What is our primary use case?

OneLogin provides secure access through single sign-on as its main use case. When a new employee joins our organization, OneLogin automatically creates their account, assigns access to required apps, and allows access from a single portal. Our onboarding and secure access process begins with the HR system providing user information. OneLogin then syncs that user information, and based on their roles, provides access to applications such as email, internal tools, and cloud apps. Beyond onboarding, we use OneLogin in other ways as well.

What is most valuable?

OneLogin's best features focus on secure access automation and ease of use. Single sign-on stands out most for me, as it makes daily work much easier because users only need to log in once and can access all their applications from a single dashboard.

OneLogin balances security with user convenience, supporting adaptive authentication so security increases only when needed, such as during unusual login locations. OneLogin has had a very positive impact on my organization, especially in terms of security, efficiency, and user satisfaction.

We have seen clear measurable improvements after implementing OneLogin, especially in terms of time saving, reduced support workload, and improved security.

What needs improvement?

OneLogin is a strong IAM solution, though there are definitely a few areas where it can be improved, such as platform stability and outages, customer support responsiveness, and API customization limitations.

Additional improvements I would like to mention for OneLogin include usability and visibility, specifically in that the UI interface, reporting visibility, and documentation need to be improved.

What other advice do I have?

We primarily use AWS and interact with the SaaS platform, so the underlying infrastructure is managed by the vendor. We do use SmartFactor Authentication to adjust authentication flows in real time.

My impression of the user ID synchronization feature in OneLogin is very positive, as it is reliable and helps keep identities consistent across systems. The integration of phishing-resistant device trust in OneLogin has significantly strengthened our authentication process, ensuring that not just the user but also the device being used is trusted and verified before granting access.

OneLogin provides a very seamless end-user experience for signing in and accessing applications. Users log in once and can access all required applications without repeated logins, with all apps available in a single place which makes handling easy. We have used adaptive login flows with Vigilance AI, and they have been very effective in identifying risky behavior and adjusting authentication dynamically.

OneLogin is used to access customer relationship management analytics tools and internal tools. I log in with a single set of credentials, which allows me to quickly access all necessary applications without entering separate usernames and passwords for each tool.

After login, I can directly open the CRM dashboard through the portal, and this saves time and reduces password fatigue.

What is most valuable?

When someone leaves, I can quickly revoke access to maintain security, which speeds up and controls crucial processes when working with sensitive data in legacy operations.

    What is our primary use case?

    My main use case for OneLogin at the university is that it helps me access the institutional email with a single sign-on. This makes it easier to access the virtual classroom, the digital library, and other platforms that the university provides.

    A specific example of how OneLogin has made it easier for me to access these platforms in my academic day-to-day is that sometimes since I have multiple passwords for each resource that the university gives me, I might forget them. With OneLogin I just log in once with everything already saved, and it makes it easier and saves me time.

    I find it really great that I no longer have to remember all the passwords to access the resources. Instead, with a single click or a single login I can access everything.

    What is most valuable?

    I consider the best features that OneLogin offers to be the single sign-on feature, which provides me with unified access to cloud applications and reduces how complex the sign-in process is.

    I found integrating single sign-on with the different university platforms to be very easy.

    OneLogin can also integrate with directories. For example, it integrates with Google Workspace, and that helps me since I use Google Workspace.

    What is our primary use case?

    OneLogin is primarily used for privileged access to applications. OneLogin enables access to applications without needing to use a single sign-on, as it connects seamlessly between systems.

    For the end user, the experience with OneLogin is transparent. Previously, users had to log in to Office and then log in again to another application such as Monday. When synchronizing or running OneLogin together with those applications, the user only needs to be redirected to OneLogin by the application itself, and with that single sign-on they can then connect to other applications.

    What is most valuable?

    OneLogin offers the ability to update role permissions, which makes the task easier when disabling a user or changing their role or lowering their privileges. This is straightforward to manage from the same console.

    OneLogin offers dynamic MFA, where the platform can decide, based on user behavior, whether or not to ask for MFA. This helps significantly. Additionally, intelligent flows, known as Smart Flows, help create highly customized authentication flows all from within OneLogin itself.

    Another relevant feature of OneLogin is role assignment, which allows us not only to create the user in the final application, but also for OneLogin to assign the roles, groups, and permissions of those apps, attributed or associated with Active Directory.

    OneLogin helps improve security posture. We base ourselves on ISO 27001, and they require us to have controls for secure access control, which OneLogin has helped us with. Another benefit is user productivity, because users do not have to enter multiple passwords in different applications to access them. One password is sufficient, and if OneLogin detects that the user is benign or not malicious, it makes it easier for them to access the other applications. There was also a reduction in support tickets. Although initially there were quite a few as a result of the tool's implementation, the reduction became clear as users fully learned how to use the tool, so there are no issues from that point of view.

    What needs improvement?

    OneLogin could benefit from additional dynamic security enhancement. The solution itself can decide whether or not to require MFA from users based on the user's behavior, where they are connecting from, their IP, what device, and what time. It allows us to identify and automatically trigger an MFA flow or simply deny access due to the dynamic risk that the user may present.

    In terms of OneLogin, integrations or the integration list could be improved. There are applications that perhaps do not use the REST API, so providing the ease of being able to integrate more applications would be beneficial.

    OneLogin has been used for approximately a year and a half.

    What other advice do I have?

    The idea of implementing OneLogin was also to keep users under control and also to protect the applications they access with OneLogin by protecting them from the identity side. Though exact figures are not available, this impact can be described as positive for our organization.

    What is our primary use case?

    My main use case for OneLogin is for security enhancement and account management. I use OneLogin mostly for security enhancement as well as users' account management, which includes the management of the client's accounts as well as team members' accounts.

    What is most valuable?

    The features I appreciate most about OneLogin involve the multi-factor authentication, which I consider one of the best features because it provides many options for increasing system and tool security. This helps us to see that our data and accounts are protected from threats, hackers, and unauthorized access. The MFA also helps us to add extra layers of security to the account.

    The second feature I want to discuss is the integration feature; in this integration, many other features are exported from other tools and built into this single tool, which helps us to reduce manual effort and limit errors that could be caused by manual data exchange. All the information is gathered in a single place, and OneLogin has become a solution for all security purposes as well as the integration of other tools we use.

    When we talk about security and usability, SmartFactor Authentication is a valuable tool because it helps in enhancing the tool's security. One of the valuable things I see is that it can detect errors and risks in authentication and provides advanced security for the tool, meaning that it can detect higher-risk logins and prevent unauthorized access. It also identifies non-compliant users and detects unsafe places, including anonymous IP addresses, which may be used by spies or phishers, providing strong security for the system.

    OneLogin has positively impacted us in many different ways, particularly in terms of cost, as our costs have been reduced compared to what we have been spending.

    What needs improvement?

    OneLogin can be improved mostly by maintaining and upgrading it. Everything is running well currently, so I have not identified any required improvements at this time.

    I believe the initial setup should be more straightforward. The initial setup should include all instructions in a tour video, so when someone is running it, they can watch and realize how things are done, not only regarding domain booking but also having posted videos daily about added features. This would make it easier for the person installing initially to know what should be done and what has been added. This would help anyone, regardless of their coding skills, to learn how to install it through video explanations.

    I have been using OneLogin for one year.

    I purchased OneLogin through the AWS Marketplace. I would rate this product nine out of ten.

    OneLogin is our main identity and access management tool. We use Active Roles for user provisioning, which allows us to delegate the provisioning to other people. OneLogin manages user access permissions and includes creating mailboxes.

    OneLogin's best features are the whole package, which includes the combination of the integration with Active Directory, user provisioning, and the graphical user interface. OneLogin has positively impacted our organization by saving us money because we automated a lot of things with One Identity.

    OneLogin could be improved with more add-ins for integration with Entra ID and Exchange Online. I would appreciate more options to add to One Identity, such as Entra ID provisioning and Exchange Online mailboxes directly, and maybe integration with Graph.

    OneLogin is nice and easy to use. I would rate OneLogin an eight out of ten because nothing is a ten for me; everything can be improved, and this is quite acceptable. More integration with other solutions, especially Entra ID, would contribute to a higher rating. Based on my experience, the user identity synchronization across directories functionality in OneLogin is acceptable. Regarding OneLogin providing a smooth experience for end users when they are signing in and accessing applications, end users are not really logging in through One Identity, but One Identity provides them all the necessary groups to log into their applications, so they do not notice anything. The experience is smooth. My advice to others looking into using OneLogin is to get skilled people who can work with OneLogin and who can script. My overall rating for OneLogin is eight out of ten.
