Enables effective document control yet requires better affordability and clarity
I use extended ECM for procurement, sales, engineering documents, and sometimes invoices and accounts payable or receivable The version controls and the business workspace part integrate well with SAP and OpenText, providing granular level control over who accesses the workspace. The seamless…

Flexible plans, stable, and scalable
I used another solution at the same time, which was far worse. The American company I worked for used a similar file-sharing solution called LeapFile, a secure file transfer service. Personally, I found Citrix ShareFile to be much better than LeapFile, which was quite clunky. I later used a solution called Egnyte, which my company used as its main file transfer solution, though I'm not sure if it's still in use. The company moved to Egnyte because it is more of an enterprise-level solution. Egnyte was expensive, but it worked. I believe Citrix ShareFile is aimed at smaller to medium-sized organizations, making it a more appropriate solution than Egnyte due to its pricing.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"We use Core Share to share documents with external auditors or with vendors, and that prevents them from being able to get into the whole system. It is useful."
"Being able to tag metadata on documents and being able to have different workspaces in there for our documents is valuable. We do loan documents, and different types of documents have different types of retentions. We are able to categorize based on that, and we are able to do tag searching to find what we are looking for."
"An SAP user can store documents directly into OpenText without a connector."
"Simplicity to roll out, features available, customization options."
"OpenText Extended ECM's most valuable features include permissions and security models. I also like the tool's ability to add metadata and use it to categorize information."
"Smart Viewing videos are most valuable for the end users. The end users like the look and feel of Smart View. It's similar to SharePoint, with the latest HTML5 features, filters, and everything. It's like online shopping."
"The integration of a document management platform with many other applications, e.g. SAP, SuccessFactors, Salesforce, SharePoint, etc."
"The version controls and the business workspace part integrate well with SAP and OpenText, providing granular level control over who accesses the workspace."
"This provides us with a secure way of sending tax returns without having to use passwords."
"Easy to manage and fully secure."
"Citrix has a very good file auditing features and security features."
"It's user-friendly for end users."
"The solution would query the Active Directory, and if new accounts were identified, Citrix ShareFile would add them automatically."
"The solution is scalable."
"ShareFile gives you all of the features of cloud providers, but in an on-premises solution."
"The Enterprise Dropbox solution is highly integrated with Microsoft's Office 365 and Azure products."

Cons

"The response time is not effective, and the staff lacks adequate knowledge."
"The annotation tool needs improvement. In other tools, such as Hyland OnBase, you can easily do annotation. You can easily merge documents. You can easily compare documents, whereas with OpenText, it seems to be a challenge."
"Pricing could be improved and the stability or the performance needs improvement, which is very important."
"More out-of-the-box automation features should be added to OpenText Extended ECM."
"We are looking for new, advanced UI features. Currently, the UI does not look great."
"The cost of the product could be improved."
"I have not used it enough to start running into issues. Some of my technical guys could name a couple of things, but in terms of support, we did have challenges getting good responses from them."
"The initial setup can get really complicated, and it takes time."
"They should integrate the solution with more email services."
"Everything they have should be integrated into one item."
"My only issue with this solution is the cost, which should be improved."
"Some of our customers are facing issues if they've deployed in hybrid mode."
"The configuration on the mobile devices is a little clunky, in terms of setting up the application."
"DLP features are lacking and required because, especially with everyone working from home, security is now paramount when the data is on BYOD devices."
"There are sometimes scalability issues after updates."
"The user interface is not very intuitive."

Pricing and Cost Advice

"The tool's pricing is confusing to the end customer."
"The product is pricey."
"The licensing is not that complex for the core products, but it becomes more complicated for some additional modules."
"Both Open Text ECM and IBM File share are expensive."
"The pricing is costly. It's costly to integrate with Office 365 and to go back and forth with the sales team."
"OpenText Extended ECM is an expensive solution."
"It is a little more expensive than our previous solution, but because of the fact that it has become a rallying point for different groups to come under, it might end up paying off better in the long run by not having seven siloed solutions. Even though this one solution is a little pricey, it might eliminate other ones."
"The total cost of the product will vary on the capabilities required"
"If you are already a Citrix customer, I recommend having the Platinum licensing level, as it provides licensing for a number of various features that all integrate together."
"Citrix has a very good file auditing features and security features."
"I give the cost of the solution a five out of five."
"You have to work hard in order to get the suitable licenses."
