Empowers teams with robust business process modeling capabilities
They should examine competitor solutions to identify differentiators. One issue related to ARIS BPA is its integration with AI; it has AI features for cloud solutions, yet many in the government sector in Kuwait do not view the cloud as viable. Software AG should focus on developing AI models for ARIS BPA on-premises, particularly in user interfaces, as well as creating predefined business processes for common areas such as HR and finance. This aspect is crucial for adapting to the market's needs and streamlining custom solutions. While they have been helpful regarding pricing, I cannot compare ARIS BPA to other business process modeling tools because I understand some competitors have significantly lower costs than ARIS BPA. To maintain market share, good discounts should be provided to customers.

A solution that gives you all the information you need to plan detailed projects
The initial setup was just a little complex. I rate the initial setup a seven out of ten. Deploying the solution took two weeks. While deploying the solution, we had two instances, one for the IT team and one for the business team. And we had to connect the two and explain things to the team. Only two people were needed to deploy the solution, me and another person.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The most valuable features are business process modeling and reporting."
"There is a module designer, that one is very powerful and it creates very good reports."
"The ability to sort via multiple criteria to identify the relationships you need for a specific object."
"ARIS BPA covers many or all blueprints and functions that I need."
"You can relate different aspects of an organization to each other, and you can clearly define the rates seen in the application."
"It brings transparency and 360-degree views of end-to-end processes."
"The most valuable feature is the process documentation. For us, ARIS is a lifestyle more than a tool. It helps us learn how to think and how to plan for our system."
"The BPMN notation and the share flow through users. It is nice to see all flows in a common, shared space for all the stakeholders to view the same thing and the same language."
"Our transparency is increasing a lot. It is helping us to get people together. There are no dark rooms anymore. In some areas or concepts, we want to add more light to every single concept. That's the big impact that the tool is having. It allows conversations between people."
"We've brought our portfolio altogether. We have had multiple ways of reporting out what our portfolio is, whether it's in Excel, Word, or in different places. We brought all of our projects together in one place. That has worked out well for us. We've been able to manage the work on Gantt charts and our resources better. The big thing for us on research and development is around managing people's time, on which projects they are working on, and how much effort does it take to launch our projects."
"I like that it's an enterprise environment. I can look across everything that's going on and have a sense of what is going on within the organization."
"Planview has helped connect funding and strategic outcomes with work execution. That is the key use that we have for it. We use it to validate the work that we're doing and the funding that we need. The difference between the previous version and current version for us would be the ICPM and the way it gives us different scenarios. We can go in and build that out."
"I like that everyone is able to see the same data. All of our users who aren't just time reporters have read access to all the data that is out there. So, it is one source of truth where everybody can go in and see the exact same data that everybody else sees. It is transparent."
"Its view into resource capacity and availability absolutely help us manage work. We can't plan out projects for delivery until we know if we have resources available to deliver them. That's been really critical. We look at our projects and see what availability of resources we have. That helps us to determine when we can start new work."
"The most valuable features are scheduling, resource management, and, from a project perspective, the functions like issues that change orders. They are valuable because, from a project management perspective, we use the workflows that we build for project management and do active risk management and issue management for the projects that we want for our agencies."
"We can view a project both at the top level and dig into the particularities. It's given us greater visibility into the work itself."

Cons

"The solution's processes are huge and it is not easy to get an overview of how things work. It needs to improve the interface. I would like to see the product include a better overview of processes and improve search."
"I believe the solutions BPM tools are not very good and need improvements."
"Some improvements have been done, after Software AG acquired ARIS, but I don't believe it's still integrated with the other tool WebMethods in a perfect way."
"The tool must provide more documents."
"The reporting capabilities and the ability to create custom reports need to be simplified and made easy so that people even with a good functional understanding of the tool can leverage it to create their own custom report."
"Migration to the next release is very tricky. You can't do it without support from ARIS or from a software kit. And it takes a lot of time and a lot of money to migrate. My impression is that a lot of companies do not migrate regularly because of that issue."
"Regarding stability, when there are any customized settings being done at customer end - post upgrade to newer versions - it makes the customer environment unstable for a short duration."
"End-to-end visibility and real-time are areas that will need greater attention."
"There can be improvement on the sense of urgency because a lot of times we've exhausted everything that we can, and now, we're reaching out. So, it isn't a, "Well, have you tried to reboot this?" We've already done everything. Once we put in a ticket, there should be more of a sense of urgency on it."
"Our version is definitely set up a bit more waterfall world. It would be better if some of the agile features were more in the standard product."
"I think that the user interface needs some getting used to. It's not immediately intuitive. That's potentially room for improvement. I think also that an organization needs to have good support from some senior management to get something like Planview established."
"While Planview Management provides robust reporting and analytics capabilities, further enhancements could include more advanced data visualization options, predictive analytics features, and customizable dashboards to provide deeper insights into project performance and trends."
"The UI needs improvement. The UI should have more possibilities for users who are not specialized in using Planview. At the moment, it is more of a technical UI. I would like it to be an open user UI."
"Configuring the UI in the content management system is too elaborate and too time-consuming."
"Being the IT development manager who implements the upgrades for Planview, I would love to see more thorough testing of expenditures and more thorough testing in general. When we do an upgrade, we have to do quite a bit of testing because we can affect the bottom line."
"I would like a bit more flexibility, as far as the configuration, and have additional capabilities to configure, making it more flexible for our use."

Pricing and Cost Advice

"In terms of pricing, it would be nice if it were more affordable."
"The setup cost and pricing depend on the license (Modeler, Viewer, Administrator)."
"ARIS BPA is too costly from a licensing perspective."
"Their license model is really difficult to understand, and licenses are quite expensive."
"It is well worth the investment in the enterprise."
"Prices are high. However, they are worth it if the organization utilizes the tool to its full potential."
"It is on the higher side."
"Usually, our company buys technical support from the Software AG site. We bought the technical support for the first year of usage for ARIS version 6 and 7. So, when we migrated to ARIS version 7, we bought support only for the first year. Then, we didn't use it the next year. Our experience was that we use it only one to three times during the first year. Therefore, there wasn't much value for us to buy this service because we have no problem with using ARIS after the first year."
"In the time that I've used it, we've doubled up the amount of dollars on our intended projects."
"We have portfolio managers, resource managers, project managers, and time reporting licenses. These are the licenses that we have."
"We have several hundred licenses. It costs us several hundred thousand dollars a year."
"When we went through that process, I believe it is competitive with others on the market. However, there are less expensive options available. It's a more premium offering at a higher price."
"Planview is a little pricey. From a licensing perspective, for just a simple timesheet user who does nothing in the system but reports time, the licensing is a little pricey, but you have to look at it from what it is that you get. We have 6,000 users, and I don't manage the system at all. I just have to do add them to the system. The servers, maintenance, OS levels, security patching for the OS, and all other things are not something that we maintain. So, you have to look at it from an operational perspective. It is not just the product itself. A holistic view has to be taken when you look at the product and how you're going to support it. I would have to hire an entire operation staff to bring it in-house, and at the end of the day, that might cost me more."
"We overbought our licenses. We looked at our needs three to four years down the road and tried based our contract on that. However, we were over aggressive. We use about a third of the licenses that we have. We're looking to adjust the makeup so we can start utilizing the amount of money that we are spending. Right now, we're overspending, and my organization is not seeing the value in Planview because we are paying so much for licenses that we're not using."
"We recently did a new bundle for all of Enterprise One. It includes some of the newer pieces, like Projectplace and LeanKit. It bundled our CTM in with it as well. I think the total came out to be about $900,000 a year. This is for unlimited licenses."
"Our licensing fees are approximately $50,000 USD annually."
