Robust document capture boosts efficiency and integration options
The best features include multiple channel capabilities such as fax, different file transfers, and paper scans. It can be integrated with multiple channels and can capture images, even from mobile devices integrating into OpenText Capture. Currently, it has introduced AI for data extraction and document processing. OpenText Capture's impact on automating document-intensive tasks such as accounts payables or loan processing is significant. It has the capability to capture table structures or multiple line items from images, including line items and final amounts for invoice processing. The main benefits of OpenText Capture are particularly valuable when capturing content and extracting structured or unstructured data. This product can be integrated into any point-of-sale system, Salesforce, SAP, or other environments, reducing manual data entry and related tasks. This feature has helped organizations handle large volumes of data with precision, especially regarding resource consumption. The automation reduces human effort that would otherwise be required for classification and extraction tasks.

Cloud platform orchestrates business processes with AI capabilities
I find the capabilities that a normal orchestrator should have to be valuable in WorkFusion. The WorkFusion 10 cloud-based platform is different from the earlier on-prem version, WorkFusion 9. The platform now includes auto machine learning and AI capabilities. We haven't used these extensively, but they are a nice feature they are working on. The platform remains stable with well-designed processes, despite being a complex and technical tool.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The enterprise and capturing feature of OpenText is its valuable feature. As we have integrated CRM with OpenText."
"It allows you to image capture, scan documents and use machine learning to automatically index and tie them."
"We use it to capture documents coming through our product and mobile channels and make them available for our business to access and email. We use it to automate the email workflow in our applications, pull the documents, and email them to the users."
"The solution is very powerful because it allows for custom scripting."
"The automated version of the vendor invoice management is great."
"Being able to have accurate extraction is most valuable. It has machine learning and other tools to make the extraction more accurate."
"The main benefits of OpenText Capture are particularly valuable when capturing content and extracting structured or unstructured data, and this feature has helped organizations handle large volumes of data with precision, especially regarding resource consumption."
"The customer support is very responsive."
"We recommend different solutions based on our customers' needs, and WorkFusion is what we offer for those who need a premium solution."
"We have been very pleased with the speed and decisiveness of WorkFusion, which is able to quickly provide a disposition note or escalate to a human for additional review."
"The document processing engine is good. We're extracting around 70 data points from a given document, and we have an automated extraction rate of 80 percent for those fields."
"The cognitive features of this solution are good."
"We have seen Workfusion improve on accuracy and compliance... With the Workfusion model, we reduce human error and the need for further QC. We switch more to a QA process where we're testing whether the model is effective."
"It takes care of simple tasks so users can focus more on exceptions than on regular use cases. They only focus on orders where they need to handle an exception, some information was not given, or there is an issue that they had to focus on. The rest of it goes straight through without human touch. We want to see our employees as engineers, wherein they think and solve problems, not necessarily have to do repetitive tasks. I think WorkFusion helps with avoiding repetitive tasks."
"The Control Tower enables us to create and use workflows. It helps us run processes. There are a lot of small features, but the Control Tower is a very good feature, wherein we can create bots and schedule them as well as create different instances of them to run in different regions."

Cons

"The setup is medium complexity."
"I would say what most of the document management solutions are lacking is smartness to detect the duplicate storage of the documents"
"We are using it to improve the image and the documentation for the cases. And sometimes, some cases have more than fifteen different types. We use some tools as fixed standard analysis and provide information to support the different types to take some decisions and help in an automated process. We choose the case type and subtype DNS scanning documents from the data entry up."
"It can be more user-friendly, and it should also have more reporting capabilities. There are also a few other things that need improvement."
"If something is handwritten and attached to an email, it doesn't capture the information correctly."
"Knowledge of .NET is required to effectively use the solution or it can be complicated."
"The area for improvement primarily centers around licensing concerns rather than technical issues. Captiva, intended for larger clients, poses challenges for medium and small businesses due to licensing costs. The current licensing model is based on volume, such as purchasing a volume for one million dollars per year for scanning. This pricing structure may be prohibitive for companies with constrained budgets. Another aspect requiring attention is the mobile capture feature, which, although experiencing recent enhancements in intelligent document processing through AI, could benefit from further improvements. Specifically, there is room for enhancement in enabling users to efficiently capture documents using their smartphones."
"There is enhanced functionality I would like to see, things that would further enhance the user experience, deliver greater efficiencies, and further mitigate risk."
"The product needs to be "simple and easy" to use. A good example of this is the use of Python code to perform automations. It is free and the skills transfer is able to happen quickly and the operation and initiation of the completed automation is easy to execute."
"The user experience could be better both from an RPA perspective and from a business perspective."
"On a scale of 1 - 10 I would rate them a 6. That's not low - that 60%. But as I said, it needs to be upgraded and modified."
"We have had some problems in the past with the Inspector tool that looks at the elements on the screen. Replacing it or improving it is needed."
"This is a Java-based application that takes up a lot of space and when it runs, consumes a lot of memory. This affects the reliability because it gets to a point where it hangs."
"There could be better version control through their web platform. That is something that could be improved on. Integration from the IDE, e.g., from WorkFusion Studio directly into Control Tower, would be nice to have too."
"It is complex for enterprise implementation. The solution needs a needs minimum, of 20-22 servers. It's no small task. This is not a straightforward setup. It's a large undertaking and there are many moving parts."

Pricing and Cost Advice

"OpenText is an expensive solution."
"Some customers say the solution can get costly because it requires licenses or enterprise packages."
"I can't speak to pricing. It's a contract signed by upper management."
"In addition to the licensing fee, there is also an implementation cost for each use case and technical support costs."
"They have a very expensive license compared to any other automation tool. For instance, at $50,000 - $60,000, you can bring in an Automation Anywhere solution. For this solution, you need at least $250,000 to get something going."
"The pricing is fair because WorkFusion's out-of-the-box solution is appealing."
"The overall cost could come down a bit in terms of maintaining the servers. Because it can handle complicated things in big use cases, the infrastructure is also correspondingly big. It would be nice to bring that cost down."
"As a first-time customer who wants to engage with WorkFusion, not working for my company, then I would want to do a PoC. The cost is prohibitive because they will ask me to get infrastructure with six or seven servers. Then, you must buy a WorkFusion license to do a PoC, which is expensive. I would then have to set up a team to build the PoC and see the benefits. That is very prohibitive."
"Find it online."
"One upgrade took a year to do, from the first server being built to the last bot being migrated. This was because we had to migrate all our existing bots. This is the same process and time frame that we are expecting towards the upcoming upgrade. I will end up spending half a million dollars to do an upgrade."
