Microsoft Dynamics 365 Business Central Primary Use Case

Automation Engineer

I have worked for an ERP solution based in America, and we used Microsoft Dynamics 365 Business Central. I was leading the Leapwork technical part to integrate that in our system for automation testing.

We used Microsoft Dynamics 365 Business Central for accounts payable, accounts receivable, general ledger, assets management, procurement, everything.

I haven't used the supply chain management functionality in Microsoft Dynamics 365 Business Central.

I was not involved in the initial setup or deployment process of Microsoft Dynamics 365 Business Central.

The AI and Copilot features are very applicable in the environment that we work in, and standard integration with Microsoft 365 was very helpful.

We did use the financial management features; my finance department was using those, and I oversaw the project implementation as part of that, so we definitely used the finance part as well.

We were internally using Microsoft Dynamics 365 Business Central's CRM features for lead generation and other purposes.

We decided to integrate our BI modules for advanced decision-making and forecasting, and the standard reporting of modules like finance, procurement, and supply chain were also sufficient for our needs.

Microsoft Dynamics 365 Business Central is a cloud-based product that differs from GP in several ways. One of the major differences is that in GP, general ledger account numbers consist of a string of segments that represent dimensions or ways to categorize data, such as departments or regions. These segments must be strung together to create one long account string. However, in Business Central, these segments work independently, and users do not have to create a long account string. Instead, they define specific codes for each dimension, making it more dynamic and easier to manage. Although new users may take some time to adjust to this change, they will quickly see the benefits of the system.

Business Central can be used for managing payables, vendors, customer sales, receivables, inventory purchase orders, and financial reporting, just like GP. However, it is more connected to other systems because it is cloud-based and developed with the latest programming language. As a result, it can easily connect with other systems, and other developers can create interfaces for Business Central. The system is much easier to use, even for simple tasks like managing a checkbook, as it allows users to connect their checking accounts and have all their bank transactions automatically flow into the program.

Business Central is also capable of receiving data from other cloud solutions, making it easier to manage data and focus on reporting. Unlike GP, where data entry was a manual process and importing data was time-consuming, Business Central allows for data to be automatically imported into the system. This enables users to focus on how the data is stored and reported, rather than spending time on data entry.

All of the consultants use this product and the CRM. We also implement it for our customers, so everyone knows how to use it. In my company, there are around fifty employees and all of them use it.

Microsoft Dynamics NAV is a fully-fledged CRM/ERP. It's an end-to-end solution for managing all the processes, such as sales, purchasing, accounting, and reporting. However, this company has moved to the SAP stack. The CRM has gone to SAP Sales Cloud and the ERP is now migrating to SAP. The MES is going to be a product that's being built from scratch.

However, we also use other ERPs such as SAP, Odoo (open source software) and we also have some experience with Oracle NetSuite. Additionally, we do many integrations with SAP, but we're not using SAP much currently.

We are into pension funds administration. Our core function involves onboarding of clients, management pension funds and remittance of client pensions when they meet the criteria set out for disbursement. The management process of pension funds involves collection of clients monthly pension contributions and investing the asset to generate additional value for our clients and this is where MS Navision comes into the picture.

We essentially use MS Navision as our backend ERP system being used in managing all the records and potential costumer requests. However, we use a different system in managing our investment booking process.

Invariably, there is a handshake between our MS NAV system and investment solution which helps to create the unitization process and generation of fund price.
