Microsoft OneDrive for Business Valuable Features

AM
Technology Analyst at Infosys

The best thing about Microsoft OneDrive for Business is its shared part. For Microsoft OneDrive for Business, we can share folder labels as well as specific files, which is the best feature that I would recommend.

Microsoft has added an AI tool called Copilot to Microsoft OneDrive for Business, which helps us manage files. For instance, if we have an Excel file on Microsoft OneDrive for Business and we open it, it gives suggestions, but this feature is part of a paid subscription. Any customer needs to pay for it, and it is embedded in all the applications such as Microsoft OneDrive for Business, Excel and PowerPoint, providing useful suggestions when adding something. Copilot is helping significantly.

I use Microsoft OneDrive for Business to save files; whatever we discuss in meetings, we make an Excel file there. It is very easy since it's a cloud storage solution, which makes sharing simple. There should be a shared folder where we just share a link to that particular user or within the team, and if we put something in that, it is visible to all the people in that particular team who have access to that folder.

Microsoft OneDrive's integration with other Microsoft products enhances its utility and performance because it's seamless.

The performance is excellent as it is a first-party product of Microsoft. It has lifelong services built in. On any platform, core platform tools, or SharePoint, you will be able to transfer files and use them instantly.

If a document is available, you can have connectors to connect, and it's very seamless to operate as it comes from the Microsoft ecosystem.

Regarding Microsoft OneDrive's stability, we have retention policies for the documents. It's a Microsoft product and a safer product. While there have been some instances of data breaches, it remains a very safe product overall. Being a certified Microsoft product, it should be among the safer products available.

What I value most about Microsoft OneDrive for Business is the network sharing and the data recovery. Whenever data gets deleted, it will be recovered from the recycle bin and will be available for 30 days. That's a valuable feature.

Some of the best features of Microsoft OneDrive for Business are the ability to ensure automatic saving. I've been in IT for over thirty years and have seen plenty of times when people forgot to hit file save and lost data, and having this automatically saved constantly is a very nice feature set.

The synchronization capabilities of Microsoft OneDrive for Business certainly support my work as it is handy if you're concerned about people writing data on their local PCs and the laptops getting stolen or crashing, to have it sync everything up to your Microsoft OneDrive for Business account so that you're not having to worry about backing up locally. You try to make sure that people are putting things in the right folder to ensure they'll get backed up.

Before using Microsoft OneDrive for Business, we were actually storing things locally and had shared folders or home folders out on the network. They made the change to Microsoft OneDrive for Business because they wanted to put it out in the cloud and get better performance, automatic backups, and all the rest of it.

The best features in Microsoft OneDrive are that it makes the files available from around the world, so users are not tied to a computer. Files can be accessed from any device in the world.

Sharing files among users in Microsoft OneDrive is important.

The integration of Microsoft OneDrive with Office 365 is very important to get the possibility to edit files from OneDrive, also with desktop packages because we use desktop packages.

Microsoft OneDrive for Business is quite scalable at this point. However, sometimes when we work on PowerPoint or large Word documents, there is a chance that the document gets rolled back to a previous version, and you lose your work. This is a small inconvenience that I find. It doesn't happen all the time, but when it happens, you have to redo some of the work that we have done. I wish this issue would be fixed.

Some of the most valuable features are the way it's easily accessible and usable for everyone. The interface is good, and the UI is well-designed.

Microsoft OneDrive's version control impacts my document management; it's seamless to me. I haven't seen much difference, so it's in the back end.

The integration with other Microsoft products enhances its utility 100% because we are all Microsoft.

I am integrating Microsoft OneDrive with other solutions such as SharePoint and Teams; it's integrated everywhere.

The sharing and co-authoring features in Microsoft 365 are the main valuable features.

Document control is basic to ensure everybody is working with the ultimate source of truth.

The viewer with redaction and annotations is pretty good, and document generation is useful.

Some of the best features I appreciate most about Microsoft OneDrive are the simplicity to map different kinds of SharePoint files that are stored in the cloud. It's easy for me, and I prefer to use this solution.

The version control is acceptable, though I don't use it extensively. I appreciate the feature in SharePoint where it's difficult to permanently delete a file, as you can always recover files very easily.

My experience with Microsoft OneDrive for Business is extensive as I use it personally and with the client's location workplace, related for more than 10 years, having started when it was initially named Skydrive, so I have been using this cloud service of Microsoft for around 15 years now.

The best features of Microsoft OneDrive for Business are its continuous improvement in terms of cloud capabilities, security features, and user experience as it's enhancing every day compared to the past.

The synchronization capabilities of Microsoft OneDrive for Business support my work much better now than before, and I would rate the current status of synchronization a four out of five based on my experience.

The most valuable feature of Microsoft OneDrive for Business is that it is included in the standard Office 365 subscription at no additional cost, unlike other drives such as Google Drive.

The cloud drive functionality helps synchronize files between devices, which saves significant time and effort.

The connectivity in Microsoft OneDrive is excellent; the fact that we can link everything is valuable, and it's very fast as well. I'm unsure if that has anything to do with the product or the internet, but it's notably fast.

The connectivity with different integrations in Office 365 is particularly useful.

The integration aspect is very impressive; I love that I can share and appreciate the whole aspect of the product. It's very easy to extract information from one format to another format and use it in different parts of documents or files.

The best aspect of Microsoft OneDrive is that it automatically saves all work, so users never have to worry about anything disappearing, which prevents huge headaches. It also provides a central place for everyone to access anything and everything that the company has to offer.

Since we use Microsoft for pretty much everything, it's essential that Microsoft OneDrive integrates with all the other products, which I appreciate.

I would say the most valuable feature is that it is a Microsoft product so it is well integrated with Excel, Word, PowerPoint, and all the other products in the Microsoft suite. In OneDrive, when you use Excel, Word, or PowerPoint it automatically manages the versioning. It is kind of how Google Sheets and Google Drive and all of those products work. Multiple people can work on a Word document at the same time because it is completely integrated and it is an online copy of that document that you do not have to physically move back-and-forth.

Autosave is always on for everything. That is a very good feature, I feel. Another thing is OneDrive has a version history as well. If you have multiple changes to a document and Microsoft sees it as different versions then you can actually recover different versions in case something gets replaced unexpectedly. For example, if you did something in version five and then you realize that version four was better, you can actually recover that earlier versions in OneDrive.

The integration between all Microsoft products is a key advantage to OneDrive. I would say that is probably the most valuable feature. Because it is Microsoft and everyone uses Word and Excel almost globally, it works well in sharing those documents. But regardless of if you are a Google user or Apple user, Word, Excel, and PowerPoint are still 90% of what the world uses for business tasks. Because everything is integrated with Microsoft, instead of going through Google Sheet and then exporting it to an Excel file, here you just work directly in Excel. It is fewer conversions and fewer problems in that way.

You can set up different drives in OneDrive. This helps you keep organized. For example, you can create this drive as my personal OneDrive, make another drive as my work OneDrive, add another as my [whatever this is] OneDrive. I like that capability.

When we were sharing through it, it was a great tool for that purpose. I guess you would consider it similar to the design of Dropbox or really any one of the cloud-based storage services at this point. Within our team environment and our IT Group, it worked out for a while. It was really great to be able to share access to your backup files or notes or whatever you have and then be able to send a document or allow access to specific team members. I thought it was pretty cool. It was the first time we really used something like it so we were all excited.

OneDrive has so many features that I haven't been through them all yet.

The security features are good for the company's privacy.

They have support for integration with a lot of tools. However, I have not fully studied what is available because I have not used it enough.

One of the good features is that the users are not even aware that they're using it. It is the backend of our Office 365. If they using applications like SharePoint, Teams, and OneNote, and all of their data and files are stored transparently on OneDrive. They even use OneDrive as a place to store backups.

You can also use OneDrive for personal email when you are using Outlook.

Using OneDrive for storage is self-explanatory.

The organization of the solution is its most valuable aspect.

I'm able to pull it from other computers. I don't have to be in a specific place or on a specific machine in order to access it. I can go into the office and log in, or, I can use it from home. It's easily accessible from multiple places that I use.

It's pretty easy to learn. Once someone taught me, I was able to navigate it quite quickly.

Admins are able to control access to certain files.

The feature that I have found the most valuable is that Microsoft OneDrive works with any Enterprise Cloud Solutions Office app. You can edit a document on the cloud, share documents with your colleagues, and monitor changes. You can access your work almost anywhere.

You can also sync Microsoft OneDrive with your workstation so that whatever you are working on gets automatically backed up to the cloud at regular intervals. So even if your system crashes, you still have a copy of your documents in the cloud, which I found very useful.

The most valuable feature is to be able to modify the file online and keep it stored on the cloud, since it is not necessary to download it to make modifications. Modifications can only be made by people with permissions given by the administrator of the document. Another feature that I like is the visualization of images. It is excellent, the images are shown in a good way, and the image management is great since the search is simple, and accessing images with labels is easy.

What I find the most valuable is that while working with documents saved in the cloud, they autosave. This saves considerable time and ensures that your documents will not be lost.

I also love that it comes pre-installed with Windows 8 and 10. This saves time since we do not need to install any software to start saving or sharing documents.

On OneDrive for Business, I like a lot the similar environment as I have actually in SharePoint Server. It’s because of the same “background”. OneDrive is nothing but a customized SharePoint subsite. If you have Office 365, you can take a look on the site collection dedicated to OneDrive for Business. The funny thing is that this site collection doesn’t spend any space (1 TB of SharePoint space and unlimited space in OneDrive for Business in E3 plan). Another great feature is the possibility of selecting specific folders to synchronize – this specific function was for me, finally, proof of the readiness of this tool for my purposes and decision-maker for migration to OneDrive for Business from the other tools. The next very important features are bandwidth control in the latest version and the possibility to pause the synchronization.
