We use Documentum mainly for organizing and managing digital documentation, especially after the pandemic shifted us away from manual procedures. It is crucial to ensure that sensitive and confidential documents, like agreements and MOUs, are securely accessible only to authorized users.

How has it helped my organization?

Using Documentum has brought several benefits, particularly in streamlining document management and making it trackable. With Documentum, we can monitor who accesses documents, detect any unauthorized activity, and set alerts for confidential documents. This ensures the confidentiality and availability of our critical documents, offering enhanced security and peace of mind.

What is most valuable?

The most valuable feature of Documentum for our content management needs is its ability to segregate access based on department and role. This ensures that users only have access to the documents they need for their specific tasks, maintaining confidentiality and compliance with company policies.

What needs improvement?

One area for improvement in OpenText Documentum is its handling of outdated documents, especially technical ones. Currently, older files remain online and clutter storage, but a new feature to offline these files for select users has been suggested. Additionally, there is a need for better management of offline access, restricting it to only essential users to maintain security and streamline access.

For how long have I used the solution?

I have been working with OpenText Documentum for over ten years.

Which solution did I use previously and why did I switch?

While we also have SharePoint, Documentum better suits our needs for heavy-duty document management, especially in the enterprise segment with a large user base.

How was the initial setup?

The implementation of Documentum took around three months. Installation and configuration were quick, but fine-tuning and data migration required time. We followed a structured process, including role definition and data import. Transitioning users and managing duplicate data were challenges. We ensured departmental segregation and enforced read-only access to old data to facilitate the transition.

What other advice do I have?

Documentum's collaboration tools have significantly improved our project outcomes by streamlining document access and enforcing naming conventions. Users find documents faster and adhere to predefined naming policies, ensuring easier backup and restoration processes. Proper indexing enhances document organization and retrieval, contributing to overall project efficiency and compliance with company policies.

We have faced significant challenges integrating Documentum with other systems, particularly ERP systems. To overcome this, we have initially kept Documentum as a standalone solution, avoiding complex integrations. We focus on simple drag-and-drop functionalities for document management. While we plan to integrate with ERP systems in the future, for now, we prioritize simplicity and stability.

Overall, I would rate OpenText Documentum as a seven out of ten.

Finding suitable training materials for OpenText Documentum is also a bottleneck. If we can find the training modules easily, we can bring together people, give them quick training, and start working on the deployment. It can help with quick outputs.

OpenText products are reliable and stable.

The tool's deployment was not complicated or straightforward. 

What other advice do I have?

We encountered challenges in the limitation of design and flexibility. High-volume delivery was also a bottleneck for us. Hence, we moved to OpenText Documentum. 

We ran the product on in-house and on-prem servers, which were secure. We never ran it on OpenText Documentum's server. 

The solution is on par with any company maintaining security. I believe they will own up to the risks if anything goes wrong. 

I have used SmartCOMM, which has OpenText Documentum's similar features. SmartCOMM has a seamless interface, and OpenText Documentum can replicate it. 

I rate the product a five out of ten.

Our insurance company has multiple business types, including personal insurance, commercial insurance, and group benefits. We use the product to store policy and claim documents and send emails and text messages. 

How has it helped my organization?

We don't have a second option to store physical files. OpenText Documentum integrates with our external customers. We don't have to email or print the policy documents. We can link the document directly to the source and send it to our customers. 

What is most valuable?

The tool's most valuable feature is ACL, which helps to control the user groups that access the documents. 

What needs improvement?

OpenText Documentum is moving to the cloud, and I am concerned about the security aspect of it.

What other advice do I have?

As an insurance company, we need to store data securely and properly. It has to be retrieved, maintaining the SLAs as and when required. 

I have a good understanding of OpenText Documentum's security in the on-premise version. ACL is pretty secure. We know the way infrastructure is being deployed. 

We use Webtop, but it is a discontinued product. We are on extended support. 

The configuration is easy. The solution has boosted our productivity. We have been using it for nine years and know how it works. We know how to move a solution to the marketplace easily. 

I rate it a nine out of ten.

I appreciate Documentum's scalability, allowing for vast volumes of content storage. Its object model and hierarchical structure are fundamental, enabling robust application development, including D2 applications.

What needs improvement?

I would like to see performance improvements, especially regarding slow response times. Despite upgrading hardware and software versions, users across multiple sites still experience delays, which impacts productivity.

Stability can be a concern with Documentum, as it may have limitations that require careful monitoring and management.

What do I think about the scalability of the solution?

Documentum offers excellent scalability, even when deployed in Kubernetes, allowing for easy expansion as needed. Its robust object model ensures limitless scalability, a significant advantage for handling large volumes of data.

When it comes to technical support, their responses can be slow, taking up to a month for issue resolution. I would rate the support as a five out of ten.

Which solution did I use previously and why did I switch?

Before Documentum, we utilized various content management systems from different vendors, alongside manual processes for certain tasks. Hard copies were stored in record rooms. Since implementing Documentum, around 70% to 80% of our processes have been digitized, streamlining operations significantly.

How was the initial setup?

The initial deployment of Documentum was not overly difficult, as we had experience spanning over 20 years with various versions. We followed thorough preparation, including reviewing release notes and infrastructure guidelines. While we managed most deployments in-house, we occasionally sought assistance from experts for specialized components like OTDS. 

What's my experience with pricing, setup cost, and licensing?

Documentum's pricing is reasonable compared to some competitors like Palo Alto. However, there may be additional costs for support that need to be considered.

What other advice do I have?

Documentum offers robust security features, meeting high-level security standards like ACL. It implements server-level security and user permissions based on groups and access controls. SSL encryption is available for content servers and Docbroker, ensuring secure data transmission. Site management features provide additional control over documents beyond the repository.

We have integrated Documentum with various applications such as SAP HANA, LMS systems like SuccessFactors, and in-house applications for efficient document management and cost-saving measures.

Documentum's configurability has greatly improved, allowing for faster deployment of solutions to users. Previously, it took around 15 to 16 days to develop a single screen, but now, with enhanced configurability, it can be done within a sprint, typically in 15 days. This flexibility extends even to advanced capabilities, making Documentum, especially D2, a highly adaptable and efficient solution.

Documentum has significantly increased productivity within our company by consolidating records previously stored across multiple rooms into one centralized system.

Documentum has contributed to the simplification of our modernization journey, although the acceleration aspect depends on certain limitations and feature utilization. We are making the most of the available features to drive our modernization efforts.

New users of Documentum should ensure they have experienced guides involved in the project, including those with expertise in Java, DFC, DFS, and OpenText server fundamentals. This preparation will ensure a smoother transition and effective utilization of Documentum's features.

Overall, I would rate OpenText Documentum as an eight out of ten.

We have been using this solution since 2014, using version 20.2. It is deployed on-premises.

What do I think about the stability of the solution?

The stability is very good, and I rate it an eight out of ten. However, sometimes we have connection issues with the DocBase Java Method Servers or DocBroker services. This may be because our project is about 400 megabytes and very big. However, the designer works hard to resolve it.

I rate the scalability a six out of ten because the bigger the project, the more complex it becomes. We have about five people in charge of maintenance.

I rate the technical support an eight out of ten.

The initial setup was easy because we have senior developers with expertise. We used it for about six years before upgrading to a different version last year.

We completed the development in-house. There was a lot of work with this project, and we developed a lot of workflows and made a capture application. It took us about a year to complete the deployment. We have almost 2,000 users, mostly from the accounting department.

What is our primary use case?

I work at a software development company. We only have about a hundred employees, so we are not big enough to use Documentum ourselves. Instead, we are developing a solution based on it. We are developing the new version of a court case management system, which is a national scale project. 

You need a BPM solution if you are working with court cases files. It's essential to develop the method description for the document data. It is also necessary to implement business process management, and Documentum is pretty good for that.

And for development, we have a team of nearly 10 people. For support, we have one or two.

What is most valuable?

Two things are excellent in Documentum. One is business process management. The other is its support for metadata. You can add metadata to just about any file. The metadata helps you retrieve and manage all the documents in your databases, including your multimedia files. 

What needs improvement?

In BPM could be better. Its GUI needs the ability to build more rules. This is a crucial feature. For example, OpenText has some products that allow you to control your checks, invoices, and so on. They have exciting approaches to converting pictures to text, but the tool for business process management isn't easy to use. The GIU is not so good.

What do I think about the scalability of the solution?

In terms of scalability, Documentum is a very good product. It's scalable, flexible, and reliable. Our national card system has more than 30,000 users, of which about 6,000 are highly active.

How was the initial setup?

Setting up Documentum is quite complex and hard to understand. You need someone who has experience with the solution.

What's my experience with pricing, setup cost, and licensing?

The price of Documentum could be lower. It's quite high compared to its competitors.

What other advice do I have?

I would rate Documentum nine out of 10. I wouldn't say 10 because it can always improve.

Open Text's technical support is lacking. There isn't enough community support. It's all paid and locked away behind Dell support, which makes it hard to find the solutions for problems we face. 

What other advice do I have?

I rate Documentum eight out of 10. If you are planning to implement Documentum, I suggest checking to see if OpenText has any pre-built customizations that match your use case. I don't recommend trying to customize yourself with xCP or AppWorks
