What is our primary use case?

We've got different groups for each course at the university on Teams, so we use it mostly as a communication platform with students and staff. We use the file-sharing function, which is based on SharePoint.

The file-sharing function is connected to the SharePoint platform, we mostly use this, and most of the time, these components are integrated with Office applications like Excel or PowerPoint. 

We don't have the email function in Teams. We use a separate software for that, and unfortunately, we don't have the Calendar function.

How has it helped my organization?

Communication within the university has improved. For one, every conversation has its history well organized, making it easier to search for previous conversations or topics. 

Also, the contact list views are useful; everyone from the university is there, and you can easily make a video call. It's easier for students to reach teachers, and communication is faster because you get notifications.

We also use it with the integration of Microsoft applications.

What is most valuable?

The data IP identification for each message and the ability to organize discussions in separate channels within a team.

Microsoft Teams' video conferencing capabilities are good. The direction is very good, especially since we started using that feature early on. 

The experience has gotten a lot better. In the beginning, it was difficult for a lot of people in a video conference. We couldn't see all the participants or it was difficult to move the screens around. But now, it's much more convenient to use.

It's great for meetings and even hybrid classes, for example, where the teacher has students attending in person and online at the same time. It's really convenient for that too, and I like that you can easily share presentations.

Sharing presentations is easy, which is particularly convenient for hybrid classes where the teacher has students both on-site and online.

What needs improvement?

The only issue is sometimes, when I share my screen, and there's text on it, the compression can make it very blurry. If Teams could solve this problem so that text remains clear during screen sharing, that would be nice.

We started using Microsoft Teams at the company four years ago.

What do I think about the stability of the solution?

I would rate the stability an eight out of ten. There have been some problems throughout using Teams, but they only affected one or two days at most. 

What do I think about the scalability of the solution?

From my point of view,  the scalability seems very good. We didn't have any problems. It's not the highest level we have from Microsoft services, but even with courses with more than a hundred participants, there are no problems.

There are around a thousand end users in my university. Students come in and they graduate, so that number doesn't change much.

How was the initial setup?

I would rate my experience with the initial setup a nine out of ten, with ten being easy to set up. 

It is easy to set up. 

What's my experience with pricing, setup cost, and licensing?

The pricing is okay. The higher education department manages the subscription, so I am unaware of the licensing costs. 

What other advice do I have?

I would recommend using different types of Teams for work. You can create several kinds of things for your work, and that's a key or very important point to select the right one for your needs. 

Also, it is good to know about other applications you can integrate with it because that can also increase productivity.

Overall, I would rate the solution a nine out of ten.

Our primary use case for Microsoft Teams is facilitating collaboration among internal company teams and external users. Teams integrate seamlessly with other Microsoft 365 products, such as Outlook for calendar management and Cobweb for additional functionalities.

Teams have significantly improved communication within our organization by providing a simple platform. As part of the Microsoft Office suite, it facilitates the transition of some users to Azure Active Directory, streamlining access and permissions across our organization.

The most valuable feature of Microsoft Teams for us is the ability to share files from OneDrive seamlessly. This integration with the cloud and simplicity of usage prove beneficial.

One area where the product could be improved is its operational memory utilization. Currently, Microsoft Teams consumes a significant amount of memory when in use, which can pose challenges for users with limited memory resources on their computers.

What's my experience with pricing, setup cost, and licensing?

For setup costs, pricing, and licensing, I advise considering the flexibility offered by site licenses. However, it's important to be aware of potential fluctuations in pricing, as they can vary depending on factors like stability in the economic environment and national payment regulations. In our experience, pricing may differ from country to country, with some regions offering more favorable rates due to local payment arrangements. As for specific licensing options, we utilize various types, including the one-license and five-license options. The one-license option costs approximately $10 per user per month, while the five-license option averages around $35.

What other advice do I have?

We have integrated Teams as a communication channel for alert synchronization from your monitoring system, Grafana, and other tools.

We regularly use video meetings for various purposes, including IT meetings and client discussions, and find the quality excellent. We have not encountered any significant technical issues with video conferencing itself. However, there have been occasional issues related to second-factor authentication, where users may experience delays or difficulties accessing calls or messages. These issues typically require closing and reopening the program.

I recommend this product for small organizations because it offers an all-in-one solution. I rate it an eight out of ten.

All of the solution's features are useful since we use it for saving data, chatting, meeting, and all such purposes.

What needs improvement?

Video calling is already there, so that's not an issue. The only thing that can be improved is that when you are talking one on one, there is no recording facility. Maybe it's the company that stopped it. If it's a group chat, then we can record the session, but we cannot record a one on one session. In short, we are not able to record one on one calls.

Which solution did I use previously and why did I switch?

I have previously used Yammer, WhatsApp, and Twitter for internal communication. Also, we still use Yammer for its capabilities. It's not too official. It's official to the extent of sharing your ideas, like LinkedIn, which you have for the outside world, but the ones I mentioned earlier are for the inside world, so you can choose to broadcast something you want.

How was the initial setup?

The solution is deployed on a private cloud.

What other advice do I have?

I recommend the solution to those planning to use it.

It is very easy to use. A lot of features are there in the solution, which will be useful for daily communication with the team members who are located in other cities. It is pretty user-friendly.

Over the past year and a half, I’ve started using it more extensively to access other parts of my information system, such as OneDrive and Calendar. I also use it to invite people to meetings and manage various functions from the menu.

The interface seems to have too much functionality packed into one environment. 

I’d recommend adding shortcuts for frequently used activities to improve it. For example, having quick access to OneDrive or creating fast calls to contacts could save time.

I’ve used Zoom regularly, primarily for online meetings and direct calls. I find Zoom to be more intuitive and user-friendly than Microsoft Teams. 

What other advice do I have?

If you’re considering using Microsoft Teams, my advice would be this: If you only need basic functions for online meetings and nothing more for personal use, I would recommend sticking with Zoom’s free version. However, for corporate use or if you already use Microsoft 365 or other Microsoft tools, Microsoft Teams is a better choice due to its integration with the Microsoft ecosystem. Other options like Google Meet or Zoom might be more suitable for those not connected to Microsoft tools.

The primary use case for Microsoft Teams within our organization spans across various verticals in our organization. As part of the MDR team, collaboration involves working with technical support, quick response teams, IT professionals, and HR. 

What needs improvement?

We encountered occasional outages, which occurred a couple of times last year while using the product. These disruptions, affecting various Microsoft products including Word, Excel, PowerPoint, SharePoint, Outlook, and Teams, might have been attributed to server issues on Microsoft's end.

There could be a feature allowing users to respond to specific messages or comments within a group chat. They could support GIFs and emojis similar to the features available in Slack. Currently, Teams has limitations in its built-in applications has some limitations. There could be an option to gather and customize the emojis and GIFs from the internet.

For how long have I used the solution?

We use the latest version of Microsoft Teams.

In my previous organization, the collaboration tools evolved from Skype to Lync, and eventually, Microsoft Teams was introduced. I have experience using Lync for approximately a year before the transition to Teams. In my current role, I have primarily used Microsoft Teams and Slack in their respective capabilities within the workplace.

We have a team of 100 executives for the product’s maintenance.

What other advice do I have?

The "Together Mode" feature in Microsoft Teams has been particularly valuable for our team's productivity and overall collaboration. This feature is especially beneficial during group video calls, as it creates a virtual environment where team members appear together in a shared space. This has proven useful for capturing group photos and fostering a sense of connection, especially in a remote work environment. Additionally, during virtual celebrations and events, the ability to click pictures seamlessly in Teams adds a fun and engaging element, enhancing the overall team experience. The feature for video conferencing capability works efficiently for remote meetings.

Stability-wise, the major issue is with the connection since it loses pieces of chats in between. Therefore, people don't rely on the tool since they know that whatever they have communicated with someone may not always be in their chat history.

Microsoft Teams is a scalable tool because it integrates with many other tools and different kinds of apps. It is a really good tool because you can plan your meetings, you can take notes, and run your scrum meets. In all the aforementioned aspects, it's really good.

Only the IT personnel interacting with Microsoft would have experience with Microsoft's technical support.

Which solution did I use previously and why did I switch?

Slack was used quite a lot before. Microsoft Teams is a replacement for Skype as well. Skype has been totally ruled out now by our company.

Microsoft Teams is much better because Skype is just a very small tool used for its chat functionality. With Teams, you get many different features for sharing files. However, Microsoft Teams has a problem of losing connection many times, though not always, but it gets slow. It has the problem of storing information for only up to 30 days or 40 days, depending upon your organization's policy. Hence, not many people at times prefer to interact over the tool since their conversation gets lost.

What other advice do I have?

It's a good product. I think that with the package of Microsoft Outlook itself, most organizations are going forward with Microsoft Teams. I am not aware if there is anything else that they would be looking forward to, but I can say that the tool has a scope for improvement. As a user of the tool, I can say that Microsoft Teams is not a 100 percent reliable solution.

Trust is the main factor. I see that users do not trust the tool, and they still prefer to send emails because they feel that whatever information they are sending using the tool may get lost. Hence, that makes it a big concern.

I rate the overall solution a six out of ten.
