileNet because financial companies use that export. The second part is web services integration, which is effortless to implement."
"The best feature of the tool is that it is generic, so it allows one to do as he wishes."
"The solution is easy to understand and to develop connectors."
"The most valuable feature is that you can run multiple automations at the same time, in parallel."
"The most valuable feature is that it easily integrates with other Microsoft products, so it has multiple connectors. You can create solutions that connect to Teams, Outlook, SharePoint, and OneDrive."
"It is very easy to learn and use. It is quite useful for any sort of back-office work. Any kind of work with low and medium complexity is very doable in ProcessRobot. For higher complexity, some refinement is required, but it is doable."
"The most valuable features of this solution are the automation interface and the RPA automation."
"This is definitely a product that I can recommend."
"In just in one click, we can see any documentation, etc., that we need. It makes it very easy to navigate."

Cons

"So far, the stability is not good. We are trying to improve this because we are facing a lot of instability issues."
"The automated regression testing could be better. I need to build my own testing suite, and I know other tools have built-in testing suites. That is an area that's very weak in this platform."
"With the user interface, a lot of the parts of it I really like, but there are some things that could be made a little simpler. A little less clicking around here and dragging over there to use."
"Having some more pre-mapping and pre-setup analysis of what you're going to be doing with it would be helpful."
"I feel the cost of licensing is very high for the A2019 version."
"One area where I think there's an opportunity to do things a lot better is in the analytics function. They do have a concept or product called Bot Insights. It hasn't worked for us. It isn't as plug and play as we were led to believe, which is unfortunate. I can absolutely understand the value, and the demonstrations that I've seen of Bot Insights are sensational. But, we just haven't been able to make it work. We've invested a lot of time and effort trying to make it work to no avail."
"Sometimes, I find that Excel automation is not as expected. Excel automation can be enhanced."
"They need to make the solution more robust."
"The reading efficiency of the solution needs to be improved."
"When I scan a document in Datacap that has a watermark or the document is a little distorted, the image output is poor."
"IBM needs to improve on scanning and reading accuracy for unstructured documents. Additionally, an important missing feature is the ability to merge documents and present data across different UI screens."
"What could be improved in IBM Datacap from a technical perspective is having everything together all in one place, rather than having several different interfaces. The addition of cloud-based OCR technology would also make this solution better. There's also room for improvement for their technical support."
"Datacap's technology seems a little behind the industry. It's still using the old .NET framework. They should move to .NET Core and start integrating some machine learning. You can do some integration yourself, but you expect a solution to include the latest machine-learning approaches if you're paying reasonable money for it."
"There are times when external features impact services. For example, Windows patching or antivirus updates can affect production-level services."
"The user interfaces for exception processing can be tweaked. I commonly find that we try to tweak and customize some of those components to more of what the industry standard is. The product is still trying to play catch-up a little bit in those areas."
"Its weaknesses are primarily tied to the lack of available resources and expertise in the market to effectively support and provide solutions and services to each customer for seamless implementation."
"The stability of the product is not very good and can even fail with simple projects."
"WinAutomation is scalable to a certain extent. I would rate it seven for the scalability, which could be better. Softomotive is better scalable than WinAutomation in this regard."
"I've had issues with reordering columns. When I tried to do it, it seemed to take a long time, and then, later, it gave me some kind of error."
"The initial setup is complex and has room for improvement."
"I have had some issues with stability where I received a surprising error message and still don't know why it happened."
"There needs to be more support documentation and videos that could be more helpful. However, having experience with coding is essential to fully utilize Power Automate."
"Some automation features on some programs did not work smoothly, so that's a negative feature."
"The solution is difficult to customize. I would like to see more flexibility when it comes to using different kinds of activities."

Pricing and Cost Advice

"The cost is affordable, which makes an easy barrier to entry for the RPA market."
"We generally follow the Gain-Sharing Pricing model, which enables the customer to start getting the RPA benefits right from day one of their implementation."
"The price for Automation Anywhere is reasonable."
"When I started working on it, it was difficult to obtain a trial version (barrier to entry). Now, they have a Community Edition, which may make it easy to get started."
"It's an ideal pricing model to customize the components based on everyone's needs."
"Approximately, for a developer, it is around $750 for a license a year. For Bot Runners, it is about $550."
"In the Indian market, I feel that for mid-size companies, such as ourselves, that having multiple bots costs a lot. If Automation Anywhere wants to expand in the Indian market, they will need to look at their pricing."
"They're very flexible around pricing and licensing."
"This solution is the most expensive in the market."
"It varies, and it depends on the client's requirements and negotiations. Nowadays, Datacap is also included in the IBM Cloud Pak for Business Automation."
"Pricing depends on how much we use it. We pay per bulk quantity. We pay as you go. Therefore, it sort of depends on our usage of it."
"This solution offers seamless integration with other enterprise products, which is my area of responsibility, focusing on government sector projects. Larger enterprise projects don't pose problems. It might be suitable for small businesses as well."

"In Egypt, we have exchange rates that change year to year, and currently, we're facing an increase in the exchange rate between our Egyptian pound and the dollar. Since we have been using IBM DataCap two years ago we had a good price, it was not expensive. However, I cannot say now if it is expensive or not because of the exchange rate. Additionally, I don't have the data of other competitors and I don't know the prices."
"Pricing needs to stay competitive."
"You save a lot of time and money, but the benefit is you have people who are able to run the systems, check to see if there are any errors at all, and there are a lot less errors than a human system."
"Its license is a part of our enterprise agreement. It is a three-year contract, but we pay yearly. So, it is a yearly license. There are no additional costs."
"I believe one of the advantages of this device is its low cost."
"There should be increased transparency about which features attend the pricing."
"Microsoft Power Automate is expensive. The full license is quite expensive."
"There is zero licensing cost. It comes with our Microsoft Office subscription."
"The pricing is reasonable and the western license is fantastic."
"This is a cost-effective product and now that it has been acquired by Microsoft, we don't expect the cost to increase with the next release."
"Currently, we are using the free license for testing. After everything is done, we'll buy the license."
