Makes it easier and quicker for us to create insightful visualisations
Pros and Cons
  • "The integration interface is very easy to use and allows you to directly connect to a variety of APIs."
  • "It would be great to have more user input fields which can be used on dashboards."

What is our primary use case?

We use Zoho Reports for process, organisational analysis, and improvement. This means bringing in different data related to an organisational process and structure, including roles, responsibilities, systems, data, etc. We use the visualisations to identify trends and outliers in the data which helps us to find improvement opportunities.

How has it helped my organization?

Zoho Reports makes it easier and quicker for us to create insightful visualisations. It is much easier than downloading the data, then wrestling with Excel. The interactive visualisations can be shared very easily with colleagues and customers. It has made things easier and allowed us to deliver more value to our customers.

What is most valuable?

The report builder is very simple to use, and is one of the most intuitive that I have used. It is not as comprehensive as some, especially the more expensive tools, but that is the beauty of it; the simplicity. The integration interface is very easy to use and allows you to directly connect to a variety of APIs.

What needs improvement?

It would be great to have more user input fields which can be used on dashboards. For example, variables or sliders that can be used to change assumptions which have been made in the analysis.

Some more graphical options would also be great.

For how long have I used the solution?

One to three years.

What do I think about the stability of the solution?

We have seen a couple of bugs, but they were resolved very quickly. We found information on the bugs in the support portal.

What do I think about the scalability of the solution?

Our usage is fairly limited in terms of the amount of data that we use.

How are customer service and support?

There is a good support portal. Questions are answered quickly. Their team is happy to jump on a WebEx to help you out, if necessary,

Which solution did I use previously and why did I switch?

I have used TIBCO Spotfire and Qlik Sense in the past. Both are great tools, but cost was the main factor, and Zoho Reports did everything that we needed.

How was the initial setup?

The initial setup is very simple. Although, if you need to do more than the most basic reports, then a knowledge of SQL is useful.

What about the implementation team?

We implemented using an internal team.

What was our ROI?

An exact ROI is hard to calculate. However, we have definitely made sales that would have been much harder, or unlikely, as a result of the speed with which we were able to prepare comprehensive analysis.

What's my experience with pricing, setup cost, and licensing?

I would recommend looking at your usage and whether the Zoho One license model would work for your organisation. It is very cost effective if you use other Zoho tools.

Which other solutions did I evaluate?

Only previous used tools and MS Excel.

What other advice do I have?

Setting it up is pretty easy.

Zoho Reports let us collect important information without traveling or sending big e-mails.

Valuable Features:

Dashboards and pivot tables.

Improvements to My Organization:

We are a hotel chain. There are seven hotels all over the country and Zoho Reports let us collect important information without traveling or sending big e-mails.

Room for Improvement:

Delete and copy cells. I would let the users delete and copy as many cells as they want. It is absolutely uncomfortable for me to do it one by one.

Use of Solution:

Five months.

Initial Setup:

It was not complex, I think the videos help a lot.

I chose Zoho Reports because of the interface, the features it offered and for handling huge volumes of data.

Before Zoho Reports, we were using a combination of a proprietary system and Microsoft Access for all our reporting needs. The system started showing strains, as the data kept on growing closer to 100 million rows. Also, using this system meant the Business Analytics department needed lots of development hours to generate the reports each month. Making these reports reach the intended users in a user-friendly fashion was a big challenge too, as there was no easy way to share the reports, other than generating user-specific reports and emailing them as attachments.

We used our proprietary systems as well as Microsoft Access, for our reporting needs. Our proprietary systems are very complex and require development hours for reporting. Our intention is to get more data to our users in a user-friendly environment for filtering, etc. We had simply outgrown this system (the reporting we conduct on Microsoft Access, in conjunction with our proprietary system) both for transaction level, as well as the number of employees who need to be engaged in reporting.

I started collecting recommendations from others and researched online for alternative solutions to their current reporting environment. I chose Zoho Reports because of the interface and the robust features it offered, for handling the huge volumes of data quickly and efficiently. Zoho Reports also allowed me to carry out quick and efficient changes of data and reports, through the GUI.

We are currently using Zoho Reports for our financial partners who need user-friendly access to large volumes of data. We now have around 100 million rows of data in Zoho Reports, and the number of rows are growing every month. And we are building out the infrastructure needed to support more robust weekly, monthly, quarterly, and annual reporting, as well as ad hoc reporting for our corporate level analysis, sales contests, and our franchise system reporting as a whole.

The ability to produce pivot tables and the integrated SQL functions have been of great value.

What is most valuable?

The ability to produce pivot tables and the integrated SQL functions have been of great value in producing insightful reports and graphs. The integration with other Zoho products is also quite valuable as it will allow Zoho Reports to serve our reporting needs as we continue to grow.

How has it helped my organization?

We were able to create reports in Zoho Reports to monitor the conversion rate for the samples we were sending out. This allows us to monitor the conversion rate and set targets for our sales team, who, due to the embedding functions of Zoho, are able to see them at any time. This has given our sales team direct motivation, allowing us to reach new sales milestones.

What needs improvement?

The ability to copy a full database is lacking, making it difficult to create test environments. The SQL editor could also use some tweaks, as it is currently difficult to debug large queries without having to copy the text into a text editor to get line and column numbers.

For how long have I used the solution?

4 months.

What do I think about the stability of the solution?

There has been a single instance of Zoho being inaccessible in the time I have used it, but the downtime was minimal (a few minutes).

How are customer service and technical support?

Customer Service:

Customer service is a 4/5. They will answer your questions quickly, and generally provide helpful answers.

Technical Support:

Technical support is a 3/5. They will frequently link to documentation as part of their answers, but I have found some of their responses to not agree with documentation, leading to confusion.

Which solution did I use previously and why did I switch?

We were previously using Caspio as a cloud based database, but it had limited reporting functions. It was not possible to do SQL queries, or pivot tables, greatly limiting the capabilities of the database as a reporting tool.

How was the initial setup?

The initial setup was quite straightforward for Zoho reports on its own. If you already have databases, or excel files, just upload, and the appropriate tables will be created. For creating reports, they use a drag and drop system that is intuitive and easy to use.

What about the implementation team?

Zoho Reports was implemented in house. With only basic IT knowledge, it is easy to create the necessary reports and tables. Knowledge of API programming is an asset when integrating Zoho Report with other applications.

What's my experience with pricing, setup cost, and licensing?

The original setup costs only exist in that of time used to setup all the reports/tables. There are no up front fee, and Zoho charges on a monthly basis proportional to the chosen package and number of users. Packages start at a few dollars a month per user.

What other advice do I have?

When considering Zoho Reports, make sure to consider the whole Zoho family of products. Zoho has been introducing new products, and has a large variety of different business applications (CRM, accounting, mail). Many of these can link directly to Zoho Reports and create some great reports to help your business to prosper.

Zoho Reports allows us to spend more time analyzing data and less time manipulating it.

What is most valuable?

Automates complex reporting (pivot tables, charts, etc.). We used to have all the same reporting features- BUT- we had to produce the results manually using Excel spreadsheets so they were insanely labor intensive. Zoho Reports allows us to spend more time analyzing data and less time manipulating it.

How has it helped my organization?

It used to be that Report-generating was silo'ed to staff members with specific technical skills. Now, a much greater number of managers can understand the drag/drop interface of Zoho Reports and can benefit from reviewing the data. This has greatly improved the adoption of data-driven decision-making in our SMB.

What needs improvement?

No suggestions. However we do not like proposed UI changes and find that in general as a vendor Zoho is rather unresponsive to feedback from its customers.

For how long have I used the solution?

1-2 years.

What was my experience with deployment of the solution?

No.

What do I think about the stability of the solution?

No.

What do I think about the scalability of the solution?

No.

How are customer service and technical support?

Customer Service:

8/10.

Technical Support:

8/10.

Which solution did I use previously and why did I switch?

We used default reporting features in the core Zoho CRM product, which are infantile in comparison to what Zoho Reports offers.

How was the initial setup?

Straightforward - however, advanced features are not documented anywhere and so hard to use. I had to force tech support to walk me through a few advanced formulas. Once I understood them, I was fine, however that step could have been saved if they had better walkthroughs on their website.

What about the implementation team?

In-house.

What was our ROI?

We don't measure it. For $50/mo we are saving dozens of hours of staff-time and making better decisions. That's pretty good.

What's my experience with pricing, setup cost, and licensing?

$50/mo flat fee.

What other advice do I have?

We have not tried it with our own data pools but it works well when combined with data from Zoho's other products.

The ability to create summary views with multiple filters that could be manipulated was very helpful.

What is most valuable?

There were some small things that were a challenge to learn (e.g. accessing data sets to make charts with once they were uploaded), however overall the product was fairly easy to use.

Being able to work on data sets and charts with multiple people, as well organize data into separate folders were both helpful features for working with a team. The ability to create summary views with multiple filters that could be manipulated was also very helpful for making data easy to retrieve and communicate to others.

How has it helped my organization?

This product was used to create a Capacity Report, with most of the work being done by people with limited data experience (or whose experiences were from long ago). Unlike other data programs, Zoho was fairly intuitive and allowed us to get started on our work with minimal training. It also allowed us to keep large amounts of data organized and retrievable once we were ready to write the report.

What needs improvement?

I remember that cleaning up data was a challenge, and on several occasions we had to upload data sets again after making changes in another program. The pivot tables also took little bit of time to get used to, particularly when choosing which variable to put where and which functions to apply. One feature I wish Zoho has was a tool to determine statistical significance, which would have made analyzing data easier, although I think this is outside what the program is intended for.

For how long have I used the solution?

From May 2014 to August 2014.

How are customer service and technical support?

Customer Service:

I don't remember even needing to use customer service so I cannot comment here.

Technical Support:

Zoho had a lot of great tutorials to get us started right away without going through lengthy written out "how to" guides online. The language used in these videos was not super specialized and could be understood by someone with minimum data experience.

Which solution did I use previously and why did I switch?

We did not work seriously with another solution prior to choosing Zoho.

How was the initial setup?

The initial setup needed to start working with a data set took some time, but challenges encountered never seemed insurmountable given the resources provided by Zoho. For example, learning how to manipulate data in different kinds of tables took some time but with after playing around some with the different options, it was easy to get the program to do what we needed it to do.

What about the implementation team?

I am not entirely sure but I am fairly sure we did not use a vendor.

What's my experience with pricing, setup cost, and licensing?

I am fairly sure we purchased the $50 per month standard option.

Which other solutions did I evaluate?

In addition to Zoho, we also considered using Google Fusion tables, SPSS, and Crystal Reports. (I know, these are all very different kinds of data programs, but we were still figuring out our needs!) Unfortunately, the charts on Fusion tables were not as user-friendly Zoho's and we could not upload enough cases for our needs. SPSS was out of our price range and required too much training and know-how. I honestly can't remember the exact reason we did not use Crystal Report.

What other advice do I have?

I imagine that someone who is much more data-literate than myself would find this product limiting. However for someone with little data experience this was a convenient solution with many user- friendly features and options for sharing data among team members and making data accessible and communicable.
