What is most valuable?

  • Ability to be used from a .NET programming environment

How has it helped my organization?

We were able to introduce a CMS, which had never been implemented before.

What needs improvement?

For sure, it should offer customisation of data grids, which is not possible, as it seems to use some proprietary OCX control.

For how long have I used the solution?

I have used it for three years.

Its functionality is enormous, but the product is too heavy
Pros and Cons
  • "It has good integration with other MS products."
  • "It is well supported by Microsoft."
  • "Its functionality is enormous."
  • "It is too heavy. MS should not have paid foreign coders dollars per each row of code. They wasted the stability and reliability in the end."

What is our primary use case?

We are a middle-sized company with around 200 users.

We use SharePoint for some basic business processes: CRM, ECM, etc. Our maturity reached a certain level and it allowed for some further improvement.

How has it helped my organization?

Company portal was finally set up. The CRM system for the commercial department went into production and opened the door for further improvements, KPIs, and metrics.

What is most valuable?

  • Its functionality is enormous.
  • It looks nice.
  • It has good integration with other MS products.
  • It is well supported by Microsoft.

What needs improvement?

It is too heavy. MS should not have paid foreign coders dollars per each row of code. They wasted the stability and reliability in the end.

For how long have I used the solution?

Still implementing.

Great application but I would like to see co-authoring be real time

Valuable Features

Alerts and co-authoring

Improvements to My Organization

So far our HR department has seen the benefits in terms of having a central calendar where everybody in the department can be updated regarding meetings and appointments, creating discussion forums regarding important topics affecting the agency or the department. Having a central repository for documents (rather than at different locations creating storage issues)

Room for Improvement

Co-authoring needs to be real time.

Other Advice

I would recommend it. Good software to help:
  • Centralized management and editing of documents
  • Team brainstorming and exchange through discussion forums
  • Synchronization and centralization of appointments and meetings
  • The provision of one portal or web site to access documents, calendars, forums etc.

Provides combined reports and data with timeline tracking. Emails stored now do not display metadata in native format.
Pros and Cons
  • "Combined reports and data with timeline tracking."
  • "No good process to import emails from several users into a single comprehensive SP repository."
  • "Emails stored now do not display metadata in native format."

What is our primary use case?

Small process tracking for in-house requirements investigations, which are shared across several departments.

How has it helped my organization?

  • Combined reports and data with timeline tracking.
  • Better than looking into three systems to find the full picture.

What is most valuable?

  • Metadata store
  • Cascade dropdowns for selection of data sets.

What needs improvement?

  • Links to Outlook and native storage of emails.
  • Emails stored now do not display metadata in native format.
  • No good process to import emails from several users into a single comprehensive SP repository.

ROI

Being able to drop all the cloud service subscriptions saves a lot: the amount depends on how many of those services can be replaced.

Other Solutions Considered

If you’re on corporate Active Directory then there are no real competitors.

Other Advice

Read the planning documentation: running the installer without planning has some disadvantages for auditing, for example.

The only functionality I am aware of that needs IE is the server farm SSL security administration, which is a seldom touched highly administrative function; of course IE is the only browser that supports ActiveX so I maybe missing something. I would actually argue that there is improved user functionality in some instances for Firefox over IE, such as the ability to resize text areas.

Regarding the LDAP integration, I have come across people that consider password synchronization to be integration; for me it's SSO and nothing less. To this end there are certainly many systems out there that achieve seamless SSO using SPNEGO Kerberos running off LDAP, but for Claims authentication (SharePoint default) it's a different matter. At best you may be able to use something like PicketLink, Once again, if you're talking Office 365 then it's O-Auth and that's much easier to integrate. Taking this a step further, SharePoint automatically manages password changes for service accounts and provides social functionality such as dynamic organization charts and badging based on AD properties.

I would certainly look at other options, but the bar is set pretty high by SharePoint if you are using Microsoft Office file formats on an Active Directory Network. Also, times change: once upon a time (5+ years ago?) Microsoft held back on browser support, workflow scalability and other features for perceived commercial reasons. SharePoint and Linux - as every decent product should - adapt and grow over time and are nothing like the versions on 10 years ago. What other CMS allows editing DOCX and XLXS in my phone's web browser? Only OX and SharePoint can do that.

Provides flexible data presentation and messaging, but user experience with web parts needs improvement
Pros and Cons
  • "The stability of SharePoint is high."
  • "The web parts in SharePoint could be more intuitive for end users."

What is our primary use case?

I use SharePoint as a general administrator, working with different Microsoft environments. I am not an admin, but I help with some issues and answer questions related to SharePoint within the organization where I work. Although I do not manage SharePoint directly, I interact with it as part of my duties, primarily in a supportive role.

What is most valuable?

SharePoint provides prepared templates and objects for data presentation. It is a flexible tool suitable for diverse Microsoft environments. Features include messaging integration and full-text search capabilities that help users understand content and grasp significant information stored in SharePoint. It serves as a means to present information and access data efficiently.

What needs improvement?

The web parts in SharePoint could be more intuitive for end users. Many do not fully understand these features, and improving user awareness could foster better data relations. The learning curve of using special features and web parts in SharePoint could be enhanced, especially in helping data processing by AI systems.

For how long have I used the solution?

My first experience with SharePoint began around 2005. I used to manage my own SharePoint sites. Currently, I am not involved in direct management and have not been for over ten years. I engage with SharePoint several times per month to assist others or address specific queries.

What was my experience with deployment of the solution?

The transition to SharePoint Online was mostly completed when I joined the company, having already moved from on-premises to cloud. I did not encounter any significant deployment issues personally.

What do I think about the stability of the solution?

The stability of SharePoint is high. I rate it nine, indicating a reliable experience for most companies.

What do I think about the scalability of the solution?

The external access to SharePoint data requires better security handling. I rate scalability at eight currently, with room for more advanced external secure access features.

How are customer service and support?

The quality of Microsoft's technical support is very high, with a rating between nine and ten.

How would you rate customer service and support?

Positive

Which solution did I use previously and why did I switch?

I initially started with basic coding on Microsoft Windows and transitioned to administration roles, which led to the use of SharePoint as part of general administrator responsibilities.

How was the initial setup?

The initial setup of SharePoint is straightforward due to pre-selected templates. However, the users' understanding of SharePoint's data relations and content still requires improvement.

What's my experience with pricing, setup cost, and licensing?

As SharePoint is part of the Microsoft 365 suite, the pricing is acceptable.

What other advice do I have?

I would rate SharePoint overall as seven or eight. I acknowledge that while it is a good solution for several applications, it is not suitable for all, especially not primarily intended for external sharing. Users should explore and understand the integrated features of SharePoint to maximize its benefits.

Which deployment model are you using for this solution?

Public Cloud

If public cloud, private cloud, or hybrid cloud, which cloud provider do you use?

Co-editing and external sharing improve workflow but integration and licensing hurdles persist
Pros and Cons
  • "The most valuable features of SharePoint include the ability to co-edit documents in the Office suite, particularly Excel and Word."
  • "The technical support from Microsoft for SharePoint is often slow and rated a three out of ten."

What is our primary use case?

Our organization primarily uses SharePoint as a document management system. It serves as a storage and collaboration platform for our users, allowing us to co-edit documents and easily share files externally. We have controlled the number of sites and use it mostly as a document repository, rather than exploiting its advanced features.

What is most valuable?

The most valuable features of SharePoint include the ability to co-edit documents in the Office suite, particularly Excel and Word. It is also easy to share files externally and sync them locally on computers, which is convenient for users.

What needs improvement?

There is room for improvement in the integration capabilities of SharePoint, as the suite of APIs is convoluted and complicated to use. The APIs are limited and not all functionalities are supported. Also, Microsoft forces users to upgrade their license to access proper auditing information, which is essential and should be included in any license.

For how long have I used the solution?

I have been working with SharePoint for about five years within this company, and I have used it in different capacities over the last twenty years.

What was my experience with deployment of the solution?

The initial deployment of SharePoint was done with the assistance of a third party for configuration. We have not made significant changes after setup, controlling the environment by limiting the number of sites and functionalities.

What do I think about the stability of the solution?

While SharePoint is generally stable, there have been instances, such as issues with the search index, where it took Microsoft a considerable time to resolve. Microsoft's support can be slow, taking 24 hours to respond, and often more actions are required on their end.

What do I think about the scalability of the solution?

SharePoint presents limitations regarding scalability, particularly with the volume of data, as it is a SaaS solution with undisclosed constraints, making it unreliable at times for large volume operations.

How are customer service and support?

The technical support from Microsoft for SharePoint is often slow and rated a three out of ten. There is a lack of detailed and timely responses, and support is not always transparent with the solutions.

How would you rate customer service and support?

Neutral

Which solution did I use previously and why did I switch?

Before SharePoint, we used OpenText, but our clients wanted to collaborate using SharePoint, which led us to switch. We also evaluated solutions like Dropbox, but client preference pushed us to SharePoint.

How was the initial setup?

The initial setup involved a third party for configuration, and we have managed it with limited changes since, focusing on controlling the number of sites.

What about the implementation team?

We worked with a third-party implementation team to configure SharePoint during the initial setup phase.

What was our ROI?

We have not calculated a return on investment for SharePoint as our company is not skilled in calculating ROI. However, we know we have improved processes and collaboration.

What's my experience with pricing, setup cost, and licensing?

The pricing and licensing for SharePoint are considered expensive, especially when Microsoft forces users to upgrade to higher licenses for basic functionalities like auditing. This upgrade requirement feels unjustified.

Which other solutions did I evaluate?

We evaluated solutions such as Dropbox and previously used OpenText before switching to SharePoint.

What other advice do I have?

Locking SharePoint down simplifies its use, but for more sophisticated requirements, I recommend looking into solutions like OpenText that offer more flexibility. Overall, I rate SharePoint a seven out of ten.

Which deployment model are you using for this solution?

Public Cloud

If public cloud, private cloud, or hybrid cloud, which cloud provider do you use?
