Secure file governance has improved collaboration and automation for client document workflows
The best features are around security, being able to set up different groups, and the governance features are really great. The new AI functionality that they released has been pretty handy. For governance and security, the audit trail capability is excellent. We are able to see when people interact or change files or if something was deleted, and we can go through and review that audit trail. The AI has been great for creating different workflows that we are able to execute. When a form gets submitted into Box - Intelligent Content Management or a file is uploaded, there are certain automations that we can put in place to where it can essentially generate tickets in our system for new users or other tasks.

Secure self-hosted editing has enabled real-time collaboration for critical web applications
The best features ONLYOFFICE Docs Enterprise offers are its self-hosted deployment and the fact that the data which I am working on never leaves my infrastructure. It features JWT-based authentication, supports TLS, and data in transit is also secure. These are the best features I appreciate the most about it because when I use some other tools rather than my on-premises application, these types of tools are very trustworthy. These security features in ONLYOFFICE Docs Enterprise impact my work significantly because when I deal with critical systems, I need a strong secure mechanism so that no other entity or attacker can attack the site and manipulate the data in between. Features such as JWT authentication, where I identify which user is trying to access the data or the document, directly help me verify whether the document is related to this particular user or not. Collaboration with ONLYOFFICE Docs Enterprise is real-time, allowing me to work on real-time data. When I work, multiple people can work on the same documents simultaneously. It operates in real-time where I can put real-time comments that are directly visible to the other users or other teammates. Version history is also a good feature where I can see the versions of the document. ONLYOFFICE Docs Enterprise has positively impacted my organization by reducing the processing time, which it usually takes with other tools, by 20% to 40% through its real-time data fetching and collaboration, making it easier for my team as well.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The word Box has become a verb at Morehouse College."
"The best features of Box for me include the structured file organizing, which is the most important part I found, and apart from that, secure sharing and integration with automation platforms, along with its smooth integration and usage in automations, is a very big plus for me."
"Awesome solution that works on many devices."
"The ability to collaborate around data anywhere, anytime is the most powerful features of Box."
"The beauty of Box is that you don't need to download the document on your computer to edit it and then upload it again, because you can edit the content while the document is in the cloud."
"Office Integration. The full integration into the Microsoft Office products is just perfect."
"Box is very simple and effective, so I prefer Box."
"Box is very user-friendly; more so than SharePoint."
"I see only advantages there; it has had a very positive impact on operations, with cost reduction, and the familiarity that users developed with this tool met our expectations."
"ONLYOFFICE Docs Enterprise has positively impacted my organization by reducing the processing time, which it usually takes with other tools, by 20% to 40% through its real-time data fetching and collaboration, making it easier for my team as well."

Cons

"Sometimes, their website doesn't work properly."
"In future releases, there could be encryption, to have better security."
"I would like to see features for online collaboration between team members in the future, to open and see who is accessing the document now and see my movements across the document or the file we are sharing together."
"The solution's data security should be improved."
"The upload speed needs improvement."
"With OneDrive, you can continuously save your files over a Box folder. That is something I wish we could have."
"Working on documents in real-time is sometimes faulty and could be improved."
"I would like to see the below additional features: Disposition features, record management and retention policies in this application."
"Regarding how ONLYOFFICE Docs Enterprise can be improved, I feel that the initial deployment is a bit more complex than a cloud ONLYOFFICE suite."
"One of the points for improvement for ONLYOFFICE Docs Enterprise needs to be more integrations with corporate solutions, as well as more advanced features in spreadsheets and documents because we are limited to some of the features it offers compared to other corporate solutions such as Office 365."

Pricing and Cost Advice

"Our pricing and licensing is excellent. I'd tell all Higher Ed customers to talk with Internet2 for excellent pricing and support."
"We are using the free version of the solution. There is a free version and monthly and yearly subscriptions available."
"The pricing may seem steep at first, but delve into the features and you'll soon realize it is incredible value for what you get."
"It is expensive per head, as you need the enterprise license to get full security and tools. So negotiate a discount!"
"They are very price competitive when pushed. Initially, they come out with a standard list price, but they are willing to be very competitive. The Box price was pretty much equal to or lower than the Citrix price, and Box has more features."
"My organization pays for the license."
"I have to pay for Box. It could be a little cheaper. On a scale from one to ten, I would give the pricing a five."
"Box's pricing is excellent."
