Secure file governance has improved collaboration and automation for client document workflows
The best features are around security, being able to set up different groups, and the governance features are really great. The new AI functionality that they released has been pretty handy. For governance and security, the audit trail capability is excellent. We are able to see when people interact or change files or if something was deleted, and we can go through and review that audit trail. The AI has been great for creating different workflows that we are able to execute. When a form gets submitted into Box - Intelligent Content Management or a file is uploaded, there are certain automations that we can put in place to where it can essentially generate tickets in our system for new users or other tasks.

A Robust Solution with Enhanced Automation and Process Improvement Identification Capabilities
I recommend that users invest more time in the initial setup of the process architecture within the tool. It is crucial to spend time designing how the process architecture works as it significantly impacts how the tool behaves. This upfront investment can prevent the need for extensive reworking later on.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"Simple file sharing and sync for internal and external customers."
"Our employees can access content from anywhere, no-vpn, no special apps, no extra authentications."
"You can upload your bin, upload your files quickly, and download your files quickly. It provides a lot of other alternatives."
"The solution is used for data storage and any kind of visualization."
"The collaboration of the solution is good."
"File sharing, authorization on the back, its ease of use and reliable uptime performance are valuable features of this solution."
"File and Folder sharing in the organization and outside of it."
"The ability to collaborate around data anywhere, anytime is the most powerful features of Box."
"The most valuable feature is the integrated manner in which all the capabilities of the Enterprise Process Center platform work together and make it easier to complete the documentation of processes."
"One notable software-related benefit from a user perspective is our improved ability to identify opportunities for automation and process enhancement just by gaining a clearer view of the processes. There are two valuable aspects. First, setting up the process architecture is commendable. Second, not having to maintain different versions of processes is a notable benefit. The solution is stable. The support team is responsive."

Cons

"I would like to see features for online collaboration between team members in the future, to open and see who is accessing the document now and see my movements across the document or the file we are sharing together."
"The solution's data security should be improved."
"They could integrate better with other platforms."
"With OneDrive, you can continuously save your files over a Box folder. That is something I wish we could have."
"I haven't really come across a case where we're not able to use it for what it is, so I don't really have anything holding us up or any customers holding us up at this point that I know of. There are always some limitations, but as a technologist, I just live with them, and there is always room for improvement, but I don't have anything quantifiable."
"If you want to delete something in Box, you have to do it manually, one by one."
"The waterfall methodology for folders does not allow for privatization of folders at the root level, which sometimes may be necessary."
"Box is extremely user friendly, however our clients have been having a hard time adjusting and understanding Box."
"As with all such platforms, Enterprise Process Center is a complex tool and there are many capabilities and features that take time to learn."
"However, on the process mining side, there's potential for improvement to gain deeper insights into process functionality. Additionally, there's always room for enhancement in the user interface."

Pricing and Cost Advice

"It is expensive per head, as you need the enterprise license to get full security and tools. So negotiate a discount!"
"The pricing may seem steep at first, but delve into the features and you'll soon realize it is incredible value for what you get."
"Better sign a full year's contract to get a discount."
"Our pricing and licensing is excellent. I'd tell all Higher Ed customers to talk with Internet2 for excellent pricing and support."
"My organization pays for the license."
"I'm in Higher Ed, so we purchase through Internet2-Net+. I absolutely recommend going that route for Higher Ed customers."
"I have to pay for Box. It could be a little cheaper. On a scale from one to ten, I would give the pricing a five."
"Box needs to improve with their pricing in terms of licensing costs."
"My advice for anybody who is implementing this product is to understand what options you believe you are going to want to implement and rollout in the first three to five years, but spend the most time understanding what the set-up costs and pricing will be in the first two or maybe three."
