One Identity Manager Primary Use Case

Neha Chhangani - PeerSpot reviewer
Neha Chhangani
Business Analyst at a tech vendor with 10,001+ employees

Our main use case for One Identity Manager is centralized identity life cycle management. We use it to automate user provisioning and de-provisioning across multiple applications and systems based on roles, departments, and the joiner, mover, leaver process. It helps ensure that users get the right access at the right time, reduces manual intervention from the IT team, and improves compliance by maintaining consistent access policy. We also rely on it for role-based access control, approvals, and audit reporting, which makes access reviews and compliance audits much easier to manage.

When a new employee joins, their details are created in the HR system which triggers One Identity Manager automatically. Based on the employee's role, department, and location, One Identity Manager provisions access to required systems such as Active Directory, email, VPN, and business applications. The access goes through predefined approval workflows so everything is controlled and auditable. Similarly, when an employee leaves, One Identity Manager immediately de-provisions all access across systems, including disabling accounts and revoking application permissions. This has helped us eliminate manual steps, reduce delays, and significantly lower the risk of orphaned accounts while keeping our access management fully centralized and compliant.

Beyond onboarding and offboarding, One Identity Manager has become a part of our daily operational workflow. IT teams use it to handle access requests, role changes, and periodic access reviews through automated approval processes instead of manual emails or tickets. Managers can request or approve access directly within the system, and employees get the permission they need much faster. It also helps us maintain continuous compliance since all access changes are logged and easy to audit. Overall, it reduces the repetitive admin work and lets the team focus more on strategic tasks rather than routine account management.

My main use case for One Identity Manager is that I mostly use it as a comprehensive identity lifecycle automation platform, where the platform provides extensive automation for users provisioning, de-provisioning, and access modification across connected systems. My organization is able to establish workflows that automatically grant, modify, or revoke access based on role changes, organizational transfers, or employment status updates. This has been very beneficial because it has reduced manual administrative overhead, thereby minimizing security risks associated with orphaned accounts or excessive permissions.

It has also been a time-saver and cost reduction tool. The automation capability extends across both on-premises and cloud apps, supporting both our hybrid and on-premises IT environments.

A specific example where this automation made a significant difference in my day-to-day work and for my team is that it has enabled my IT department to efficiently manage complex hybrid infrastructure while ensuring that the right users have the appropriate access to critical data assets at the right time.

I have a role with Manulife for One Identity Manager Safeguard authentication, and I receive incidents or problems from the clients. I try to understand them and troubleshoot when possible, but in most cases, I submit a service call with One Identity Manager.

One Identity Manager SAS Safeguard Authentication has too many updates and change of revisions. Very soon the product that I have installed is not supported, meaning it's still functional and we can work with it, but if I have an incident, it's not responded to. Currently they are at version 6.01 and only the latest versions starting with 5.40 and 6.01, 6.1 are still supported. I have more than about 1,000 servers with One Identity Manager SAS product and if I don't upgrade all of them, then I am not supported. This is one challenge that I have faced with this product, and the last update was in less than six months.

I configured One Identity Manager's Sync Manager tool and connected using that tool. One Identity Manager synced the data from different platforms, after which we arranged access management through access request forms. We defined workflows and policies based on these requests and created reports using Report Editor.

Business roles represent one of the important use cases I worked with. When you have a workflow, there should be approval policies in place. For example, if certain reports or functionalities should only be visible to the HR department, we define business roles and give access to those particular people. This allows us to segregate the duties of different teams and departments, providing particular access to each department.

One Identity Manager was utilized to achieve what was called an identity-centric zero trust model, which was built by an One Identity partner. The concept involves not trusting anyone and validating everyone who comes to the tool. We implemented something around this, although I was not heavily involved in that particular aspect.

I work in the operations part with One Identity Manager, specifically with incident management. On a day-to-day basis, I work with the Manager, Object Browser, Job Queue, and Designer and web designer. These are the most commonly used tools. My work involves administrative tasks such as provisioning, de-provisioning, and ILC.

Currently, I use One Identity Manager on demand. I have seen many companies, and even after joining my current company, I can observe calls from different projects where everyone is using One Identity Manager as an IGA solution. I can see it has good demand in the market. However, I could say it is about 50/50 because many people are preferring cloud solutions nowadays.

It is mainly an identity governance tool. It is being used to collect, for example, any new employee records or employee records in general from HR systems, such as Oracle, SAP, and Workday, and then push it downstream for systems such as Active Directory, Exchange, etc. This is the main functionality of it.

The other functionality for it is to have a request platform, such as a web portal, for requests for access, approval, and user-based grants and reviews.

The use cases for One Identity Manager include multiple aspects of identity and access management. One of the most interesting features I wanted to utilize was the user's access review, UAR module. The idea was to create a quarterly review process to review the entitlements and the access and controls in place, initially targeted towards Active Directory and later extended to other local systems. One Identity Manager can connect SAP accounts to employee identities under governance. It is possible to map company structures for application provisioning through dynamic application provisioning using role-based access control. Mapping roles to users is a seamless experience that offers a lot of leverage in terms of speed and compliance, making it a very useful feature.

One Identity Manager's main value to my organization is its flexibility and depth of customization, as it seamlessly integrates with a wide range of on-premises and cloud systems and supports strong automation for joiner, mover, and leaver processes. The automation features I use help to reduce manual effort, improve consistency, and strengthen our overall security posture. I also appreciate the reporting and auditing tools, which are particularly strong, provide clear visibility into access rights, and support compliance initiatives.

A specific example of how I use the automation features and reporting tools in my day-to-day work is through configurable workflows that reduce manual effort, improve efficiency, and ensure consistency in access management processes. One Identity Manager provides detailed reports and dashboards for visibility into identities, access rights, and compliance status.

My use cases for One Identity Manager are mainly related to JML processes, Joiner Mover Leaver processes, similar to other standard IAM systems. I see that since One Identity Manager provides an on-premises setup, it is selling more in the market compared to One Identity Manager cloud solution, which I observe is rarely used.

The use cases we see often require segregation of duties, especially within the SAP module, which One Identity Manager handles well, allowing for compliance rules and multi-step approval workflows for critical roles.

I did use it for managing SAP and had a good experience overall, but there were instances when roles did not get assigned and I had to troubleshoot rigorously. My experience was not completely flawless, especially during audits where certain roles were missing or were unexplainable.

Managing profiles in SAP is not an issue, but synchronization of derived roles has been problematic.

I mainly use One Identity Manager for resolving incidents and other tasks, working as both a manager and sometimes as a designer.

We are using One Identity Manager for IGA only, managing the data and identities.

We make use of One Identity Manager's business rules to map company structures for dynamic application provisioning. For the client I'm using, they have multiple business and system rules, so it's going well with a proper structure of business role entitlement and everything.

We are using One Identity Manager for Cloud Azure, but I'm not part of that team as of now.

One Identity Manager helps to minimize gaps in governance coverage among test, dev, and production servers through the CI/CD pipeline, making it easy to migrate the data and development across different environments.

Minimizing these gaps has affected my operations by making it fast. If we automate this process through deployment, then it's very fast.

We are using a DevOps model for One Identity Manager, specifically through CI/CD.

One Identity Manager has helped me achieve an identity-centric zero-trust model because all data related to identity can be seen on the Object Browser, with role and entitlement assigned to that identity along with other relevant details. It's a very good thing as we can view everything about that identity on one page, making it a good approach.

One Identity Manager serves my primary use case based on business team requirements, focusing on identity creation, business roles, end-to-end identity creation, JMLs (Joiner, Mover, Leavers), product entitlements uploading, provisioning, reconciliation, synchronization, attestations, and end-to-end product management. The solution handles identity lifecycle management and product lifecycle management through end-to-end testing of a product's provisioning, de-provisioning, and auditing purposes.

The implementation depends on business requirements. For example, with RSA as an application integration, One Identity Manager Web Shop is used for requesting user accounts and entitlements. The request goes through an approval workflow that selects appropriate approvers. Once I log into One Identity Manager Web Shop as an approver, I approve the request, and it proceeds to workflow completion. Upon completion, provisioning is triggered to the target systems. Since the system uses cloud infrastructure and CSM target systems, it goes through One Identity Manager Cloud and Starling Connect, ultimately reaching the RSA target system to validate that the user account is provisioned. Once the user has an account, entitlements can be ordered for that user as well.

One Identity Manager has been integrated and in use for two years. The primary focus is on integrating One Identity Manager for other customers, particularly mid-sized financial institutions. The implementation targets unifying user access across internal applications, cloud platforms, and third-party partner systems.

While specific details cannot be shared due to NDA agreements, one organization had multiple identity systems: one for internal employees, one for external employees such as contractors, and another for partners. This fragmentation caused inconsistent access, security vulnerabilities, and slow onboarding and offboarding processes. One Identity Manager was implemented to consolidate these systems, resulting in significantly faster operations.

We use Identity Manager for several things, such as automating our XML process, user provisioning and reprovisioning, and governance-related activities like access reviews and degradation of duties.

Identity Manager sits at the center of the organization. We integrate our systems, like Workday, into other HR systems for employees and contractors. If there are any vendors and customer-related identities, we feed the data from those systems into One Identity. One Identity Manager is configured to the initial access established when someone joins the organization, such as email, Active Directory, desktop logins, timesheets, and common apps that everybody in the organization requires.

We also have request systems in ServiceNow integrated with One Identity Manager on the back end. The request tool goes through ServiceNow, and One Identity creates a notification that a user has requested access to an application. Identity Manager will provision those users on those systems. Some requests are automated and others are semi-automated. When a ticket is opened in ServiceNow, the team will pick up the ticket and work on it. Once they do that, an update comes into the IDM system saying that this user has been granted this access. One Identity Manager is the central book of records or identities and their access levels.

One Identity Manager is an identity governance and management tool. Our customers have defined policies based on their infrastructure but not an intelligent centralized system that handles all the application and user information. When a user requests access to an application, we're the first ones to get that info and perform corporate operations like onboarding and offboarding. We also provide the necessary access.

We manage about 200,000 users. A bank is one of our biggest clients, so managing their systems is a little more complex. They have multiple streams, making it somewhat complicated.

One Identity is used to create, sync, and delete accounts automatically across multiple systems. The product allows employees to be managed from our Human Resources system, while consultants and temporary personnel can be managed manually. The system provides automated workflows and birthright assignments for easier management of similar accounts or those in the same department or role.

With the system synchronized with our HR database, new account creations are automated and include an email to managers providing users with their credentials for initial login. Only the hiring manager will receive a copy of the initial username and password, helping further secure this information and have it readily available before the employee begins.

Like any other identity manager product, the best use cases for One Identity Manager are where you need to use a lot of business logic, and you'll have to configure the processes the way the business wants. In my opinion, One Identity Manager is the best product for business logic and administration. The solution is pretty scalable and can be used in finance, health care, and higher education. One Identity Manager would help if you have an SAP in your environment. It's a top product related to active directory and integration.

The purpose of One Identity Manager is to implement identity and access management tools. For on-premises use, we must connect various target systems and trusted sources with the central identity and access management tools. This involves integrating Workday or other HR management systems with One Identity Manager and linking authentication sources, such as Active Directory or Azure AD, with One Identity Manager. Additionally, One Identity Manager has a specialized connector library for SAP solutions.

This solution can be deployed on the cloud and on-premise.

Currently, we are using the One Identity Manager solution for user feeding from the HR database to target systems such as Microsoft Active Directory, Microsoft Exchange, and other protocols and servers. In our organization, One Identity's main use case is user feeding, user onboarding, and user offboarding.

We have created job flows for users, and One Identity listens to our HR database to see if there are any changes. It detects any changes and then synchronizes with the target systems or feeds the target systems. We have created a custom workflow based on our organization's requirements, and then we are managing our users with One Identity.

One Identity has a single sign-on solution. If you want to use single sign-on or auth providers in your organization, you can use it, but currently, we are not using it for the single sign-on features. We are using it for privileged accounts. We have created custom rule sets for access reviews, attestation, etc. We have also created flows for the segregation of duties and job rotations. We are handling these operations or regulations with One Identity.

We are completely working with an on-prem solution. As per Turkish financial regulations, we can't use cloud services for financial services. That's why we didn't test any scenarios related to the cloud and any software on the cloud. We are currently using its latest version.

The appliances we use for this solution are VMs. We went with that version because we're forced to. We're not allowed to use physical hardware. Our infrastructure group requires us to use VMs.
