Quotes From Members
We asked business professionals to review the solutions they use.
Here are some excerpts of what they said:
Pros
"The most valuable features of Jira are the dashboards where we see all the features lined up with the release dates in the portfolio view, it is very good.""The way to manage cards as a KANBAN, is really easy but when you need to track hundreds of projects, you need to be very clear in which way the things must be completed.""The solution includes good and fast notifications for other project team members.""The customized workflows we can define are very valuable. JIRA's private projects is very useful as well. There are also a lot of plugins that they provide.""The developers can simplify tasks and each one of them can undertake a task and then they continue with development. Our processes are more efficient and easier for our manager and developers to track them. Their work is more organized.""The solution is very stable.""The valuable features of the JIRA Portfolio are the customization it provides which is very useful and the Agile project management capability.""With JIRA, you can do amazing things by developing connectors, embedding features, and adding new fields to create new things."

"The most valuable features of Smartsheet are its collaboration tools, the ability to centralize and prioritize projects, and robust reporting capabilities.""The solution is straightforward. Whenever a requirement arises, we create three things in Smartsheet: a project plan, a dashboard, and internal documents. It is done through the form and Smartsheet's automation services. This process shortens the time to market from seven days to less than 12 hours.""It operates as an enhanced and versatile version of Excel, offering a wide range of capabilities that allow you to accomplish various tasks and operations.""The management aspect is the most valuable. You can also prioritize tasks and then view tasks by priorities as passports.""The ability to update in real-time before meetings is great.""Smartsheet does a really good job of creating Gantt charts. Export to Excel feature was also very useful.""The dashboard and the layouts are quite good.""It's very user friendly."

Cons
"It would be really nice if the solution provided a heads-up every time they enhance something or add new features.""The product could do with more flexible reporting.""n the next version I would like to see better reporting and safer plugins, as well as easier scalability.""Their interface is a little unique and I think that's partly because the core of the product has morphed into several sub-products, but the underlying architecture has stayed the same on all of them in that it was originally a help desk ticketing system. It's a very tech-focused product and that's fair given its origins, but if they really want to expand their community of users, then they're going to have to move beyond that a little bit and polish it up.""It's got kind of a steep learning curve.""We had to use assistance for the initial setup.""The automation in JIRA Portfolio could improve, it takes some time. We have to do some other tactics to have the same integration. Manually integrating something will take more work than if it was automated, but the automation scripting in the solution is not simple.""With Jira, an issue that arises is the length of time it takes to show certain data."

More JIRA Portfolio Cons →

"Smartsheet needs to improve the user interface.""The downside of Smartsheet is that there are some security concerns. We were able to restrict people from sharing sheets with anyone who was not in our domain, but it could be easier. We also found it hard to restrict certain user groups from adding attachments to sheets.""I'd like to see them add more features to their automation.""Asana has a modern look and feel, particularly its agile project management interface featuring movable cards between columns.""I think it is all going to be about APIs in the future and I don't think Smartsheet is doing a lot in that regard. They have some integrations with Jira, but you have to pay for them.""You were forced to create a new tab rather than add another sheet.""There are some pain points for me. Other people use it a little differently, but I would like to be able to do a little more with it. I would like database functionality with it wherein if I bring in several Excel spreadsheets of data and load them into Smartsheets, I should be able to make a correlation between an index field and run a report against those two. I can do it, but it's a little clunky. So, I need a little more experience to feel comfortable doing that.""They should improve the solution's integration with API."

Pricing and Cost Advice
  • "This solution has a comparable pricing in comparison to other similar products on the market."
  • "The pricing of the solution is expensive."
  • "We only have nine people using it so we have a standard cost of $150 dollar per year. There are only additional costs if you exceed the limit of users, then you start paying by user. The cost is significantly higher."
  • "The pricing continues to get higher."
  • "The product is really not very expensive."
  • "We pay our fees annually, although monthly payments are also available."
  • "The price could be improved."
  • "We have a license to use JIRA Portfolio, we are not using the free version."
  • More JIRA Portfolio Pricing and Cost Advice →

  • "This licensing is straightforward and they charge per user."
  • "Its licensing is on a yearly basis. I was responsible for negotiating the price with the Smartsheet team, but I don't remember what the price was. Its standard license probably was around 5,000 to 6,000 a year. The enterprise version is significantly more expensive."
  • "Smartsheet only requires licenses for project managers. When we were using Asana, we had to purchase a license for everyone who wanted to access their tasks and use the system. That gets costly fast. It was one of the main reasons we left Asana. As Asana and these other tools scale, they become way more expensive."
  • "There would be more extensive usage if the solution were cheaper. It's really expensive right now, and that's why we provide a few licenses for admins. The rest of them are just users without admin privileges."
  • "I would assume there is a licensing fee. I don't think that it is free."
  • "It is less expensive than Microsoft Project for enterprise or Oracle Primavera by an order of magnitude. If you buy a Microsoft Project license, it's probably $300 or so by itself, whereas Smartsheet is probably less than $50 per head."
  • "For a normal license, like the one I had: I had my own Smartsheet because I wanted to play with it and I didn't want to mess with what I was doing in Verizon, so I paid $200 monthly, and it gave me all the same functionalities, so I could do whatever I wanted for $200. The problem is if you have anyone else working on it or deploying on it, it's $200 a month for every single person who's deployed on it, that's working on it as an owner or an administrator, so owners and administrators are the only ones who can change, edit, and add data to worksheets and columns. Depending on the size of your organization, Smartsheet can be costly. As for implementing its Control Center, Smartsheet forces you to have three people come in: it's a minimum of three people from Smartsheet for three months who will provide you the solutions for the Control Center side, and that's $150 an hour, so it can become very expensive. For my company, not having the Control Center would save on the setup fees and then the $20,000 a year, because the Control Center of Smartsheet is a yearly subscription of $20,000."
  • "Smartsheet has many licensing models. You need to add the package that best suits your requirements. The license is paid per user and it is monthly. The cost was approximately $7 per PC, $15 for professional, and $33 for the enterprise plan."

    Overview

Jira Portfolio is an agile roadmapping tool designed to help teams build plans, envision the big picture, track progress, and share the process with stakeholders.

Jira Portfolio is planned based. A plan in Portfolio is a complete view of the tasks, teams, and release dates for your Jira projects.

Once you start to create a plan, there are three main factors you need to define:

    • Scope: A list of tasks that need to be carried out in order to complete the plan.
    • Teams: Who will be implementing the work? With the correct data in place, Portfolio can estimate how long it will take for the team to complete their tasks.
    • Releases: Your scheduled release date.

With Jira Portfolio, you can create a visual timeline to gain visibility across each of your teams and projects in a single place from a granular level and review cross-team and cross-project dependencies to prevent bottlenecks. This visibility can help you plan realistic release dates and manage your team’s capacity. The solution allows you to try out different scenarios with your roadmap and resources to help guide your decision making. Once you have a solid plan, you can easily integrate with Jira Software and commit your changes.

Jira Portfolio allows managers to easily add team members. The tool’s powerful scheduling algorithm assigns tasks to teams while taking priorities and dependencies into account so it can create a realistic forecast for project completion.

    Jira Portfolio Benefits

Some of the top benefits of using Jira Portfolio include:

    • Roadmaps and roadmaps dependencies: Roadmaps list details about the tasks that need to be executed in order to complete a project, as well as predictions for when they will be completed, which teams are in charge of the task, and a list of resources they require. By setting dependencies on your team’s roadmaps, unnecessary bottlenecks are avoided.
    • Integration with Jira: Jira Portfolio is dynamically integrated with your Jira Software project data and constantly pulls your latest data from Jira Software, allowing you to plan your projects with updated information.
    • Envision scenarios: Create what-if scenarios and save them to Jira if you decide to adopt them.
    • Reporting: Share capacity reports and more to allow team members and stakeholders to gain visibility and insights into the process.
    • Task completion estimation methods: Estimate how long a specific task will take and compare these estimations with the actual time to completion to help assess team performance and efficiency and improve the accuracy of estimation calculations over time.
