Streamline processes, reduces proposal creation time, and is easy to manage
Pros and Cons
  • "There are so many automations to streamline everyday tasks and reduce click counts when doing admin work. It is incredible."
  • "The permission settings require workarounds for some use cases."

What is our primary use case?

I run my solopreneur consulting business almost entirely on Monday.com. I also have setup workflows on Monday.com for dozens of companies across many industries (construction, HR, architecture, eCommerce, sales, etc...)

All my leads and customers are managed in Monday.com's CRM solution. I have automated workflows to convert them to customers/clients when the deals close.

Upon close, I manage all my client projects directly on Monday.com with automated tasks, reminders, due dates and invoicing.

How has it helped my organization?

My business is very streamlined and efficient from sales to project management and execution to billing. Monday.com orchestrates the entire process for me and integrates with the other tools I use to get the job done and provide the best service possible to my customers and ease of use to me and my team.

I have reduced proposal creation time to under ten minutes and automated email follow-ups and integrations all facilitated and tracked on Monday.com.

We now have a Grand Central Station for inputting customer/project/work information which significantly streamlines and accelerates the pace our business operates.

What is most valuable?

The most valuable aspects include:

Automations. There are so many automations to streamline everyday tasks and reduce click counts when doing admin work. It is incredible.

My Work. It is one place that links all my to-do's on one screen on Monday.com this feature/function is critical to delivering my commitments on time and knowing what my workload is

Dashboards. The ease of reporting on Monday.com is amazing, they have dozens of report/chart types that create amazing visibility into the day-to-day operations of our business, and visualize projections for sales, projects, etc. The setup for these reports is as simplified as I have seen across any reporting tools.

What needs improvement?

The permission settings require workarounds for some use cases. The enterprise plan offers the features needed, however, too many times I've had to set up weird workarounds for permissions with my smaller Monday.com customers who don't have an enterprise version.

The license tiers are a little difficult to manage, as Monday sells seats/licenses in bundles of five or ten. Too many times I've had clients with six users who are forced to pay for ten user licenses due to the pricing structure. Since the lowest tier is three users it does make it difficult to have a solopreneur justify the use of the platform, as you are essentially paying triple. At the end of the day it can still often be worth it, however, is definitely a turn-off when signing up.

A stable product that ensures better team coordination and better project management in an organization
Pros and Cons
  • "The product's initial setup phase was straightforward."
  • "Though it offers full customizability, the table is an area where the product's performance is not quite up to the mark."

What is our primary use case?

I use monday.com in my company for work management, project management, and task management.

How has it helped my organization?

With the use of the tool in our organization, we have had a good experience with better team coordination and better project management, but one cannot modify it.

What is most valuable?

Though the product's interface is quite simple, it lacks some functionalities. There are some automation areas that work quite well in the solution, but the product lacks in certain items when it comes to implementation.

What needs improvement?

Mostly, the sub-items in the organization of the project are areas where improvements are needed. Though it offers full customizability, the table is an area where the product's performance is not quite up to the mark. From any improvement perspective, the solution should consider the aforementioned areas where it lacks.

For how long have I used the solution?

I have experience with monday.com. I use the solution's latest version since it is a SaaS-based product.

What do I think about the scalability of the solution?

Scalability-wise, I rate the solution a nine out of ten.

More than 200 people in my company use the solution.

Our company has plans to increase the usage of the solution in the future.

How was the initial setup?

The product's initial setup phase was straightforward.

The solution is deployed on the cloud.

The solution is always ready to use since it is available in the cloud, but you need a week or two to get the product working correctly.

For the deployment, you mostly create your team and invite people, and you complete the templates and dashboard. The longest part of the deployment is related to the dashboard, as you need to customize the dashboard to your needs.

At least two people with technical knowledge are required to take care of the deployment and maintenance of the product, but as it is a user-friendly tool, anyone can manage it.

What about the implementation team?

Our company's in-house team managed the product's installation.

What's my experience with pricing, setup cost, and licensing?

Though I am unsure about the product's pricing plan, there is a need to make monthly payments towards the licensing costs attached to the solution, and it operates on a per-user plan.

What other advice do I have?

Those who plan to use the solution should take time to dive deep, test, and try to customize the product to meet their needs.

I rate the overall product a nine out of ten.

Great UX, helpful collaboration tools, and excellent color tagging capabilities
Pros and Cons
  • "I love how we can color coordinate between statuses and how statuses jump into their respective groups automatically once chosen."
  • "It would be ideal if Monday.com had this feature within itself, for example, if an input PDF or image was within it, then with one click the person can review it within Monday.com without going to different software."

What is our primary use case?

We use the solution for marketing and creative project management.

As a marketing manager, we brief on tasks within Monday.com including all details of the project, such as vertical, status, delivery date, etc. Our traffic manager assigns tasks based on the studio team's availability and priority.

Mainly, Monday.com is the main tool for our traffic manager to manage a variety of tasks between marketing managers and creatives.

Once assigned, we can track who the assigned person is and then track the process. It is a very useful tool for tracking things.

How has it helped my organization?

It made the collaboration between marketing and creative studio teams much neater and seamless.

Previously, we've used normal Google Sheets. In the beginning, it was manageable. However, once our projects became bigger (alongside the employee count), it became hard to manage between lots of sheets. Then Monday.com came in and it's pretty much a super clear tool to streamline all project collaboration between marketing managers and studio.

Also, as we can sync Monday.com with our Slack or an email, it's nice to get notifications on how our project is moving.

What is most valuable?

I love how we can color coordinate between statuses and how statuses jump into their respective groups automatically once chosen. Although personally, I don't use it often, I like how managers can see the workloads of designers and editors in color coordination, and based on that they can let the marketing managers know who has the capacity or whether the team is full. It helps to be aware of incoming tasks. It also helps us to determine project prioritizing and planning ahead more efficiently. As a creative person, it's nice to see their timeline of jobs done as accomplishments.

What needs improvement?

As a marketing manager, I'm happy with the current features that we're using now. Within our company, we use different software to proof tasks or amend them so it's no problem. We're using Monday.com more on a basic level of assigning and tracking tasks and probably are missing some of the nice features. However, it would be ideal if Monday.com had this feature within itself, for example, if an input PDF or image was within it, then with one click the person can review it within Monday.com without going to different software.

For how long have I used the solution?

I've used the solution for about three years.

Which solution did I use previously and why did I switch?

Previously I've used Trello for managing freelancers and internal tasks. Then our company adapted monday.com as an official studio management tool, hence I moved to the monday.com. It's definitely easier to use and manage both internal and external stakeholders.

Which other solutions did I evaluate?

Monday.com was chosen by the upper management and we've gone with it.

What other advice do I have?

We love the product and its UX.

Great visibility with helpful subitems and great planning capabilities
Pros and Cons
  • "I like planning out steps within an item with dates."
  • "The solution needs easier automation."

What is our primary use case?

My team uses it at work to organize deadlines and keep track of information. We are a remote organization.

How has it helped my organization?

Everyone can see what other team members are doing and quickly see the status of tasks. We can plan out specific steps in projects and put dates/timelines on them.

What is most valuable?

The subitems! I like planning out steps within an item with dates.

What needs improvement?

The solution needs easier automation. We had a problem where we maxed out the automation limit. We also struggle to figure out solutions to notify people when certain tasks are complete so the next person can start their work.

For how long have I used the solution?

I've used the solution for three years.

What do I think about the scalability of the solution?

We are a small team, however, we've been growing over the last three years that I've been using Monday.com. It becomes more helpful the more team members we have, however, it may work better for smaller groups of people within an organization (e.g. the marketing team).

How are customer service and support?

I've never contacted technical support, however, I like the emails I get from Monday.com about new features.

How would you rate customer service and support?

Positive

Which solution did I use previously and why did I switch?

We didn't previously use a different solution.

How was the initial setup?

I wasn't involved in the initial setup process.

I didn't handle the licensing part of the process.

Which other solutions did I evaluate?

What is our primary use case?

How has it helped my organization?

It has improved team collaboration. The notifications are great. Seeing the status of all our many projects has been helpful. It's easy to export into Excel.

What is most valuable?

The solution is great for notification on changes and updates and Excel exporting and we can easily build and customize new boards. It's sharable and overall beyond easy to use and understand.

What needs improvement?

I would like to see an app version similar to Teams, or even have them integrate with Teams. I would also like to have more templates available to choose from on different projects. We need more integration with Office 365.

For how long have I used the solution?

I've used the solution for two years.

I cannot even start to truly measure the ROI we have seen in the different aspects it has helped bring our team together, track all our main projects and keep our businesses running smoothly as we grow and expand.

What's my experience with pricing, setup cost, and licensing?

I am unaware of the pricing aspect.

What other advice do I have?

It is used internally, as well with our vendors and product manufacturers all over the world. It has truly helped us in so many ways.

Easy to set up with excellent automations and sharable boards
Pros and Cons
  • "The automations are fantastic for rewarding progress."
  • "While great, the shareable boards lack some features that normal boards possess and that’s a big burden for us."

What is our primary use case?

We are a small startup media company with a lot going on. As we grew, disorganization became a serious problem. I turned to Monday, which has allowed us to work and flow as a growing team. It has also provided a concrete organizational basis for how we run our day-to-day.

How has it helped my organization?

It’s all about organization and communication. Monday has a million different features, so we can organize how we want, not how we’re told to. This has led to more creative problem solving when it comes to growth and has greatly improved client rapport and retention.

What is most valuable?

The automations are fantastic for rewarding progress. I also really enjoy the ability to tag coworkers in projects instead of emailing them or using Slack. Also, the shareable boards have been a game-changer with clients. The automations are fantastic for rewarding progress.

What needs improvement?

While great, the shareable boards lack some features that normal boards possess and that’s a big burden for us. It’s hard to not know what the client sees and that makes us look a little unorganized. They can also be a little buggy sometimes.

For how long have I used the solution?

I've used the solution for one year.

What do I think about the stability of the solution?

The solution is very stable.

What do I think about the scalability of the solution?

The product is very scalable.

Which solution did I use previously and why did I switch?

We did not previously use a different solution.

How was the initial setup?

The initial setup is straightforward.

What about the implementation team?

We handled the initial setup in-house.

What was our ROI?

Our ROI is high

What's my experience with pricing, setup cost, and licensing?

The solution is somewhat expensive.

Easy to set up and offers a good project overview but needs templates
Pros and Cons
  • "The initial setup is easy."
  • "The solution really needs to offer templates."

What is our primary use case?

It's a basic system for me to keep tracking what is happening in my project at a high level. If I don't know and want to go in deep and check exactly what is happening, I use Monday as an overall picture for my monthly projects, let's say.

What is most valuable?

It's great for providing a general overview of projects in one snapshot.

The initial setup is easy.

It's quite a stable product.

What needs improvement?

Monday has a lot of space, let's say, for improvement. Especially when you create a new board. The board is like a new project; it's called "board". When you create a new board, you add everything manually. It doesn't come with a template by default. If you want to change the status of your task, you should change it manually. Even changing the date is manual. If you have an update on the project, or if the project closed or went away, all the dates are added manually. This is time-consuming if you are comparing it with Jira. In Jira, when you open a task, the date is read automatically, which is easier. On Monday I need to add it manually.

The solution really needs to offer templates. That would be very helpful.

I'd like to be able to add different panels under the same project. For example, at the moment I can create groups, which is fine, however, all of them include the same columns. I cannot have them in group one, five columns, and in group two, three columns due to the fact that it's under the same project, under the same board.

For how long have I used the solution?

I've used Monday only for the last couple of months. It's been four or five months now.

What do I think about the stability of the solution?

The product has been stable. There are no bugs or glitches. It doesn't crash or freeze. It's reliable.

What do I think about the scalability of the solution?

We have about 15 people on our team using the solution.

How are customer service and support?

I've never had the need to contact Monday's technical support team and therefore cannot comment on how they are to deal with.

Which solution did I use previously and why did I switch?

I also work with Jira.

How was the initial setup?

I found the initial setup to be simple and straightforward. It's easy. It's not complex.

What's my experience with pricing, setup cost, and licensing?

My understanding is that it is open-source. There is a standard installation fee, however, in regards to users, it's free.

What other advice do I have?

I'm not sure of which version of the solution I'm using.

I'd advise a new user to try to create a few projects as an example before you create a real one. It's a little bit complicated and I'm not aware if there's a manual to read or find out how to properly do the setup of a project. If a new user tries to create a few examples before they start, it will help them get comfortable with Monday.

I would rate the solution six out of ten. I'm always comparing. Monday and Jira are both for project management solutions. Comparing it with Jira, Monday doesn't have as many features or abilities. It's a very basic program. You cannot create Casper flows or create automated approval or check the availability of your team based on your resources. It gives you an overall picture, the high-level picture, of your tasks and that is basically it.

Great "My Week" view and task list with easy to adjust schedules
Pros and Cons
  • "The "My Week" view and task list are probably the most helpful for us - it's really great to set a project schedule and assign people to tasks."
  • "The addition of subtasks was really great. It helps reduce a lot of the clutter on our boards. However, sometimes it is inhibitive to use them as the features available using main tasks don't apply to subtasks."

What is our primary use case?

We use Monday for project management across our marketing projects and for budget management for campaigns. We have a small team, so it's really important that we are as efficient as possible and there's just no bandwidth for micromanaging a process. We need it to run smoothly on its own.

For the most part, we collaborate on a process, put it in Monday with assignments, and then the project essentially runs itself as long as we are sticking to the timeline that we set the project up with. It saves us a lot of time.

How has it helped my organization?

Monday gives us more visibility into the overall bandwidth of our team and makes it much easier to collaborate across several projects without losing emails or random Slack messages across different channels or group chats. This has given us one central place for information related to our various projects so time spent searching for answers or managing project timelines is greatly decreased. It also lets us manage workload so we are able to advocate for enforcing priorities within the organization.

What is most valuable?

The "My Week" view and task list are probably the most helpful for us - it's really great to set a project schedule and assign people to tasks. That way, they can have a preview of their work for the week and stay accountable for deliverables with no surprises.

It's also easy to adjust schedules right within that view and give updates to the broader team so everyone stays on the same page.

The added accountability and efficiency allow us to spend time on doing the work rather than figuring out how to do the work

What needs improvement?

The addition of subtasks was really great. It helps reduce a lot of the clutter on our boards. However, sometimes it is inhibitive to use them as the features available using main tasks don't apply to subtasks. It would be really great if we could calculate some of the same things or use them in dashboards or the different views that are available.

I know sometimes we can, however, it's not consistent so it's hard to know when we're limiting ourselves by using the subtasks instead of the main tasks in a group.

For how long have I used the solution?

I've used the solution for three years.

Which solution did I use previously and why did I switch?

We did not use a different solution previously.

What's my experience with pricing, setup cost, and licensing?

There's a lot of value in using Monday. User adoption is key, however. You get out of it what you put into it. If you're using it for project management, it can easily fail if even one or two people aren't bought in.

Which other solutions did I evaluate?

We did not evaluate other options.
