Identity Manager by One Identity Primary Use Case
Our main use case for One Identity Manager is centralized identity life cycle management. We use it to automate user provisioning and de-provisioning across multiple applications and systems based on roles, departments, and the joiner, mover, leaver process. It helps ensure that users get the right access at the right time, reduces manual intervention from the IT team, and improves compliance by maintaining consistent access policy. We also rely on it for role-based access control, approvals, and audit reporting, which makes access reviews and compliance audits much easier to manage.
When a new employee joins, their details are created in the HR system which triggers One Identity Manager automatically. Based on the employee's role, department, and location, One Identity Manager provisions access to required systems such as Active Directory, email, VPN, and business applications. The access goes through predefined approval workflows so everything is controlled and auditable. Similarly, when an employee leaves, One Identity Manager immediately de-provisions all access across systems, including disabling accounts and revoking application permissions. This has helped us eliminate manual steps, reduce delays, and significantly lower the risk of orphaned accounts while keeping our access management fully centralized and compliant.
Beyond onboarding and offboarding, One Identity Manager has become a part of our daily operational workflow. IT teams use it to handle access requests, role changes, and periodic access reviews through automated approval processes instead of manual emails or tickets. Managers can request or approve access directly within the system, and employees get the permission they need much faster. It also helps us maintain continuous compliance since all access changes are logged and easy to audit. Overall, it reduces the repetitive admin work and lets the team focus more on strategic tasks rather than routine account management.

My main use case for One Identity Manager is user life cycle management, which includes creating, modifying, disabling, and deleting accounts automatically. Day-to-day, I work on a variety of tasks, including compliance reporting, generating reports for clarification, and assisting with auditor reviews. I also monitor synchronized jobs and troubleshoot provisioning tasks, update roles and policies, run reports and audits, handle onboarding and access requests, manage the identity lifecycle with automatic provisioning, synchronize monitoring of access, approve requests, manage roles, troubleshoot provisioning issues, and maintain compliance workflows.
One important aspect of our use case is leveraging the automation and integration efficiency of One Identity Manager. In many organizations, the platform becomes the central identity governance system. It connects various systems like HR, Active Directory, cloud platforms, and email systems for business compliance. An additional key point is our focus on automation to reduce manual tasks. This includes automated account management, where we use automated onboarding and off-boarding workflows, which reduces the manual effort for account management. We also implement role-based access management (RBAC), manage access through business roles and departments instead of assigning permissions to individual users, and use scripting and Designer templates for customization, including process and SQL scripts, to create custom workflow policies. Additionally, we manage both on-premises and cloud identities from a single platform. In summary, my main use of One Identity Manager is for centralized identity lifecycle management and automated provisioning. I regularly work with synchronization monitoring, RBAC, approval workflows, troubleshooting provisioning issues, and compliance-related tasks. I also focus on improving automation and maintaining secure, policy-based access management across all connected systems.

One Identity Manager is used primarily for Identity Lifecycle Management, handling user onboarding, role change, and offboarding across different systems. The goal was to avoid extensive manual access provisioning work because managing access has become difficult when employees move between teams or leave the organization. A significant benefit is having more centralized visibility over who has access to what, but one practical challenge is that integrating older or custom applications is not always straightforward. Some systems connect easily, while others still need custom workflow or extra effort from the team.
Before using One Identity Manager, the user onboarding and offboarding process was much more manual and involved coordination across different teams. For onboarding, HR would usually share new employee details, then IT or system admin had to create accounts in different applications, assign access, and ensure the right permissions were given. Much of it relied on emails, tickets, and spreadsheets. Offboarding had similar challenges. When someone left the company, access needed to be removed across multiple systems, and there was always a dependency on people remembering every application involved. The biggest concern was not usually creating accounts; it was ensuring that access was fully removed from everywhere.

Regarding disconnected SAP accounts, One Identity Manager reads all objects into the system and makes the mapping. From the One Identity Manager database, you can easily find which objects are active and not connected to the right identities. You can make a good analysis, but you need to understand the whole data structure behind it.

I am a customer of this solution. I am supporting One Identity Manager, and every issue related to onboarding users is managed through the tool. Every issue that end users have is supported inside the tool, including the JML process and onboarding on systems. Everything is related to identity management.

Very soon the product that I have installed is not supported, meaning it's still functional and we can work with it, but if I have an incident, it's not responded to. Currently they are at version 6.01 and only the latest versions starting with 5.40 and 6.01, 6.1 are still supported. I have more than about 1,000 servers with One Identity Manager SAS product and if I don't upgrade all of them, then I am not supported. This is one challenge that I have faced with this product, and the last update was in less than six months.

One Identity Manager serves as our main platform for identity governance and lifecycle management, especially automating user provisioning, role-based access control, and ensuring compliance through access reviews and audit reporting.
We use One Identity Manager to automatically provision access when a new employee joins. Once HR creates a user record, the system assigns roles and app access based on job function, and later runs periodic access reviews where managers approve or revoke permissions to keep compliance tight.
We also use One Identity Manager for access certification campaigns and role mining, which helps us regularly clean up excessive permissions and design more accurate role structures based on actual user behavior.

I use One Identity Manager to extend governance to cloud apps. It helps us in managing both on-premises and cloud apps. We have some cloud apps where we are using One Identity Manager because their administration is also required, so the system supports identity and access governance. Nowadays, this is a demand in IT environments. We manage all our cloud applications through this platform.
I do not use One Identity Manager on demand.
View full review »My main use case for Identity Manager by One Identity is identity lifecycle management. I use it to automate the complete user lifecycle, from joiner, mover, and leaver (JML) processes. Whenever a new employee joins, Identity Manager by One Identity automatically provisions the required accounts and access based on their roles. If the employee changes the department, the access is modified automatically. When the employee leaves the organization, all accounts are de-provisioned or disabled to maintain security. Apart from that, I use Identity Manager by One Identity for Active Directory integration, role-based access control (RBAC), approval workflows, access certification, and compliance reporting. It also helps me automate identity management and reduce manual effort, while ensuring users have the right access at the right time.
The typical joiner process in my organization with Identity Manager by One Identity starts when a new employee record is received from the HR system. Identity Manager by One Identity synchronizes that information and creates the identity. Based on the employee's department, location, and job role, the appropriate business roles or application roles are assigned. After that, this role automatically triggers provisioning of the required accounts, such as an Active Directory account, emails, and access to business applications. If approvals are required, the request follows the configured approval workflow. Before the provisioning starts, the job service executes the provisioning tasks and synchronizes the logs and checks to verify if it completed successfully. For a mover event, if an employee changes department, Identity Manager by One Identity recalculates the role assignment. Access that is no longer required is removed, and the new permissions are provisioned automatically based on the updated role. It helps ensure they always have the correct level of access while reducing the effort.
View full review »I configured One Identity Manager's Sync Manager tool and connected using that tool. One Identity Manager synced the data from different platforms, after which we arranged access management through access request forms. We defined workflows and policies based on these requests and created reports using Report Editor.
Business roles represent one of the important use cases I worked with. When you have a workflow, there should be approval policies in place. For example, if certain reports or functionalities should only be visible to the HR department, we define business roles and give access to those particular people. This allows us to segregate the duties of different teams and departments, providing particular access to each department.
One Identity Manager was utilized to achieve what was called an identity-centric zero trust model, which was built by an One Identity partner. The concept involves not trusting anyone and validating everyone who comes to the tool. We implemented something around this, although I was not heavily involved in that particular aspect.

An additional benefit is that it standardized the identity management process across the organization. Instead of handling access requests manually, everything follows predefined policies and approval workflows. This improves security, reduces provisioning time, minimizes human errors, and provides complete audit logs for compliance and reporting.

One Identity Manager is particularly useful for access certification and audits. Identity Manager by One Identity has been implemented for over a year, with primary use cases including identity lifecycle management, from joiner, mover, to leaver user accounts, along with automated user provisioning and de-provisioning, role-based access, particularly access request and approval workflows, followed by identity governance and compliance reporting, user certification and access review, and integration with Active Directory, Azure AD, and enterprise applications.
Identity Manager by One Identity serves multiple purposes within our organization. A specific example is during onboarding of new users to the firewall management console, where we provide provisioning details with respect to role-based access. We have a different tool with multiple features, and we distribute them based on user needs. End-users only access the UI console, while administrators have rights to modify the console or make specific changes. This approach allows us to use identity role-based access control to monitor exact activities and restrict unnecessary actions by unknown users.
The access request and approval workflows within Identity Manager by One Identity add an additional security layer for device management technologies. When guest users or management wish to access the console or configuration console, the initiation request is generated through the portal or application, and access is only granted post-approval, which has proven particularly helpful.

For example, if a user wants to access an application called Ethic, they must submit a request through One Identity Manager, and once it is approved, it goes to the concerned team so they can check on the backend and then provide access for the user.

Automated provisioning ensures that user accounts and access are provisioned automatically, with access removed or granted based on requirements, reducing manual work significantly.

I mainly use One Identity Manager for resolving incidents and other tasks, working as both a manager and sometimes as a designer.
We are using One Identity Manager for IGA only, managing the data and identities.
We make use of One Identity Manager's business rules to map company structures for dynamic application provisioning. For the client I'm using, they have multiple business and system rules, so it's going well with a proper structure of business role entitlement and everything.
We are using One Identity Manager for Cloud Azure, but I'm not part of that team as of now.
One Identity Manager helps to minimize gaps in governance coverage among test, dev, and production servers through the CI/CD pipeline, making it easy to migrate the data and development across different environments.
Minimizing these gaps has affected my operations by making it fast. If we automate this process through deployment, then it's very fast.
We are using a DevOps model for One Identity Manager, specifically through CI/CD.
One Identity Manager has helped me achieve an identity-centric zero-trust model because all data related to identity can be seen on the Object Browser, with role and entitlement assigned to that identity along with other relevant details. It's a very good thing as we can view everything about that identity on one page, making it a good approach.

We use it for automated user provisioning and de-provisioning across AD, Azure AD, and 20 plus business applications. It also handles access certifications and role management, which cut our audit prep time in half. Additionally, the workflows let us enforce SOD policies without manual checks. Our main use case is reducing identity risk and administration overhead during employee lifecycle changes.
View full review »One Identity Manager serves my primary use case based on business team requirements, focusing on identity creation, business roles, end-to-end identity creation, JMLs (Joiner, Mover, Leavers), product entitlements uploading, provisioning, reconciliation, synchronization, attestations, and end-to-end product management. The solution handles identity lifecycle management and product lifecycle management through end-to-end testing of a product's provisioning, de-provisioning, and auditing purposes.
The implementation depends on business requirements. For example, with RSA as an application integration, One Identity Manager Web Shop is used for requesting user accounts and entitlements. The request goes through an approval workflow that selects appropriate approvers. Once I log into One Identity Manager Web Shop as an approver, I approve the request, and it proceeds to workflow completion. Upon completion, provisioning is triggered to the target systems. Since the system uses cloud infrastructure and CSM target systems, it goes through One Identity Manager Cloud and Starling Connect, ultimately reaching the RSA target system to validate that the user account is provisioned. Once the user has an account, entitlements can be ordered for that user as well.

The primary focus is on integrating One Identity Manager for other customers, particularly mid-sized financial institutions. The implementation targets unifying user access across internal applications, cloud platforms, and third-party partner systems.
While specific details cannot be shared due to NDA agreements, one organization had multiple identity systems: one for internal employees, one for external employees such as contractors, and another for partners. This fragmentation caused inconsistent access, security vulnerabilities, and slow onboarding and offboarding processes. One Identity Manager was implemented to consolidate these systems, resulting in significantly faster operations.

Onboarding is easy, and the rules to make for new employees, to change a rule, or to make a new rule are also easy. When an employee changes departments or we have hired new staff, it can be done easily.

My main use case for One Identity Manager is to develop projects from the start that begin from the base installation, including employee lifecycle management such as Joiner Mover Leaver, attestation, access request, and integration with target applications such as databases and Safeguard. I also completed integration with Safeguard, HR systems such as SuccessFactors for cloud applications, and worked with Starling as well.
The integration with target applications is mainly for API applications that we configure with custom scripts to read from the APIs, then save the data either directly to the database or to CSV files. We then have a sync project to read from the CSV file so we can leverage more features from the sync project, including logs, simulation, mapping everything, and previewing the data that will be stored.

Identity Manager sits at the center of the organization. We integrate our systems, like Workday, into other HR systems for employees and contractors. If there are any vendors and customer-related identities, we feed the data from those systems into One Identity. One Identity Manager is configured to the initial access established when someone joins the organization, such as email, Active Directory, desktop logins, timesheets, and common apps that everybody in the organization requires.
We also have request systems in ServiceNow integrated with One Identity Manager on the back end. The request tool goes through ServiceNow, and One Identity creates a notification that a user has requested access to an application. Identity Manager will provision those users on those systems. Some requests are automated and others are semi-automated. When a ticket is opened in ServiceNow, the team will pick up the ticket and work on it. Once they do that, an update comes into the IDM system saying that this user has been granted this access. One Identity Manager is the central book of records or identities and their access levels.
We obtained tickets for user access roles to grant appropriate access to specific target systems. To process these tickets, we need to determine the user queue number, search for the corresponding user in One Identity Manager, and verify their target roles. The process includes understanding how to resolve each ticket.

We used One Identity Management for 15,000 employees of a financial services firm. In addition to the IM functionality, we leveraged One ID for Identity Governance - including access certifications.
We had automated provisioning of users based on HR data. This automatically created 4-5 base accounts and birthright access for users. In addition to that, we leveraged the IT shop to request roles for users which, for the most part, automatically provisioned access to users.
