Secure file governance has improved collaboration and automation for client document workflows
The best features are around security, being able to set up different groups, and the governance features are really great. The new AI functionality that they released has been pretty handy. For governance and security, the audit trail capability is excellent. We are able to see when people interact or change files or if something was deleted, and we can go through and review that audit trail. The AI has been great for creating different workflows that we are able to execute. When a form gets submitted into Box - Intelligent Content Management or a file is uploaded, there are certain automations that we can put in place to where it can essentially generate tickets in our system for new users or other tasks.

The most valuable feature is the ability to create team spaces. Many users have requested a live-edit option for documents.
With many team members all around the world in different time zones, we found that working together in a structured space, rather than over email, was less chaotic. We also found that the information was better documented and organized in Igloo. To be specific: Many users have requested that Igloo implement a live-edit option for documents, such as Google Docs. This would improve the product because for now one has the option to reserve a document, edit it, and then upload an updated version meaning other team members have to wait for one person to be done before adding their contribution. If there were such a feature it would allow for more immediate direct collaboration between members of the community. However, Igloo keeps track of previous versions of the document so this feature is useful as well to see how collaboration progresses between team members.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"Box - Intelligent Content Management has positively impacted my organization by being really great and helpful for the past two years I have been using it."
"With us being an all Mac managed service provider, we find that the integration Box - Intelligent Content Management has with Finder is really good with the syncing, and it is probably one of the better file-sharing solutions when it comes to that, which is the big reason why we suggest it out to our clients."
"Box - Intelligent Content Management stands out compared to most of the other platforms we have used, purely from the security standpoint."
"Sharing and collaborating across files and folders has been a massive game changer."
"The features I have found to be most helpful over other cloud storage platforms are: Collaboration - just not that it exists, but it is easy and user friendly, allowing data that is necessary to be worked on to be brought to the surface; Security - focus on compliance, encryption, enterprise grade management; 3rd Party Integrations - allowing for Box to truly be a platform to be used with other software."
"File sharing, authorization on the back, its ease of use and reliable uptime performance are valuable features of this solution."
"The ease of using Box on multi-platforms, including my phone and tablet, along with the collaboration features means I've been able to use it with my family (including my non-tech-savvy parents) for simple sharing, as well as with colleagues for team collaboration."
"It is really easy to load files to and from this solution."
"It gives us the ability to create "spaces" for our schools."
"Customer Service: Excellent customer service, responsive, hand-holding if needed."
"Igloo was the cheapest and had the best set of functions useful for our purposes."

Cons

"They could integrate better with other platforms."
"My biggest problem with Box.net is the lack of a free desktop syncing feature."
"Integrations, the more integrations the better. Office + Outlook are great but we need more like it."
"The upload speed needs improvement."
"I find it rather difficult to get in touch with someone, but typically once you do, they are able to provide assistance on whatever you need."
"The security settings are such that if I have a folder with subfolders several levels deep, whatever security setting I have for the parent folder gets inherited at all the subfolders. This has been limiting."
"I recommend doing the trial first, because it's not cheap ware. It's not overly expensive, but it's not cheap ware, and enterprise has a minimum number of users."
"I haven't really come across a case where we're not able to use it for what it is, so I don't really have anything holding us up or any customers holding us up at this point that I know of. There are always some limitations, but as a technologist, I just live with them, and there is always room for improvement, but I don't have anything quantifiable."
"We had difficulties getting everyone to work with the online software so as to get the best out of it."
"Hoping they include "the ability to communicate and have face time" within your own space."
"I look forward to an update to their text editor."

Pricing and Cost Advice

"There's a free version that allows you to use it with almost full-feature access. Even in the free version, it gives you all you need."
"The pricing may seem steep at first, but delve into the features and you'll soon realize it is incredible value for what you get."
"We are using the free version of the solution. There is a free version and monthly and yearly subscriptions available."
"Box needs to improve with their pricing in terms of licensing costs."
"Our pricing and licensing is excellent. I'd tell all Higher Ed customers to talk with Internet2 for excellent pricing and support."
"I believe Box is cheaper than SharePoint."
"The more you dig, the deeper the level of tools, and the more expensive it becomes."
"Better sign a full year's contract to get a discount."
