What is our primary use case?

We have an accounts payable use case, and we also have an HR use case. We store all of our documents for HR and accounts payable. OpenText Documentum helps us organize and keep everything in one place we can trust. With the new versions, people can't share or download them whenever they want to.

How has it helped my organization?

OpenText Documentum has tremendously improved our organization by organizing it and keeping people accountable.

What is most valuable?

The most valuable feature of OpenText Documentum is the versioning.

What needs improvement?

OpenText Documentum's user interface could be improved a little bit.

I would love to see OpenText Documentum having an out-of-the-box integration with DocuSign.

We use OpenText Documentum's integration points with the leading business application, Salesforce.

The integration of OpenText Documentum with Salesforce is very important to make sure we have it all in one place, and it's all synced.

It would be nice if the configurability of OpenText Documentum were faster, but it is good overall.

OpenText Documentum has helped boost productivity within our organization. Earlier, we had to track each person down to ensure they had the most recent document, which was time-consuming for HR. The solution has ensured that whatever we have is the most recent version, and that's what we have to worry about.

What is our primary use case?

We are a pharmaceutical company. We use it for quality documentation, validation, clinical, regulatory, and lots of different things.

How has it helped my organization?

We use the Life Sciences package. We are in 120 different countries with lots of products, and this is what we run our documentation on.

By implementing Documentum, we moved off paper 25 years ago.

We have various APIs connected to our documented environment. It is connected to many other things. I only have a portion of that. This integration is extremely important for us.

We find Documentum adequate in terms of configurability to make the solution available to our users.

Documentum has helped boost our productivity to some extent. We have an international distribution of content and accessibility around the globe. There is 24/7 access.

Documentum has helped simplify and accelerate our modernization journey. We implemented it as a part of Y2K. That is how long we have been running it.

What is most valuable?

We like Documentum for its capacity and reliability. Documentum is pretty solid in terms of security protection.

What needs improvement?

We mostly use the Life Sciences package. That package is somewhat dated. There should be enhancements to the Life Science package and additional offerings to support pharma in particular.

For how long have I used the solution?

I have been using OpenText Documentum since it was acquired. The buyout was in 2018 or something like that, but we have been running Documentum before EMC owned Documentum. It has been 25 years.

What do I think about the stability of the solution?

We have been using it for generations, and it is fabulous.

What do I think about the scalability of the solution?

For the volume and distribution model, it is quite scalable. Integration with other applications is less than IDR.

How are customer service and support?

OpenText's support has been pretty solid. I cannot always say that about the history of Documentum, but since it moved to OpenText, we have got pretty solid, reliable, and timely upgrades and support. I would rate their support a good solid eight out of ten. There is room for improvement, but they are quite reliable.

Which solution did I use previously and why did I switch?

We had a myriad of different things. Most of them have not been on the market for generations. The reason for switching to Documentum was modernization.

By implementing Documentum, we wanted to address the challenges of integration and API connectivity with other applications, optimizations and enhancements for the additional platform, and future plans for the platform. Is it going to be fully incorporated into Extended ECM, or is it going to become something else? We wanted to ensure ongoing long-term support for the product and AI compatibility.

How was the initial setup?

We have done so many upgrades and updates. We have run the full gambit of extremely easy and extremely difficult. We also grow through acquisitions and mergers. When you have to roll over systems and migrate data from other systems, and you have a catalog with 20,000 things or applications, millions of documents, and terabytes of data, you can have everything that you can imagine, from easy to the most complicated.

Our implementation strategy is by project. There is no one broad stroke you can paint it with. Whether it is a clinical, quality, or regulatory migration or an integration or connectivity to another system, it is a unique task.

What about the implementation team?

We have used product services related to Documentum. We use third parties and homegrown internal resources depending on the project.

What was our ROI?

We have to have something. There is really no choice in our industry. It is highly regulated around the globe, and there are many different regulations to comply with, so we have to have something. Documentum has been our choice for many years.

What's my experience with pricing, setup cost, and licensing?

It falls in line with a lot of things that are out there on the market. There is nothing extraordinary in terms of great or bad.

Which other solutions did I evaluate?

We evaluate other options as our regular business plan. We do not always assume we are upgrading what we have. As a business process, we always look at what we have versus what is available in the market. The main differences between Documentum and others are the compatibility with other systems and tailored solutions for our industry. Sometimes, it is language compatibility and things of that nature for actual human language, not computer language.

What other advice do I have?

Overall, I would rate Documentum a solid eight out of ten.

I recommended OpenText Documentum to a client I worked with because it's excellent for handling transactional document management. The client had a terabyte of structured or transactional data, and Documentum was well-suited for managing it.

If you're using another product for transactional document management, such as a mortgage application system, and you have a high volume of documents (e.g., a million mortgage applications resulting in ten million documents), you should consider switching to OpenText Documentum instead of relying on systems like SharePoint or other office management tools. Documentum is designed to handle large-scale document management needs more efficiently

It can be somewhat cumbersome for the operations team since it’s not a cloud instance but hosted in a data center. However, when compared to other data center products, the overhead would likely be similar.

I'm a developer, so I use OpenText Documentum to customize the user interface and the back end. We use OpenText Documentum to automate the storage of metadata and content.

How has it helped my organization?

Before OpenText Documentum, many manual processes were implemented in our organization. Using OpenText Documentum, we've been able to automate a lot of the business processes.

What is most valuable?

The storage of metadata content, workflows, and lifecycles are the most valuable features of OpenText Documentum.

OpenText Documentum has a lot of scope for improvement in terms of adding some AI integrations. A lot more can be done in terms of workflows. There haven't been a lot of new features for OpenText Documentum workflows in the past few years.

The solution's technical support has been good. I opened a few cases with them for issues I came across and got a good response from the support team. I rate the solution’s technical support a seven or eight out of ten.

The older versions of OpenText Documentum were more complex to deploy, but the newer version is more straightforward.

What about the implementation team?

Our implementation strategy was a monkey content server deployment with two repositories and two separate accounts. We used a vendor to help us with the solution's deployment.

What's my experience with pricing, setup cost, and licensing?

OpenText Documentum has announced a new licensing model, which could be more expensive. We have a perpetual license, and I will see how that will work with the new licensing model.

What other advice do I have?

I think security's been pretty good with OpenText Documentum.

Currently, we are on an older product, and we are about to start a migration. I think the configurability should be much more improved with that.

OpenText Documentum has helped boost productivity within our organization. By automating a lot of business processes with workflows, we've been able to improve productivity.

OpenText Documentum has definitely helped simplify or accelerate our modernization journey.

We use Documentum mainly for organizing and managing digital documentation, especially after the pandemic shifted us away from manual procedures. It is crucial to ensure that sensitive and confidential documents, like agreements and MOUs, are securely accessible only to authorized users.

Using Documentum has brought several benefits, particularly in streamlining document management and making it trackable. The implementation of Documentum took around three months. Installation and configuration were quick, but fine-tuning and data migration required time. We followed a structured process, including role definition and data import. Transitioning users and managing duplicate data were challenges. We ensured departmental segregation and enforced read-only access to old data to facilitate the transition.

What other advice do I have?

Documentum's collaboration tools have significantly improved our project outcomes by streamlining document access and enforcing naming conventions. Users find documents faster and adhere to predefined naming policies, ensuring easier backup and restoration processes. Proper indexing enhances document organization and retrieval, contributing to overall project efficiency and compliance with company policies.

We have faced significant challenges integrating Documentum with other systems, particularly ERP systems. To overcome this, we have initially kept Documentum as a standalone solution, avoiding complex integrations. We focus on simple drag-and-drop functionalities for document management. While we plan to integrate with ERP systems in the future, for now, we prioritize simplicity and stability.

Overall, I would rate OpenText Documentum as a seven out of ten.

What is our primary use case?

We help customers utilize the engineering information that is stored in Documentum more effectively. I demonstrate this system and our solution integrated into Documentum to show how that could help the customers access their information more readily. 

How has it helped my organization?

Implementing Documentum provides a more structured and reliable way of managing and accessing documentation.

Documentum has given us a whole new infrastructure of people that we can sell our solution to. The user base is quite considerable.

We have integrated Documentum with IBM Maximo and SAP. We work alongside all these systems and bring them together from the engineering point of view. We work with AutoCAD. We work with PDFs as well, which is more of a format than a system. These integrations are what our customers are looking for, and this is what we help them do more effectively.

Documentum is very adaptable. We were able to port our solution across other platforms, such as Content Suite and XECM, because of the open nature of Documentum. It allows us to do that.

We have enabled our customers to be able to access their engineering drawings more effectively, which led to more sales for our company and allowed us to be more successful.

Documentum certainly facilitates our customers achieving their digital transformation. What they are looking to do is to make their engineering information more accessible. Documentum in conjunction with our solution allows them to do exactly that.

What is most valuable?

It is very comprehensive in terms of security protection. It is a very secure system. It is reliable, and that is one of the reasons people manage their content within Documentum. It gives them the confidence that the content is accessible to the right people and not to the wrong people.

Documentum is a very robust system. Everything can be improved, but at this time, I do not have anything in particular. If anything, they can put our software in their standard.

I have been using Documentum for three years.

It is very stable. Some of the customers have been using it even for decades. We certainly have come across a lot of long-term customers who are committed to it as their system, and they have no intention of changing it because it is so stable.

What do I think about the scalability of the solution?

It is scalable. Particularly with the integration that OpenText now gives to the SAP and IBM Maximo systems through their XECM platform, it is definitely scalable. In the industries we work with, it works with the applications that people need to work with.

How are customer service and support?

Documentum's support is very good. They are very knowledgeable. I would rate them a seven out of ten.

We still use other solutions. We have not replaced them. We have enhanced our solution to work with an additional platform, so we have grown rather than replacing them.

My company was involved in the initial setup. Nothing is ever as straightforward as we would like it to be, but it was successful. We came in on time and on budget, and that is our meter for success.

I have seen an ROI but only in connection with our solution, not Documentum. The ROI is in terms of reliability and consistency of people being able to find the information in a timely manner as compared to what they were able to do or were not able to do prior to the system being deployed.

The tool's deployment was not complicated or straightforward. 

What other advice do I have?

We encountered challenges in the limitation of design and flexibility. High-volume delivery was also a bottleneck for us. Hence, we moved to OpenText Documentum. 

We ran the product on in-house and on-prem servers, which were secure. We never ran it on OpenText Documentum's server. 

The solution is on par with any company maintaining security. I believe they will own up to the risks if anything goes wrong. 

I have used SmartCOMM, which has OpenText Documentum's similar features. SmartCOMM has a seamless interface, and OpenText Documentum can replicate it. 

I rate the product a five out of ten.
