Office 365 Primary Use Case

Technical Manager at Landmark Group
We use Teams for our collaboration. We use the Office 365 suite of products including PowerPoint, Word, Excel, and all related tools. Mostly I use Teams, Excel, and Word. I seldom use PowerPoint because I am not required to make presentations very often. I spend almost every moment in my office using Teams to collaborate and communicate with others, along with Excel and Word.

In Office 365, you can open Excel and Word documents and even PDFs without having to save the file or navigate outside Office 365. You can save your files on OneDrive. It offers access to all the software in the Microsoft ecosystem. Through Office 365, you can access applications such as Drive, Excel, and Word.

The team has already finalized the tool because the decision-makers are other teams and they have already onboarded some other tools for the patching.

For me, that is out of the box, as I'm not the right person to make their decisions. At the same time, I moved to another department, the application support team, which I'm currently supporting some applications.

In my use of Office 365, we have many different domains: exchange is different, Intune is different, Azure AD is different, and applications and services are different. I worked with the exchange Microsoft 365 exchange and then I worked with the defender with security, managing those defender things.

I also worked with the Intune team to manage the MDM deployment. Then I collaborated with the DevOps department to manage all those Kubernetes and DevOps and pipelines, checking the services. I was a middleman, checking everything, collaborating with all other departments.

This is where in Office 365 I worked around with them for 3 years.

My usual use cases for Office 365 include basic use for receiving or sending emails for official purposes using Outlook, and for creating small documents in Excel or Word. I use Word for PowerPoint presentations and any type of documentation to provide to clients.

Regarding Office 365 features and capabilities, I honestly don't use too much of the features of Outlook or Excel because I'm a technical person regarding my tools. I'm only using it for mail purposes or other documentation.

I use Microsoft Teams as a tool for communication and collaboration. Microsoft Teams is a very good option for me to connect within the organization or with my team. We can also connect with external teams, share links, share screens, and take control of other people's meetings. We do a lot of things through Teams, and we have scheduled many meetings with the help of the Teams calendar.

Splunk is very popular and many enterprises are using Splunk, and even some of our customers are using Splunk. Splunk is also very good, but we only integrated with ServiceNow so we don't know the internals of ServiceNow and pros and cons of Splunk.

SolarWinds is also very powerful. I have integrated SolarWinds with the ServiceNow infrastructure.

I know what SolarWinds does, but I am not a dedicated infrastructure resource. I'm a pure ServiceNow consultant.

SolarWinds is a very powerful tool that can scan the client network or any network and get appropriate results on whether which server is down, which component is down, or which network component is not working. In the past, we integrated SolarWinds and whenever any network component went down, our integration created an incident in ServiceNow immediately.

SolarWinds is much more than a monitoring tool. They have database offerings also, but I know it as a monitoring tool and it was very powerful.

Device monitoring and server monitoring are what we work with. That's what I know about it.

The common use case for Office 365 exists because everything in today's world is on the cloud. When a user logs in anywhere, they have access to their data. In Office 365, there are different types of licenses, such as Business Basic and Business Premium. Every license has different storage capacities. In Business Basic, users get 5 GBs of storage, 50 GBs of primary mailbox, and 50 GBs of archive mailbox.

In Business Standard, users have access to web and desktop applications, with the same storage allocations. OneDrive storage is 1 TB. Business Premium is a more expensive license that covers all the features of Business Basic and Business Standard. Additional licenses include Entra P1, which is used for Entra Admin Center regarding login, MFA, and conditional access policies. Entra P2 is available for advanced settings for tenants. Other licenses include Microsoft Intune, EMS E3, and various add-on licenses.

Real-time co-authoring in Office 365 is beneficial because users with a Business Basic plan can log in on any platform through portal.office.com and access all applications. However, without a license, mail IDs are not functional.

Teams is very good, and I am trying to get used to the new user interface because it changed a bit, but I spend a lot of time in Teams and, of course, also in Outlook. I also use Microsoft Loop for structuring and organizing meetings that I have with my colleagues. It's a very handy way of keeping the information without being over-structured, and I use Loop because I prefer to note something down instead of just saying 'Oh, I will remember this' and not writing it anywhere. Rather than using a very complex, huge application that needs time to open and has a very big structure, Loop is something in between, and I find it a very useful tool that I also use on a daily basis. If I would have to pick three, they would be Outlook, Microsoft Teams, and Loop.

We're using Microsoft Defender for endpoints.

We went that route as we did have an IT service provider, however, they were very expensive. When we did a corporate merge at the beginning of 2019, we decided that we were going to go to Office 365 and do a one-stop-shop. We didn't want to have the on-prem equipment to maintain.

In our last solution, we were limited as to what we could do for, for example, email addresses for the entire company, which were about 80 people. It was very costly to do that. Therefore, we only had our program managers and our site leads with email addresses.

When we decided to come back over to the corporate side, we wanted to keep the same flexibility and be able to have access to Microsoft for their tech solutions or their tech assistance, depending on what we needed. It gave us that flexibility and we were able to run the company on basically two IT people rather than paying $3,000 to $4,000 a month for IT services from other vendors, such as like Ntiva or something like that.

We use it to collaborate. We use it for documentation management, to collaborate with Microsoft Teams, web calls, web conference calls, chats, and as a documentation repository mainly. We have an Office pack suite to be able to write documentation, make spreadsheets, and create PowerPoints.

We are also using Microsoft Bookings to have calendars and automatic booking with people. At the moment, we are also using Microsoft Flow to be able to integrate between our CRM and SharePoint.

I am using the new version, which they launched at the beginning of this year in Portugal. Business Central is the new version of the ERP for Microsoft.

The solution can be deployed on a public cloud and on-premises.

My company implements the solution, but the clients I do projects for usually have 50-60 users.

Email, Instant Messaging with Teams, Teams Video Conference & Mobile Outlook Application.

Office 365 works very well with Microsoft Windows ECO system without any friction. Microsoft Teams video conference is a very good tool to have instant or scheduled video conferences, the quality of the video and audio is excellent but requires good internet bandwidth. As an email Admin, control aspects are top-notch, it could email quarantine details, block, allow domains, etc. especially Microsoft email filters (Spam, Malware, etc) with a basic standard subscription are on par with leaders in Email filters (Like Symantec, Barracuda, Cisco). These features are really handy for small and medium organizations. Outlook configuration for receiving and sending emails is very simple.

Our team is comprised of five people in a small consultant firm. Office 365 allows for all team members to work on the same files at the same time on OneDrive while using the market standards (Excel, Word, PowerPoint) for file editing and creation.

We've experimented with free options, but there is no point of trying to work in a file format that is different from that of our clients. That's the main reason that led us to Office 365.

All of our workstations are Windows 10 and Office runs perfectly.
