Microsoft Exchange Online Primary Use Case

Yogesh Autade - PeerSpot reviewer
Yogesh Autade
Senior Security Engineer at Softcell Technologies Limited

Microsoft Exchange Online serves as our enterprise email hosting platform, providing secure mail flow management and centralized messaging services for users across multiple locations. From a security perspective, we use it for email security controls, transport rules, mailbox auditing, and anti-phishing protection with integration to Microsoft Defender to monitor and respond to email-based threats.

A specific example of how I use Microsoft Exchange Online in my daily work involves phishing campaigns that target multiple users with spoofed emails impersonating executives. Using Microsoft Exchange Online together with Microsoft Defender, we can trace message flow, identify affected mailboxes, automatically quarantine malicious emails, and block similar messages before they reach additional users. This significantly reduces manual response effort and helps contain email-based threats much faster.

Beyond email hosting, we use Microsoft Exchange Online daily for message tracing, mailbox auditing, transport rule management, and monitoring suspicious email activity during security investigations. It also serves as a key telemetry source for our SOC, helping correlate phishing, account compromise attempts, and abnormal email behavior with identity and endpoint security events.

I currently work with a Microsoft partner and I support users that use Microsoft Exchange Online. I also use Microsoft Exchange Online myself.

I use the shared calendar feature of Microsoft Exchange Online. One of the major perks for me when it comes to shared calendar is that when I work in a team, it helps me keep the project timelines organized. I'm sure there are many ways to use it, but personally, once I share my calendar, I can relate with people on my team regarding when deadlines are due and when deliverables are due. I don't have to do that manually. We can all just collaborate on the calendar.

I cannot put everything on 365 because it's obviously not as fast. We have Microsoft Exchange because we have a lot of emails. Most of our emails, about 80%, are on Exchange Server locally, and just 20% are on 365. We use Microsoft Exchange as a hybrid solution. The users who are accessing from outside and the users who are on our priority list outside of the organization are on 365. But the other people that are local are on Exchange Server.

There are more than 200 people using this solution in my organization.

I use the latest version.

The solution obviates the need for infrastructure. The model is pay-per-use. We are not talking about a single email but a complete collaboration suite. One gets very well integrated IT which is tightly stitched with collaborations. One can chat and field calls. As such, it is not only Exchange Online coming on, but Office 365 Suites, which Microsoft provides the users. This availability ranges from first-line workers to CEO level users, depending on one's requirements. All the industry needs are covered. One can take the model best suited to him and tailor his solution to his investment capacity needs.

This means that the solution offers complete scalability and flexibility. A business user who occupies a very small portion of the industry can pay less for a suite. The desktop and web versions are also options. The solution's handy. One can use it on his mobile, or any other devices, including multiple devices and single identity. So, the picture is comprised of many components.
