Cloud email has simplified daily communication and has reduced our infrastructure workload
Microsoft Exchange Online offers exceptional features as a cloud-based platform that eliminates the need to manage infrastructure. It operates on a license-based model, requiring only a Microsoft E5, E3, or F3 license. Based on the license type, users receive a mailbox and can access it through Outlook on mobile, Outlook on the web, or the Outlook desktop client. The cloud-based nature of Microsoft Exchange Online has positively impacted our workflow. Previously, we used Microsoft Exchange on-premises and had to manage the data center, upgrade servers, and calculate data center costs. Managing different servers was complex. After migrating to Microsoft Exchange Online, we no longer need to manage these tasks. We simply pay a subscription fee, and Microsoft hosts our mailbox. As administrators, we handle the configuration, while Microsoft manages the hosting of servers and databases. The transition to Microsoft Exchange Online was seamless because we were on Exchange on-premises and then migrated using the hybrid configuration wizard for a hybrid migration approach. Some mailboxes remained on-premises while others migrated to the cloud. We also migrated our transport rules, disclaimer policies, and DLP to the cloud, creating a seamless experience since both products are owned by Microsoft and integrate well. Microsoft Exchange Online has positively impacted our organization as a cost-saving effort. When managing Exchange on-premises, we had to manage the data center, storage, server upgrades, and continuously patch servers to mitigate security vulnerabilities. We paid Microsoft for the server operating system license, and significant effort and cost were involved. After migrating to Microsoft Exchange Online, we only pay the subscription, and Microsoft handles all upgrades and maintenance. This was a cost-effective initiative.

Our customers are able to use this groupware solution to connect to Active Directory and OpenLDAP, although Postgres support would be an improvement.
Zarafa has several very valuable features, among them a very good Outlook-like web interface. Furthermore, ZPush for talking between ActiveSync and mobile devices is a valuable asset. In addition, one is able to connect via Outlook and the exchange protocol to Zarafa. This makes Zarafa a free, and working, alternative to Microsoft Exchange.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"Microsoft Exchange Online is an easy-to-use solution."
"I chose Microsoft Exchange Online to cut this risk on our day-to-day operations for organizational communication with clients."
"The reliability factor is high."
"I enjoy not having to maintain the local infrastructure, local servers, local whatever."
"From a user's perspective, this solution enables them to access to their mailbox from anywhere and their mailbox size is as big as 100 gigabytes so they never run out of space."
"Compared to the competitors, I would say it gives you a lot more functionality and is easy to integrate with other applications and tools."
"From the security point of view, you can specify the IP range from the area your system should be connected, and you can have the authentication based on the user certificates of your Active Directory, which improves the security, as well, and there is a flawless integration."
"Microsoft Exchange Online is very simple and easy to use."
"This makes Zarafa a free, and working, alternative to Microsoft Exchange."

Cons

"The solution could improve by making the user interface better."
"The solution’s API integrations could be improved."
"What I don't like about Microsoft Exchange Online is too much integration because now it has many services connected to it."
"I don't like it in general. It sort of has that Microsoft flavor to it, which is just the style they use and the way they color things and lay them out."
"I couldn't delete an email account because it was identified as my primary account by the application."
"The support could improve their response time and sometimes the phone lines are not clear because of static or noise."
"Exchange Online's scalability could be improved."
"Encourages endless inefficient communications. Do not recommend it for companies that are trying to create efficient decision making processes and agile movement."
"Not really, although the Zarafa-index component was using a lot of memory and disk I/O bandwith."

Pricing and Cost Advice

"The pricing is based on a yearly contract and a floating license option is offered."
"They have raised their prices, and obviously, it hits our customers. Some of them are deciding to step back from Office 365. For customers who have bought the annual subscription, they are moving to the monthly subscription."
"The costs of this platform vary based on subscriptions, but it is generally reasonable."
"There is a license for Microsoft Exchange Online and I have information on that, but there have been so many changes to the licensing and it's a completely different story nowadays. Microsoft has been pushing users to buy a package of products under one license. Users are becoming more dependent on Microsoft rather than independent, that you can't decide anymore, and from my point of view, that is bad."
"My company needs to make monthly payments towards the licensing costs attached to the product. I feel that the price of the product is affordable."
"The price is not competitive."
"Initially, we had issues with the licensing agreement, but we worked it out with Microsoft."
"We have a three-year license for $25,000."
