Has transformed how I manage documents through metadata and automation while enabling structured collaboration
Microsoft should restore some functionalities from older versions of Microsoft Office SharePoint Server 2003 and 2010. Specifically, bringing back something similar to SharePoint Designer would be beneficial. SharePoint Designer was both advantageous and challenging - developers found it limiting and preferred Visual Studio, while non-developers struggled to use it effectively. A new tool for configuring webpage design and development for content pages would be valuable. The current system is too basic. While integration of filtered lists and libraries is possible, it requires knowledge of Python or jQuery. A WYSIWYG editor would be preferable to requiring programming knowledge or Visual Studio.

Positive features enhance collaboration but room for improvement in file syncing
Regarding Microsoft OneDrive for Business's versioning control, sometimes there are syncing problems. Microsoft OneDrive for Business is available on the cloud as well as on my local machine. When we put a file in Microsoft OneDrive for Business on the local machine, it takes some time to sync, and sometimes it gives an error, which is a specific issue I have encountered. If Microsoft works on the syncing part of Microsoft OneDrive for Business, it would greatly enhance its functionality. Sometimes we update a file, and it isn't showing on another end, which requires us to run a sync again for it to appear. That part, if addressed by Microsoft, would be great. I love SharePoint more, so I will provide feedback in relation to that. SharePoint has only one folder, and we must create multiple folders within that to store files. If they introduce a categorized option, similar to SharePoint where we have team site differentiators, and options for creating communication sites, that would be fantastic for Microsoft OneDrive for Business.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"Ability to collaborate with others in one location."
"The most valuable aspect of the solution is the fact that it doesn't require coding. You just need to configure it. You don't need to code before getting something running. It makes it very fast."
"The ability to create simple web pages with diagrams and links is valuable, particularly for intranet work and creating wiki pages for a team to show how we do certain things."
"Overall, it is a good product, and I recommend it."
"Microsoft Office SharePoint Server helps with return on investment as it saves a lot of time and helps clients improve their processes."
"The level of stability is good."
"The most valuable feature is the "Alert Me", which provides the ability to set an alert when content is either added or changed and that the alerts can be either real-time or aggregated for the day or the week."
"The integration with security tools in Microsoft Office SharePoint Server is one of the significant pluses since it alerts the IT team if anyone tries to redirect an email, which is illegal for us."
"This product helps me a lot, together with latest version of Office 365, to collaborate a little bit more instead of sending huge attachments via email to 10 colleagues etc."
"Some of the best features of Microsoft OneDrive for Business are the ability to ensure automatic saving, as I've been in IT for over thirty years and have seen plenty of times when people forgot to hit file save and lost data, and having this automatically saved constantly is a very nice feature set."
"What I appreciate about Microsoft OneDrive is that internet access is all you need."
"So far, OneDrive has been very good for us."
"It's pretty easy to learn. Once someone taught me, I was able to navigate it quite easily."
"Image management is great since the search is simple, and accessing images with labels is easy."
"I recommend Microsoft OneDrive to others because everyone in my office uses it, the Microsoft products are in my environment, we use Microsoft, and all my customers use Microsoft, many people use Microsoft, and it is a universal tool, which is what other options may lack."
"The most valuable feature is to be able to modify the file online and keep it stored on the cloud, since it is not necessary to download it to make modifications."

Cons

"The solution needs to enable better sharing capabilities between users and external users. Several users also have problems with linking their emails to their Microsoft account."
"The document management features of Microsoft Office SharePoint Server are not very good compared to OneDrive."
"Regarding the setup for Microsoft Office SharePoint Server, I have to rate it lower, maybe a seven out of 10, as it is a little bit more complex and not so easy to use in some use cases."
"The areas around security, such as protection, need to be included."
"The solution needs to be more collaborative. I believe they are just coming up with the themes for this right now."
"I would like to see the integration with Teams reinforced."
"Making it more intuitive could help teams adopt it faster and use it more effectively by being more user-friendly."
"The ability to preview files in different formats should be expanded to include formats such as embedded postscript (EPS), AutoCAD, and Adobe Acrobat PDF."
"The solution has sub-folders, which are visible to various team members."
"Microsoft OneDrive could improve because it doesn't support backing up .PST files, which are Outlook data files, and email archives. This is a substantial setback when it comes to Microsoft OneDrive."
"The initial setup is a bit clunky."
"The user interface sometimes fails and when it cannot connect, it does not give the reason why."
"Well, compared to some other products, there is a lot of room for improvements."
"It takes too long for OneDrive to synchronize various applications, especially when you are saving office data. It also requires too much bandwidth."
"The website could be improved. Sometimes I try to login and the website has issues, I can't retrieve my documents."
"They were terrible for support after COVID hit."

Pricing and Cost Advice

"There are some aggressive discounts offered by Microsoft for organizations that are not for profit, which we are, and it makes it quite attractive to consider."
"It can be expensive for on-premises deployments, especially when you have to support SQL Server as your backend database. That's where the cost comes into play. SQL Server has its own licensing, which Microsoft keeps on changing. Therefore, it can become costly. In the earlier versions of SharePoint, version 2007 or 2010, they had an express version where the SQL Server licensing was free. It wasn't like a full-blown SharePoint. It was only a slimmed-down version. It used to be whatever your hardware costs. You would install the free software and work with it, but you were very limited in what you could do in SharePoint. If you wanted the SharePoint Enterprise Server with all the bells and whistles, then you had to pay more to get the SQL Server license based on the number of users or servers. The subscription model is different for cloud deployments. Licensing is per user and per month. The cost also depends on the storage required. If you have a lot of sites or documents, then you need to expand it based on your needs."
"Pricing plans may be flexible depending on volume usage and your corporate relationship with Microsoft."
"One of the reasons why we don't recommend the cloud version of SharePoint is the cost. With the on premise version, you pay for the license once. For the cloud version, there is a recurring fee. It is very expensive. They expect everyone to pay $20 or $30 per user per month."
"It is free if you are using Office 365, and you get a terabyte of storage with your account."
"OneDrive comes with Microsoft 365 so it is just an added part of that package."
"We pay a lot for the Enterprise version, but it is a premium service."
"Using this software, it has had an amazing impact moneywise on our business. It allows us to share documents without the need of extra hardware."
"This is a pricy solution, given that we are only using it at 50% capacity."
"The price of Microsoft OneDrive is reasonable and compatible with competitors."
"Costwise, it is a great option. In most cases, it is a free space, which will be more than enough for most customers."
"The licensing is expensive and on a yearly basis."
