What is our primary use case?

Agiloft is a solution that has a business process management engine. You can implement business process management in it.

What is most valuable?

It has more than business process management. It's a whole suite of solutions.

One of the features this platform has is a business process management feature. You can implement business processes with business rules on this platform. The platform is not limited only to business process management. It has other features, like a database. It's a document management system as well, for example. Business process management is just one of its features.

You can use Agiloft as a central point to store all the information of an enterprise and all the workflows. You can use it as a central repository of documents. You can have a lot of tables to store any kind of information from users, from drawings, from companies, from parts. Whatever you want to put in it, you can.

You can integrate with business processes. You can put any kind of business rule in it. It's very interesting. It's a very powerful solution. That's why I like it - you don't need any other solutions. You just need one platform. You just need to administer one single solution. 

It's very safe. It has a high degree of security, much better than many other solutions I have researched.

One very interesting feature is the digital signature that they already put in place. It's working. I am not sure if you have to pay extra to use the electronic signatures or not. 

What needs improvement?

Any kind of software has its issues and any kind of software can improve.

Agiloft does not have a good user interface. It can surely improve. Usually, the users don't like its interface. However, once they understand the potential of this platform, they love it.

As it is a very sophisticated solution, it's not the easiest one to use. There are other platforms that are much easier to use even though Agiloft presents itself as a low-code platform where you don't need to program. To configure a solution, for example, to create a BPM, is not that simple.

They also are implementing some features based on artificial intelligence that seems to be very, very powerful, however, the price of using artificial intelligence in the systems for our reality and I'm talking about the Brazilian market - is very expensive. In practical terms, it doesn't seem to me that it is feasible to use due to the price. I don't have any information about any organization that it's using Agiloft in Brazil with artificial intelligence features.

Another important feature for us that sometimes is an issue is that usually when you build your workflow you need access to a lot of documents, and these documents come in several formats. Sometimes you have Microsoft Office documents and sometimes you have PDFs. You have also many drawn files. Sometimes when you need to see the content of any file, it's very easy. You just click and it opens. However, when it comes to special kinds of files, you may have some problems integrating software that allows you to visualize what's inside the file.

For how long have I used the solution?

I've been using the solution for more than 20 years at this point.

What do I think about the stability of the solution?

The stability is excellent. It's very, very stable. This is one of the reasons we chose it. It's very safe. The developer is always updating the product in the very simplest way. You don't even realize they are changing the product. 

What do I think about the scalability of the solution?

It's extremely scalable. You can put a million users on it. This is another important feature that made us choose it. It's prepared to deal with thousands of users without a problem. It's very scalable for sure.

Usually, we have 50 to 100 users, however, we have already experienced up to 5,000 users without a problem.

How are customer service and support?

Technical support is good. It works very well. Any kinds of questions you have they will answer. They have very good documentation. They have a lot of videos explaining how it works and a lot of manuals. I'm very satisfied. 

How was the initial setup?

The initial setup is not complex, especially if you use one of the existing templates. It's very simple to start using. In our case, in my specific case, we had to customize it due to the fact that we had a specific problem. Therefore, the standard template that comes with the solution didn't present a good fit for our problems. We decided to customize it.

I have deployed it often in different places. I work with projects. They're big projects. Whenever we start a project we configure it. In the first week, you can have excellent results. It doesn't take too long to configure and to get it up and running. However, as it is a very flexible solution, we are always re-configuring certain workflows and creating more customized features for them.

It's very fast to put it to work. The longest time it took to get it working was about three months, however, we were talking about configuring several processes. If you want to just configure one process, it's very fast. In less than one day you can implement one workflow. In our case, we had many, many workflows. If you take the whole set of processes in the case of a big project, it can take up to three months.

How much staff you need to deploy depends on the requirements for the project. Usually, it's a staff of three people to implement it. One project manager that coordinates, one developer (especially when it comes to if you want to synchronize the information inside Agiloft to other systems), and perhaps one more to help design the workflow. It's much harder to get an agreement within the users on how the business process will work than to implement. The implementation is very fast, however, to make the users get to an agreement of how the workflow must be is much more complicated and it has nothing to do with the platform, the software platform.

What's my experience with pricing, setup cost, and licensing?

I am not familiar with the licensing, however, the cost is billed annually, not monthly. For example, if you want 10 users, you pay one year for 10 users at once. Of course, there must be some discount scheme for high volumes of users. I'm not sure about the price. The last time I saw the information it was something around $50 to $60 per month per user. In fact, they have two or three classes of users. They have a class of users that you don't need to pay licenses for. 

For example, let's suppose you implement a help desk solution. For anyone that registers an issue and wants to open a ticket, it's not necessary to have a license for this. You can have several thousands of users that can input their data and they can see their data. For example, if I open a ticket, I can see my ticket. I can see the status of my tickets and the company doesn't need to purchase a license for this kind of user. However, if you want a user that can deal with the data and configure things, then you will need to pay for the license.

What other advice do I have?

I'm a consultant. When it comes to implementing solutions, I make recommendations.

I'd advise new users that you need someone that knows the platform. Otherwise,  it will be a little bit difficult to implement as it is a sophisticated solution. The most important thing is to have a person, a professional, that understands the needs of the company. For example, someone who knows what kind of documents, what kind of tables you need in the system, and how many business processes you need, et cetera. You need a person that really understands how the organization works. 

I'd rate the solution at a nine out of ten.
