A tool requiring an easy setup phase that can help manage software development
I use Asana for advanced use cases, including managing software development and other projects With one particular project, we manage the development activities with around twenty people on the project team and about five hundred tasks, for which Asana helps to manage our sprint planning. The…

A very strategic demand management tool that visualizes risks and ratings in a bubble chart
Our company uses the solution for map planning. For a particular year, we look at different needs, initiatives or programs, and associated projects.  We also use the solution for tool management and determining how a resource such as a thermostat will be used across different projects.  We have…

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"Stable Kanban style tool for collaboration and task management. It runs smoothly and has a straightforward setup."
"Asana allows you to create your own project with sub sections with subtasks that can be assigned. The feature I really love is that you can tag people to notify them that there has been progress on a project as well as add attachments."
"Asana has significantly reduced the number of emails we exchange because we can access the project directly. It organizes all the tasks related to each project, assigns them to staff with due dates, and tracks progress."
"I really enjoy the portfolios in Asana. One of the ways Asana stands out to me is with portfolios. You can have all your different projects, and you can have those assigned to different teams. If you want to customize a grouping of projects, you can use portfolios. For instance, one of the things that we do is we can assign a portfolio to a specific strategic objective we have, and we can put all those projects that are related to that strategic objective in that portfolio. We then know exactly what people are working on to help us achieve our goals. So, I really like portfolios."
"The ability to build subtasks and break things down off of our major tasks has been very valuable. It is very stable and extremely scalable. The initial setup is very simple."
"The only thing I love about the product is that it is beautiful."
"It has helped our departments maintain visibility."
"It is stable and easy to set up."
"You don't need a lot of plugins."
"Stable and scalable solution."
"We like the status report feature. It is something really valuable."
"The interface is extremely user-friendly."
"The ease of use is the most valuable feature. It's very intuitive to set up."
"The solution is scalable."
"The product is quite convenient and user-friendly."
"The interface is user-friendly. It's one of the most user-friendly on the market, and the most complete."

Cons

"Some customizations and functions are still not available, however, so far, they haven't been a deal killer."
"The solution can be difficult for new users to use because of the interface."
"It's difficult to have short-term collaborations with external users because the operations team owns the final licenses, and I work for marketing."
"On the development side for technical project management, Asana is missing features. We only use it for discussing tasks and strategies, and we use it for customer to-do lists. It doesn't have the source code integration that Jira and Jira Service Desk both have."
"We'd like the capability to be able to set up weekly reminders."
"In some instances, there were subtasks where more than one person needed to review it, but I could only assign it to one person. I would have to create a subtask under a subtask and then assign it to other people. This could be improved."
"It would be beneficial if Asana had a predecessor feature that automatically adjusts all subsequent dates when changes are made to a timeline. For example, if I assign a designer four hours for one task and two days for another, and the completion of a task takes longer than anticipated, it would be convenient if updating one date could prompt the adjustment of all other relevant dates. Essentially, this feature would streamline the process and eliminate the need for manual adjustments."
"The mobile application of Asana has to be improved a lot because no one wants to do a complete project management task on mobile."
"The product comes with little options out of the box."
"The portfolio managed is good for IT, but it's not good for non it's not necessarily great for construction projects, such as the building of physical infrastructure."
"The interface isn't user-friendly."
"ServiceNow Strategic Portfolio Management must improve its interface, which is not very interactive or user-friendly compared to other tools like Zendesk. The real-time reporting feature doesn't help much in our decision-making process. It's quite complex to use and lacks the rich features needed for visualization. Overall, I find it to be very poor."
"The price is too high."
"The interface is cluttered with a lot of names and areas. It may not be user friendly enough for a first timer."
"The setup is a bit complex. It depends on the organizational needs, and sometimes, we make customizations based on those needs."
"We track salaries or paychecks of the resources. They change from time to time, such as every six months or every year. If they can come up with a default or out-of-the-box feature to manage those multiple payable costs so that we can automatically calculate the project costs rolled up. That would be the coolest feature that we can expect from ServiceNow. We would like to have an automatic feature to manage the payable costs. We should be able to manage or maintain multiple pay costs so that while calculating the project roll-up costs for individual projects, the respective pay costs in a particular period are picked up automatically from the backend. Currently, we have to customize that. It is doable. We have done it but through customization."

Pricing and Cost Advice

"The price of this solution makes it quite accessible, and the plans fit my budget."
"It has a free version."
"For what it brings to the table, I think Asana is fairly affordable. I would like to see the portfolio feature in our pricing plan, but other than that, it's definitely pretty good."
"We paid a monthly licensing fee for the product."
"The price of the solution is reasonable."
"Asana has two different types of structures: company vs workspace. Company is really best if all the users you plan to assign work to are all internal (have the same corporate domain in their user ID email address). Once one person signs up (even for a free account) with a corporate email address, Asana will automatically relate that person to that company, if it already exists. If you plan to use it for external collaboration as well as internal, then creating a workspace is a better approach."
"This solution is reasonably priced."
"We're on the business tier, which is $25 a month if you're on an annual contract. It's $31 if you're on a month-to-month contract. In my experience, there are no hidden costs with Asana. I know Smartsheet has these add-ons that you can buy, which is an additional cost, but Asana doesn't have any add-ons that I know of. When you're trying to scale the product and want to add users, you have to do it in buckets of five. This is also something to consider."
"They sell some things in bundles, and it could be handier that some of those things could be sold in another way, like purity models and other packages. Another thing that I'm struggling with is the pricing of ServiceNow's FYE experience, which includes the tools that are positioned for supporting HR."
"The licensing is based on metrics and is tailored to customer's needs."
"I would rate the cost as five out of ten."
"We have a team of about 6,500 employees across the globe. So, the amount of money I'm going to save by putting the money on the table for the implementation and licenses is very high."
"The solution could improve by being less expensive and the pricing model is confusing. Many people are getting charged different amounts. There are additional fees that they are adding on."
"It is a little expensive. We are in Brazil, and for us, it is a little expensive."
"It's more suitable for larger companies as the licensing cost is relatively high. Not everyone can afford this tool."
"I rate the price of ServiceNow Strategic Portfolio Management a seven out of ten."
